Context GIS PORTAL Racks was started following an ACCOR study in 2011 To improve cabling, cabling documentation & data sharing Focus on BE/CO best effort service team To reduce piquet intervention time to accelerators Prototype in 2012 We lacked a global infrastructure to document our huge installations Each equipment group was providing its own solution Locating the equipment Finding the corresponding documentation Accelerator Sector management agreement to start the project (BE,EN,TE) in June 2013 The GIS project was officially launched in September 2013 SITUATION AVANT les differentes db et manieres pas coordonnees, naviguation logitique de toute l’info depuis depuis GIS Situation apres Contexte motivation etc… 4 Fev 2016 Olivier Barrière - BE/CO

Process to Maintain Data up to date At present there is no formal process to communicate changes concerning the racks Changes can go unnoticed and GIS data risks to become stale EN-EL is introducing new procedures DIR (Demande d’Installation d’un Rack) draft form DDR (Demande de Désaffectation d’un Rack) draft form These procedures are still circulating in the EN/EL group (The acceptance and use of these procedures by equipment groups will come at a later stage) Proposal Include GIS Portal Racks in the ECR workflow Request BE-CO to provide specific tools to update racks data based on these ECR 4 Fev 2016 Olivier Barrière - BE/CO

Summary Phase 1 Data Integration Started September 2013 (20 months of actual work) PS Complex & LHC Underground, LHC Tunnel completed Green light from IEFC to continue 20mm of work remains to complete Phase 2 a) Data Validation Data in GIS needs to be validated Start now to benefit for LS2 with PS complex & SPS BE-OP & EN-MEF Machines Coordinators to validate data with equipment groups EN-EL to validate rack names BE-CO to update Arc-Map & Layout DB b) Formal process and tools to maintain data up to date New procedures are in progress with EN-EL for DIR, DDR Include GIS Portal racks in the ECR procedure workflow Request BE-CO to provide specific tools to update racks data 4 Fev 2016 Olivier Barrière - BE/CO
