Bulk Update Purpose and User Accessibility
The [Bulk Update] feature allows GroveSite users to easily update or add information to existing database records via an excel spreadsheet. Simply download a populated template, update records on the spreadsheet provided and upload your changes. There are two templates to support the [Bulk Update] 1. Populated Template - All rows all columns: Template includes all rows and columns from the database table selected for the underlying database page . 2. Populated Template - Current View: Template includes columns and rows from selected view and any ad hoc filters applied on the underlying database page. User Accessibility The [Bulk Update] link will be displayed to Moderators and Admin within an active Organization. Participants can be granted access to this link, however; the hosting Organization would need to contact GroveSite to enable this feature for Participants. Note: GroveSite staff support the [Bulk Update] functionality for Parent records. If you need to update Child Records, please contact Customer Service at to verify feasibility and get assistance.

Features, Requirements & Security
Built in Drop Down Lists - Included on the template are the valid lists for drop down, lookup, radio buttons and checkbox fields. If a value is entered on the spreadsheet and does not match a selection in one of these lists, then the update will not allow the change. Therefore, including the built in drop down lists on the spreadsheet ensures that the value is correct and will get updated properly. Required Fields - Will be indicated with a Red Asterisk after the field name. Ability to Remove Columns - Often, a database can have many columns, but only a portion are needed. Therefore, any columns not needed can be removed except for TableRecordID, Owner and ParticipantGroupName. If you remove a column, be sure to remove its DB field name and the column labels too. Template Requirements & Security TableRecordID and Owner - These are system fields that are always required to be on the spreadsheet. During an update the system will render an error message if uploaded without these two fields. The system will also render an error message if the “TableRecordID’s” are missing. When the template is uploaded, the system uses the “TableRecordID’s” from the spreadsheet to match up the “TableRecordID” from the database table. ParticipantGroupName - This is a system field that is required if Participant Groups are turned on for the Organization. The update will render an error message if uploaded without this field. Note: If Participant Groups are turned on the populated template downloaded will include this field. User Friendly Column Names – The top two rows need to be on the template in order for the update to work. Row one has the database field names and the second row on the template will be the “user friendly” label names. Occasionally, database table field names can differ from the label names. Therefore, we have added both rows for easy identification. Moderator Edit and Moderator View Fields - All fields will be displayed on the template. However, fields that are “Moderator View Only” will not display any data on the populated template. Fields that are “Moderator Edit”will display data. “Moderator Edit” and “Moderator View” fields can’t be updated by a Participant. If a Participant were to try and update either one of these fields, the data entered would be ignored.

Download Populated Template - All Rows All Columns
1. Click on the [Bulk Update] link 2. Select the database table that you want to update. By default this will be the parent table. To update a child table select that table from the drop down list. 3. The “Populated Template” will be selected by default. 4. To include a thumbnail image on the populated template, check “Include Thumbnail?” box 5. Click on the excel file to download the populated template. 6. Save a copy to your PC as a backup

Update Template - Populated Template - All Rows All Columns Selected
On the populated template delete any rows or columns not being updated. Do not hide or filter rows or columns on the spreadsheet. If all rows and columns are not needed, you can use the ‘Populated Template – Current View’ option to create a template with only the data that needs to be updated. TableRecordID (Column 1), and Owner (Column 2) are always required fields and must always be on the spreadsheet. ParticipantGroupName (Column 3) is a required field if the organization is using this feature. If Participant Groups are turned on, when the spreadsheet is downloaded, the field will be displayed in the 3rd column and should not be removed from the spreadsheet. Edit rows with new data and save the new version of your template to your PC Click on the Browse button in Step 3 to select your saved template. Click Upload template For more information regarding features, requirements and security, please see slide 4. Note: Image can’t be updated using this process. The image is only included as a reference.

Update Review Screen Note:
Review records for complete and accurate content. The row highlighted in green indicates that a field that had data in it was blanked out. This is correct as the category “Baskets” was removed. This record can still be updated by checking the box to the left. The row highlighted in yellow indicates that the record ID is not found. The record ID on the spreadsheet does not exist for the user logged in, and that record can’t be updated. Click Finish and Close. Note: ID not found means that you have entered a table record ID that does not exist for the user logged in, and that record can’t be updated. Existing Data Cleared – If you have receive this error message, you can still check the box to proceed; however, this is a warning that you have cleared existing data in one or more fields and if you proceed you will wipe out the data for those fields.

Download Populated Template – Current View
This [Bulk Update] feature will allow you to download a populated template based on the Current View you have selected on your database page. You can also add any additional ad hoc filters to narrow down your data on a view if needed. On your database page, select Current View Apply any additional Ad Hoc filters if needed. Click on the [Bulk Update] link Select the database table that you want to update. By default this will be the parent table. Select the “Populated Template – Current View”. To include a thumbnail image on the populated template, check the “Include Thumbnail?” box Click on the excel file to download the populated template. Save a copy to your PC as a backup Note: GroveSite staff support the [Bulk Update] functionality for Parent records. If you need to update Child Records, please contact Customer Service at to verify feasibility and get assistance.

TableRecordID (Column 1), and Owner (Column 2) are always required fields and must always be on the spreadsheet. If they are not on the spreadsheet, an error message will render during the ‘Upload Template’ process. ParticipantGroupName (Column 3) is a required field if the organization is using this feature. If Participant Groups are turned on, when the spreadsheet is downloaded, the field will be displayed in the 3rd column and should not be removed from the spreadsheet. Edit rows with new data and save the new version of your template to your PC Click on the Browse button in Step 3 and select your saved template.
