Check logistics on travel means and time of locations Propose AIPLA HQ of tentative dates and locations as soon as possible Reach out to organizations Send invitation letter once dates are confirmed

check with AIPLA HQ to see if they prefer to make initial contact Local bar organizations Local courts Local AIPPI chapters Local women IP law chapters

5 Trip Planning Delegates Selection based on: Seniority in AIPLA
Seniority in Committee Members of AIPPI Presenters Diversity Subject matter (trademark/Patents/Design) In house/Private Practice Gender/Age/Race Location (US/local)

6 Trip Planning Programming
Propose topics of interest to foreign organizations Prosecution/litigation/trademark Case law updates Local development Each meeting limited to 25 delegates Plan networking breakfast/dinner/reception Determine in advance who pays (delegates, foreign organization, etc.) Allow leadership meeting time formally/informally Speaker selection Group call before trip to discuss logistics & update AIPLA leadership on issues

7 Trip Planning Presentations Use AIPLA Template with disclaimer
Do not include positions not consistent with AIPLA positions Avoid stating personal opinions and should only state AIPLA positions Do not include content offensive to local culture(s) Send final presentations AIPLA for approval Send approved presentations and bios to organizations Keep on thumb drive during trip

8 Trip Book Preparation Agenda Bios
Assign committee member to prepare Trip Notebook as trip is being planned Trip book size & sharing Allow enough travel time between locations Hotel selection must accommodate large groups Luggage drop off prior to meetings Agenda Send outlook invites for individual meetings Bios limited in length

9 Trip Etiquette US-based delegates must attend all meetings/events Foreign-based delegates may attend select meetings/events Arrive on time at lobby for group transportation Arrive early to exchange business card before meeting Be seated at start of meeting Maintain professionalism during all meetings Take turns paying for taxis Inform chair of any deviation from trip agenda

10 Trip Report Send AIPLA HQ final report within one month of trip Assign delegates to take notes during specific meetings Final report will be a public document, so ensure no sensitive content
