Open Sales Order Report

Why manage open orders? Properly account for all waste shipped by customer to ensure that all waste has been received and properly invoiced. Properly accrue for expected revenue. Identify vendor po’s and manage as needed. If vendors have been paid, ensure that proper charges have been passed on to customer. If vendor po’s are open, manage appropriately to ensure proper accounting of our cost.(close the PO if charges are not valid or leave the PO open if vendor will be billing us) Maintain clean order data to allow for effective business analysis

Report located under Order Placement Menu.
Modify date range to be extracted and managed. The system defaults 1/1/2003 to 60 days prior to today. Clean report based on default dates then tighten up more recent orders by changing dates to manage drum orders 30 days or older. Bulk and Cleanpack orders should be managed to current date. Work with the Direct Ship team to clear up any Direct ship open order questions. Select Branch code through drop down.

The report is formatted as a scrolling list with Pre Sales Order, Open Sales Order, and Post Sales Order information. The Pre and Post orders are there to help understand the shipment history immediately before and after the Open order. The Open order is the target order to manage and it’s header info is highlighted in white. The system is identifying orders which contain disposal lines that have no record of receiving or invoicing.

Use links to various other locations to research why the lines may be left open. Always view PO’s.
For Open order D we see there is a Pre sales order from July but no Post sales order. Because the profile on the pre and open orders don’t match and the dates are not close this is not likely to be a duplicate order. If after researching further details through the links and possible contact with customer it is determined that the load did not ship then enter cancellation notes in the order instructions through the Instruction link. Click on the delete link to open the disposal page of the order to Delete the open lines(see next page). Note: All of the links navigate the user through pop up screens. Simply “X” out of each window when complete to return to the report.

Delete each open line on the order
Delete each open line on the order. Whenever the determination is made that the order is to be cancelled, ensure that vendor PO’s associated with the order are managed appropriately.

The open order profile is identified as received on both pre and post order. Two different loads received on the pre order in same time period as open order created. With no order instructions entered on the open order and no other data entered against the order, the order is determined to be a duplicate. Add instructions to the open order indicating that load received and billed on pre order then use delete link to remove open line.

Summary Manage order changes real time to minimize volume of orders captured by Open Order Report. Manage Open Order Report daily for your region(s). Drum orders to 30 days or older Bulk and CP to current date Check PO link on every open order to ensure that vendor PO’s are managed appropriately. Record descriptive info in order instructions when entire order cancelled. Delete all open lines as needed and work with facilities to adjust receiving issues as needed.
