There are many functions of Kairos Prison Ministry that have specific roles within the ministry. At the same time, they are connected to make the entire body of Kairos. When each part is functioning well they all work together in harmony and for the glory of our Lord.
The first and key item is: who is truly the head of the ministry? Jesus Christ! So everything we do, in every position, we strive to do with excellence as we serve Him and to share Him with those impacted by incarceration.
Let’s look at how each functions or part of the body works together.
(forward 1 - reporting) First, reporting structure;
(forward 2 – red lines)The reporting structure for responsibility is the local Advisory Councils in each state report to the State Chapter Committee. The State Chapter Committee of each state reports to the Executive Director. The ministry staff also report to the Executive Director. The Executive Director reports to the Board of Directors as the governing body of Kairos. There is empowerment with accountability to each group from the other to do their role and ensure the ministry is performing it’s mission and according to the policies, program manuals, and operating procedures.
(forward 3 – dotted red line) The International Affiliates have their own governing body within each country, but reporting lines to the Executive Director by Affiliation Agreement which gives them the rights to run Kairos programs, use logos and materials, and to operate locally.
(forward 4 – Representing) A very important part of our structure is the representation of each function and of the whole. Kairos has thousands of volunteers who are serving in this ministry and they have a voice and a vote that enables this representation. It is very important to our structure.
(forward 5 – blue lines). The representation flows like this: The local volunteers elect the Advisory Council members, while also anyone can attend the meetings and participate. The Advisory Councils have a State Representative at the state level and also the Advisory Council body elects the State Chapter Committee. The State Chapter Committee elects representatives from the body to serve on the International Council (1 per every 15 Advisory Councils). The International Council elects the Board of Directors and also has the elected International Council President on the Board as a non-voting member.
(forward 6 – Elected Volunteers) Thus the Volunteers elected the Advisory Council, the State Chapter Committee, the International Council, and the Board of Directors who are all elected volunteers serving willingly in their position and representing the whole of Kairos Prison Ministry at each function. The Executive Director and ministry staff are representing each body as they coordinate the operations and direction of the ministry daily. They also serve with the volunteers on numerous committees to lead the operations and accomplish the mission of Kairos.
(forward 7 – Communicating) And lastly there are communications across and among the various functions. In many ways we rely on the reporting functions for information to flow to and from each group. However there are numerous formal lines of communication.
(forward 8 – green lines) Every function should be communicating to and from each group they are reporting functionally and/or representing. All lines of communication should be open for sharing and learning.
