Excel 2010 Screen Symbols

Selection Cursor The selection cursor is a transparent white cross and it appears as you are clicking around the Excel 2010 screen. It is called the selection cursor because it is visible when you are selecting active cells. Tips: You can move around the screen by: Left clicking the mouse button on any cell Pressing your keyboard arrow buttons Entering data in an active cell and then pressing the enter key, the screen will automatically select the next cell below Pressing the tab key to move one cell to the right Press shift + tab keys to move one cell to the left Use the page up and page down buttons Left clicking on a cell and dragging the mouse around a range of cells to highlight a section of data Left clicking on a cell and then holding the shift key and clicking one more time on the farthest section of a range (Click-Shift-Click Method) to highlight the entire area

Active Cell Border The active cell border is simply a thick black box surrounding the active cell. This border doesn’t show up on the print view, it is only there to highlight which cell the screen is currently on for data entry. Tips: The border will appear around a single cell or range of selected cells The black square in the lower right hand corner activates the auto fill handle. Only place the cursor over the small black box and drag the mouse if you intend to use the auto fill method. There are different symbols that appear depending upon where the cursor is hovering over the black border. To use the mover symbol, place the cursor on another part of the border.

Auto Fill Handle The auto fill handle is a solid black cross symbol that appears when the cursor hovers over the small black border box that surrounds an active cell. This symbol is useful in replicating data and filling in patterned ranges such as days, months, etc. Tips: If you have trouble seeing the auto fill handle, try using the zoom tool to make the text appear larger on the screen. The auto fill handle can be used on cells to the left, right, above and below the current active cell The auto fill handle will try to replicate the form used. If the word January is typed out in sentence case, it will fill in the next month as February. If the abbreviation SUN is typed in all caps then it will fill in the next cell with MON, etc. The auto fill handle can be used to copy formulas, data and numerical patterns such as increasing by 5’s (example: 5 in the first cell and then 10, 15, etc. in subsequent cells.)

Mover The mover symbol is a four headed arrow with dotted lines and it will appear on the edges of a selected cell or range. If you click and hold the left button on the mouse you can slide the items selected in the range to a new area using a drop and drag method. Tips: It’s best to position the cursor on the top horizontal line towards the left or the center of the bottom horizontal line. As the move action begins, a gray shadow of the active cell range border appear along with the regular bold black border lines. If both boxes appear in gray shadow then check your symbol. You may have inadvertently positioned the cursor with the auto fill handle instead If you accidently move a cell or range, click the undo arrow on the quick action toolbar to undo the action.

Edit Cursor The edit cursor appears while you are entering data in an active cell or you are editing data in the formula bar area. Tips: You can position the cursor over specific letters or numbers to correct previously entered data When a blank cell is active and ready for data, the cursor will blink Once you have the cursor positioned within a cell or the formula bar, you can use the arrow keys to move around the previously entered data.

Pointers The transparent white pointer will appear when you mouse over the command ribbon and various parts of the Excel 2010 screen. It is used to select commands, slide the scroll bars, choose items from a drop down box, etc. The solid black pointers will appear when you hover the mouse cursor over either the letter that heads up a column or the number that heads up a row. When you click and select either a column or row heading any action you take afterwards will affect everything in that column/row range. This includes data in that is in that column/row but off to the sides of the screen that aren’t readily visible.

Row/Column Adjuster The row adjuster has a double headed arrow pointing up and down. This symbol is seen when the cursor is placed on the line between the number headings. Left click the mouse and drag the row until it has reached the desired height. When you release the mouse the row spacing will be changed completely. The column adjuster has a double headed arrow pointing left and right. This symbol is seen when the cursor is placed on the line between the letter headings. Left click the mouse and drag the column until it has reached the desired width. When you release the mouse the column spacing will be changed completely. These actions only work with one row or column at a time. To change for multiple rows or columns, highlight the headings and then use the right click menu to manually change the selection area.
