What the Barristers’ Council DOES Pay for
Competition registration fees Travel Costs Airfare, train, rental car, personal car Hotel Room Costs Ground Transportation Other major costs Students who book travel on their own, without the express permission of both the Finance Director AND their Division Director, will NOT be reimbursed for their expenses.

What the Barristers’ Council DOES Pay for
Competition Registration Fees BC will cover cost to participate in competition BC WILL NOT pay for memberships to professional organizations, regardless of their necessity, without prior approval from the Finance Director.

What the Barristers’ Council DOES Pay for
Travel Costs Competitions held at GULC and Washington, D.C. Area: Ground Transportation - $25 limit per competitor for the duration of the entire competition for Uber, taxi, Metro, etc. Competitions within 250 mile radius: Train, rental car, or personal car (reimbursed at the current Georgetown per-mile rate) Hotel only with Finance Director pre-approval

What the Barristers’ Council DOES Pay for
Travel Costs Competitions beyond 250 mile radius: Coach airfare Public transit to Dulles International Airport (IAD), Baltimore/Washington International Airport (BWI), or Reagan National Airport (DCA) Barristers’ Council will reimburse, up to $60, ground transportation costs (Uber or taxi) to and from IAD if all competitors participate in the ride. Barristers’ Council will not reimburse ground transportation costs to BWI or Ubers/taxi to or from DCA (exceptions for 6:00a.m. DCA flights)

Hotel Room Costs Only room charges and taxes Incidental room costs, such as room service, movies, items from the mini-bar, and hotel valet parking will not be reimbursed If hotel internet access is not free, BC will reimburse with prior approval from Finance Director

Ground Transportation Ground transportation costs (Ubers, taxis, mass transportation, etc.) in the tournament city will be reimbursed up to $50 per team member for the entire competition

Other Major Costs All essential expenses and costs that Council members incur in the preparation for various advocacy competitions Photo-reproduction & demonstratives Office supplies & presentation equipment Postage & related expenses

Meals Tournament clothing Travel arrangements made outside of Barrister’s council

REIMBURSEMENT FORMS Fill out Student Reimbursement Form located on the Barristers’ Council website life/activities-organizations/barristers-council/ OSL Reimbursement Request Form REQUIRES DIVISION TREASURER SIGNATURE GMS Student Expense Reimbursement Form Drop completed forms at Maura Grant Haye’s office in OSL or the mailbox outside the Barristers’ Council office (Hotung 1010)

REIMBURSEMENT FORMS KEEP YOUR RECEIPTS
Make sure the last four digits of your credit card are on the receipt Attach receipts to the Reimbursement Forms Reimbursements older than 60 days are considered income by the IRS and will therefore be taxed PLEASE GET THE SIGNATURE OF YOUR DIVISION TREASURER Consult me or the Handbook with questions about what can be reimbursed

Tax Exempt Status GULC is exempt from paying sales tax in a number of states: DC, VA, MD, FL, IL, MA, MO, NY, OH, PA, TN, TX Only applies to goods purchased (e.g. paper pens, etc.) does not include services (e.g. meals, hotel’s occupancy tax, airlines taxes, etc.)

Other Notes Once travel is booked you will not be allowed to change the reservations Team member must reimburse BC for all additional charges All monetary prizes are property of Barristers’ Council
