Why am I writing this? Know your purpose
Is this to inform, persuade, or to elicit a response? Your purpose will determine your tone and what length is appropriate. Usually s are on the shorter side and to the point.

Who is going to read this? What type of impression do I need to make on this person? Your audience will also affect the tone you use.

What type of language should I use?
Think about your tone What type of language should I use? Formal? Informal? Colloquial (friendly slang, text language)? What up, dog? How r u? Should I be polite, firm, or demanding? I hope that you… You should... You must… Is humor appropriate for this person or situation? Is sarcasm appropriate, and will it be clear in print? Short sentences? Long ones? Shall I use a thesaurus or my regular vocabulary?

Some general rules about email writing:
Never use all capital letters or all bold. It sets a hostile tone. Emojis are not professional. Use them only to clarify tone. Think about punctuation. Use exclamation points sparingly. Paragraphs should be 2-3 sentences long, unless there's a very long explanation necessary and you are answering a direct question. Skip lines between paragraphs instead of indenting. This is the difference between professional and academic writing. Proofread your before sending it. You can’t rely on spellchecker to find every mistake.
