The Total Package Continuous 24 x 7 Network Monitoring Automated Reports Quarterly Business review Today we are going to review [insert program name] which consists of 3 major deliverables to you our valued customers : 24 x 7 network monitoring and alerting , weekly and monthly reporting and a QBR. At NovaTech have invested in the best in class technology & training to monitor all of our customers environments 24 x 7 . This technology provides us a better understanding of your IT infrastructure allowing us to plan and budget for IT projects & services based on facts and documentation. We provide you through this enhanced service detailed monthly reports helping us to plan and prioritize future IT projects both large and small. We will review all these reports in complete detail during pre-scheduled QBR’s. During the QBR meetings we will review your business needs , we will review all the reports provided through our monitoring technology and together based on facts we can plan , set IT budgets, and track all projects and work in progress. These four business meetings are at the core to this service and it truly keeps the channels of communication open. Let’s now take a look at this enhanced service. It all starts with the 24X 7 network monitoring.

Continuous 24 X 7 Monitoring
Continuous monitoring provides: Network and device availability Alerts and pre-failure indicators Centralized web-based dashboard Reports: Weekly Monthly Quarterly NovaTech has invested resources from a personal perspective on training and certification and we have made a financial investment on a technology that helps us provide this enhanced service. It is the best in class a technology with an open architecture: allowing us to support your current systems or new technologies that you may choose to invest in for your business needs in the future. Through NovaTech continuous monitoring service we will know if a critical server goes down (ie ) – we can diagnose the why’s and the how's and report them to you. This technology also allows us to troubleshoot these issues through the information we receive back at our NOC much faster than the we have traditionally done because as you know we quite often had to rely on your best efforts to explain to our technicians what was happening in your environment when the issue happened and then based on our experience we would attempt to bring the right parts and tools to address the issue. Now through the monitoring system we will understand exactly what we need to bring or order prior to us showing up at your office. Saving you time and money. Continuous 24 X 7 monitoring will allow us to perform trending analysis and pin point potential issues through pre-failure indicators. Prior to this monitoring solution, neither one of us would have known about potential issues and only when they manifest into a business interruption do we know but now we are able to review reports weekly, monthly, and quarterly, and discuss resolutions with you because we have the insight and information at our finger tips.

This assessment will provide us with detailed reports so we can discuss with you exactly what needs to be addressed in the environment and very quickly it allows us to identify systems that may be affecting your teams ability to maintain a competitive edge. This information alone reveals an accurate count of the IT assets at a your site allowing you to track and account for your IT inventory. Continuous audits allow us to report on asset changes and we can report on employee activity – activity such as when applications have been installed but deemed inappropriate for your environment. We will track user-entered asset information such as asset inventory numbers and warranty expiry dates ensuring that you always know what is under warranty and what may need to be refreshed. Allowing you to plan and not get caught off guard or pay for a part/repair that should have been under warranty. From the time this initial assessment has been done you will receive monthly and Quarterly reports from NovaTech, reports that we will review in detail shortly. What follows is a detailed overview of the key reporting metrics that we will be able to deliver immediately after this assessment. This information is key in helping us to manage your environment from a planning, performance, and security perspective. (show sample of report) (Site Hardware) This report provides a hardware summary for the site. It shows us the diversity of the equipment we manage and it also allows us to identify and report to you any hardware that may be obsolete inside your environment. This does not mean that immediate actions have to be taken but it does highlight where certain trouble spots maybe lurking. (Site Security) The site security report lets us see very quickly if there are any critical patches required . We will also run the MBSA solution, which is integrated into the monitoring tool. MBSA is a best practices reporting and alerting for security on Microsoft applications. This report clearly shows us any Microsoft security issues. Issues that can lead to big wholes in your environment. Wholes that leave opportunities for security breaches of key corporate data or personal data. *** I would use an up to date security example here – Example Farah Fawcett's’ medical records were electronically stolen and sold to the media – leading to a major law suit, also a car dealership in Florida lost a $ dollar suite because the business managers password was compromised and it allowed for the theft of personal information including credit card numbers of customers. (Site Performance) This report summarizes the most heavily stressed devices on your network and it will help us to identify systems that can be effecting employee productivity. Asset Inventory Management
Asset Inventory Includes: Network audit Hardware asset Software assets Inventory & warranty tracking Sub-standard configuration report Asset management provides us with the information required to deliver valuable asset-based reports, performance, and inventory to you. Through continuous automated network audits, we monitor all of your IT assist including hardware and software. This gives you a documented inventory of your IT assets in your environment. We will monitor all your asset warranty information which ensures that you do not pay for any device repairs that are covered under warranty. This is just one of the areas where this service will provide you a cost reduction. Because we have the insight into your IT inventory we will be able to identify Sub standard configurations with inside the network. These sub standard configurations can be affecting your employees productivity. For Example your accounting team is trying to get all the monthly invoices out on time and every month two clerks work late charging you overtime for their service but because of the information we find through the network audit, we identify that their two systems cannot handle the complex accounting application. With a simple upgrade in memory you save thousands in overtime and reduce the stress on your employees.

Network Audit Real-time reporting of new assets
Audits includes anything with an IP address, for example: Desktops Laptops Servers Network devices and network-attached devices such as printers, fax / scanners, VoIP phones Audits are provided on a predefined schedule So Once the initial scan is completed we will continue to monitor your network. We will do an Network audit on a predefined schedule and in this audit we will see and report on: All Desk tops, laptops (logged into the network), servers, and network devices. Hardware Asset Inventory
Detailed hardware inventory Warranty tracking Comprehensive monthly reports Through hardware asset inventory and reporting we can provide detailed information to you on all your hardware assets giving you the understanding as to what each provides and what applications are installed on each system. We will track and report on remaining warranty on each system. This again allows you your team and us as your trusted advisor to plan and budget for systems that may run out of warranty. This planning allows us also to source the best prices on hardware as we are not in a panic just to get something in because the old system has broken and is no longer worth fixing.

Software Assets Complete list of all software patches applied to each system Complete software audits to identify all approved and unauthorized software packages Complete and detailed inventory of all OS’ systems By reviewing software asset reports we can identify & spot rogue software that is either not licensed, is obsolete, or is disallowed in your environment. We can report on systems that require security patches which if left alone can jeopardise your environment, your credibility, and revenue. It also allows us to review and ensure that all your employees based on job, role, and function, are utilizing the optimal applications and systems to perform their jobs and daily tasks. It only costs $xxxx” Because of our inventory and warranty tracking process we know all your warranty information through the asset management reports provided in this enhanced service we will plan with you during our quarterly meetings for any life cycle management changes that are required.

Sub Standard Configuration
Baseline Report identifies configurations that will require upgrades Asset audits to identify under-performing and under-utilized devices Understand & plan Similarly to asset planning and tracking with our enhanced program we can, in real-time, identify sub-standard configuration issues. For example We can very quickly identify, systems trying to run data intensive accounting programs on a windows home edition. We can see potential issues through all the performance counters including CPU and memory utilization on the systems. And through the weekly, monthly reports, and QBR’s we provide in this program you can plan for these type of upgrades and configuration issues proactively.

Preventative Maintenance
Automated Scripting Shutdown of workstations Saves power costs and reduces green house gases from excess power emissions Cleanup of temporary files Deletes all files in temporary directories Our enhanced service provides you with two automated services and like most, we as an organization are concerned about the environment. So we will schedule an automatic shutdown all systems that you designate to help you save on power costs and to reduce associated greenhouse gas emissions from excess power consumption. We will also run an automated script to scan the file system to find and delete all files in temporary directories. Enhancing network performance.

Site Health Report The most telling report that you will receive on a monthly basis is the site health report. It gives us a high level picture of your IT infrastructure. We will review the network score with you and discuss exactly what impacts that score quarter over quarter during are Quarterly Business Reviews. We will review potential high stress systems. For example we will review the top 5-20 systems that represent potential issues. Systems with high disk utilization rates or low memory. We will also review the MBSA report which gives us the best practices security report on the Microsoft applications. This report effects your network health score and it is something we can remove but we highly recommend it be up and running at all times and that we address any critical security issues ASAP. We will review all the alerts and top devices by alert that were generated via the system to see if we have common offenders - Systems that may require service or replacing. We also provide a detailed report comparing quarter over quarter results giving you insight into the benefits of this program. This report provides the foot snap shot but we will review each section in detail. Including server health, security reports, asset management reports, performance reports,

Server Health Establishes a performance baseline that can be measured over time Quickly and visually identifies any potential risks based on performance trends We will review and provide you a server health report. We will look at key and critical systems in your environments – Servers need to be maintained and kept up to date with such things as security updates. These server reports again will help us identify issues through pre-failure indicators and trending analysis. We can plan for project work or maintenance and know why specific work needs to be done. This report helps you to plan and not simply react to an IT crisis.

Security Reports Monthly MBSA reports Patch summary
Back-up software monitoring Security – are you safe? Is your corporate data safe? Is it stored in a safe and secure location? These reports that we will review in detail show you exactly if and where there are any security vulnerabilities. Vulnerabilities such as simple or easy employee passwords leaving openings for intruders to access your network. It will show us which if any critical patches are missing, and if any back-ups failed. This is your business and IT, as we all know, can empower your businesses to run as though it were on high octane gasoline but if your security is breached your business may suffer via downtime, hefty maintenance bills, law suits, lost revenue, or a loss in your personal and business credibility. This enhanced program catches all these potential issues and we will review them each quarter and update systems and plans as needed.

Detailed and comprehensive reporting of all operating systems, network devices and software packages installed We have covered this but it is worth highlighting again because I can tell you from experience working in this market for over x amount of years that most small & midsize businesses simply have no idea what they have when it comes to their IT assets. Most are not planning and budgeting for life-cycle changes but you and your team through this program will have a complete understanding of all your assets and will be able to plan and budget for expiring assets and life cycle change management. You will know if employees are downloading applications that are banned in your organization and be able to take corrective actions. Preventing potential network degradation and issues.

Performance Reports Device performance Site performance
Website performance We will review and you will receive all the network performance metrics that we capture off all the indicators from each network device. We will plan for ageing systems that maybe running low on or will require extra memory or increased disk space to perform its routine tasks. How many times have you heard of key employees complaining that their systems seem slow. Performance reports will allow us to track the systems productivity and make suggestions to you based on facts. Again these reports allow you to plan and budget for performance enhancements. We will also review the availability and response times of all your corporate websites, including corporate sites, intranet, extranet, hosted CRM applications as all these sites drive revenue for you and if they are slow or down or have been tampered with you are loosing one of thee things: 1- customers 2- credibility with customers, suppliers, employees 3- revenue We will discuss these in detail to ensure all is working as expected and solutions will be forth coming if there are persistent issues.
