Welcome to the May user group meeting for the System eComm Team (SET)! Thank you all for taking time to learn about this month’s topic: TaskRay. System eComm Team (SET) |

2 TaskRay I’m thrilled to announce that SET users now have access to TaskRay. The eComm specialists have been using this tool for the past year and it has revolutionized our work processes. Given the success we’ve seen, I’m excited to bring you all onto this platform.

3 About TaskRay Project management tool Integrated Salesforce app Secure
Customizable Collaboration User friendly! TaskRay is a project management tool found on the App Exchange. This app is integrated in Salesforce, meaning that you access it through your Salesforce account the same way that you would a report or contact. It is secure, customizable and enables collaboration in a user friendly way. System eComm Team (SET) |

4 Functionality Projects Tasks Group and organize work
Housed within projects Action item or collection of action items Record and monitor work Collaborate with others TaskRay enables users to organize workflow by projects. A project is a topic or area of work. For eComm, each business unit (department) has its own project. Within projects, you can create tasks. A task may be an action item (like a meeting or a report) or a group of action items (like an event or communication campaign). You can record your progress on tasks and monitor your work as you go. This includes uploading files, adding comments, and recording time. You can also collaborate, or chat, with others on a task. System eComm Team (SET) |

This diagram helps to show the way TaskRay structures workflow. Like the previous slide noted, a project houses different tasks. These tasks can be diverse in nature, but are all linked by a common thread. In this case, that is SET support.

Dashboards Visualization of the reports Example: Kate’s TaskRay dashboard Not only is TaskRay a great tool for project management, but it also allows for reporting. All of the TaskRay data is housed natively in Salesforce, so we can leverage reports and dashboards to track workflow at a high level. This includes number of tasks in a project, the status of a task, the time spent on tasks, etc. Let’s take a look at my TaskRay dashboard as an example. System eComm Team (SET) |

9 TaskRay and eComm Ops Now that we’ve seen the functionality of TaskRay, let’s spend some time talking about how we’ll use this tool.

As we discussed, TaskRay enables us to accomplish quite a lot. Whether its communicating with other users, adding files, collaborating across departments, utilizing checklists, taking advantage of the Salesforce integration, or utilizing reports, TaskRay is a project management dream! So, we’re going to leverage this tool for our SET operations and communications.

In short, TaskRay will be the method for communicating with Kate, submitting requests, and reaching out for help. If you send and or submit a help ticket, it will end up as a task. First, I will be attending an off site conference in late June. To ensure that you have everything you need, please submit all eComm related requests via TaskRay to Kate by 06/14. Kate will monitor while she out of the office, but it may take her longer than usual to get back to you. Thank you in advance for your patience. Second, the SET webpage has been updated to include a tab for user group meetings. This includes the dates/time of upcoming meetings as well as information on previous meetings.
