Step by step instructions for completion Read carefully before completing Double-check if unsure Use checklist provided at back of book Ask local Pastor to sign declaration at the end Submit to ADRA-UK before 31st May For God’s glory and His alone

7 Enter Collector’s name here and on tin wrapper.
Enter tin number as you issue the tin to collector Enter Collector’s ID Badge number here (per slide 2) Page total to carry forward to summary page at the end Enter date on which tin is returned to you Every door to door tin issued to a Collector MUST BE labelled using a tin wrapper and recorded in this cashbook. Keep going

8 Door to Door Cashbook Completion
Collector returns tin Open tin and count the cash with an independent witness (not a relative) In GREEN book, record the: Amount collected from that tin Date when tin was returned to you Total collected from each page Nearly there

9 The carbon copy at the back is a receipt to be given to the Collector

10 Door to Door Bank Paying in Slips
The GREEN paying-in book (CAF) is for depositing ALL monies collected door to door. Paying in booklet contains three slips for Door to door collections. Complete the paying-in slips and take the cash to your nearest HSBC branch The paying-in slips are for “CAF Bank” but should still be deposited at HSBC bank Please DO NOT USE over the counter paying in slips from HSBC. If you need additional paying in slips, please ask us and we will be happy to provide you with the correct ones. Keep smiling

11 Door to Door Cashbook Funds Collected - the total funds from each page should be entered here and totalled Your details - please enter your church, your name, telephone number, address and Pastor’s name. Paid into HSBC - record the date and amounts paid into the bank, then attach the counterfoil to this page. The total banked MUST equal the total collected. Certification- after double checking the book, the Agent together with the church Pastor MUST sign and return the cashbook to the ADRA office before the 31 May 2017. Almost done

All funds raised from home tins, donations and sponsorship MUST be recorded in the red cash book Fill in all the information on the front cover Name of church is important Now onto this part

Use pages to record all donations/sponsorships Record donations as they come in Indicate whether or not donor wants us to claim Gift Aid Important – for Gift Aid claims we need full names and addresses of Donors Receipts Use small receipt book with carbon copy pages OR; Pre-numbered detachable strips from donation envelopes Sum up amounts per page and transfer to page 7 You’re good at this

17 Red Cash Book – Donations & Sponsorships
Enter the date of donation, donor’s name, receipt number (from small receipt book/donation envelope) and amount in the appropriate columns If Gift Aid is to be claimed on a donation, tick or place Y in the “Gift Aid” Column next to the donation You also need to ensure that the donor has entered their personal details (Full name and Address) in full on the donation envelope – without this, we cannot claim Gift Aid Confidence now

Totals from donations or sponsorships must be recorded separately at the bottom of the each page Page totals must be copied to the “Total Raised” section on page 7 ALL money MUST always be counted with an independent witness who is not a family member Yes, that’s it

19 Red Cash Book – Gift Aid Envelopes with Personal Donations
Open each envelope and enter the amount donated under “Donations” in red book pages 3 - 6 Tick the Gift Aid column or enter ‘Y’ in red cash book Check that the donor’s name, home address, donation amount and date are correctly entered on the envelope Bank the money using HSBC slip from red paying in booklet Return empty envelope with the red and green cash books to enable ADRA to claim Gift Aid Keep smiling

20 Cash Book – Notes Any monies raised in home tins are treated as donations in red book pages 3 – 6 and can be gift aided as long as full name and address of donor is given to ADRA-UK Monies raised from children’s books are recorded as sponsorships Receipts: Use receipt numbers from the donation envelope stub as your receipt number in the cashbook OR; For any other income, a receipt should be issued from the small receipt book with carbon copy pages Getting there

21 Receipt Book Each receipt is pre-numbered and has a carbonised duplicate A receipt MUST be issued for all non door to door money Receipt number should be shown against the amount in the red cash book Keep smiling

22 Red Paying in Slips – Donations and Sponsorships
Red paying-in booklet is for depositing donations or sponsorship funds You will be issued at least three HSBC paying in slips Complete the paying-in slips and take the cash to your nearest HSBC bank Please DO NOT USE over the counter paying in slips. Additional paying in slips can be requested from ADRA-UK Keep going

23 Red Cash Book – Cash Recorded & Banked (Page 7)
The total from page 3 – 6 must be recorded under “Total Raised” Each bank deposit MUST be shown under “Bank Deposits” “Total Raised” MUST equal “Total Deposited” Nearly there

24 Cash Book – Certification
When all transactions have been finalised, the cash book MUST BE signed and certified by the local ADRA Agent and Pastor The red and green cash books together with all paying in slips, receipt books and Gift Aid envelopes, MUST be returned to the ADRA-UK office by 31 May 2017 Important to adhere to deadline as we are subject to external scrutiny i.e. audit Well done 
