2 Welcome Toro Tutors! We are excited to be working with you as you help shape young minds! Keep making a difference! The payroll process is a bit complex, but we developed this brief guide to help you through it! We hope it helps  Last Edit: 11/03/17

3 Two-Step Payroll Process
Under this payroll system, two documents need to be submitted for payroll. 1. Submit your TIMESHEET via to 2. Input your hours via the ONLINE TIMECARD

4 Timesheets Timesheets should be ed to on or before the due date (during orientation you were provided with a schedule of timesheet due dates (11/15, 12/04, 12/08) Follow this checklist before submitting: Have you calculated your hours correctly? Have you marked what program you are reporting hours for? (REACH/RISE/ETC.) Do you have the appropriate signatures for dates worked? (you should not have signatures for dates you have not yet worked) If you are reporting sick time, did you enter “sick” on the timesheet for that date? If you are reporting sick time you must complete an absence request form. This form must also be ed along with your timesheet and the original must be submitted along with your timesheet. Keep in mind that you must submit 2 original timesheets with ALL signatures at the end of each month to the CSI3 office located in SCC 404. If you do not submit these timesheets, your next pay check will be placed on hold. For your reference, below is a list of a minute to decimal conversion 15 minutes= .25 20 minutes= .33 25 minutes= .42 30 minutes= .50 35 minutes= .58 40 minutes= .67 45 minutes= .75 50 minutes= .83

5 Online Timecards Online timecards are due at the same time timesheets are due. Make sure that hours on your timecard and timesheet match. Online hours can not be approved if you did not a corresponding timesheet. Please make sure you enter all hours on the timecard even if there are no signatures for those dates. Please make sure you are entering your hours under the correct program tabs (there are tabs for different projects); if you do not see a tab for your project(s), please contact Martha at

The timecard online user guide can be found at: If you are having log-in issues, you will need to reset your password. You will be sent a password reset link to the you provide when you were hired. Please note: You cannot do a password reset with a mobile device; please access the link via a desktop or laptop. If you have a HOTMAIL account you are unable to receive notifications or password reset s from the system.  Therefore, if you happen to have provided us with a HOTMAIL account please with an alternative we can use.

7 Policies Remember that per California law, if you work over 5 hours you should take an unpaid (30 minute) lunch break. You will be written up if you do not take a lunch break. Lunch breaks should be noted on your timesheets with an “X”. If you chose not to take a lunch break you must complete a meal waiver. If you complete a meal waiver you may not work over 6 hours in a day. You must have an assignment/task to complete during the time you would normally have taken your lunch break. If you are reporting sick time you must complete an absence request form. This form must also be ed along with your timesheet and the original must be submitted along with your timesheet. ABSENCES: Please make sure you send an to your assigned teacher, and your onsite coach if you are calling out for any reason. If you are a CTA tutor, make sure you include Laura Avendano in your . If you fail to all the proper people, your sick time will not be approved.

Other Notes Pay Check Pick-Up: Tutors, you may pick up your checks at the CSI3 Office in SCC Checks are available after 3:30 p.m. on pay day. Office hours: Monday – Thursday 8:30 a.m. – 6:00 p.m. Fridays: 8:30 a.m. – 5:00 p.m. If for any reason we are unavailable on that day, we will leave a note for pick-up location. s: When ing anyone, please make sure to include your name and request/comment/question/concern in your .
