2 Sustainable MAP Operations Task Force
Launched in 2015 Objective: To further enhance the sustainability of MAP events as well as other aspects of the MAP operations with the aim to obtain the ISO certification Task Force Members: Activities: « Greening » the MAP and RACs meetings and operations, Raising awareness on the ecological footprint (booths, workshops…), Development of guidelines/tools, Sharing of best practices, Monthly Task Force meeting, Development of a workplan with goals and milestones towards ISO certification It’s everyone’s concern !

3 Why an eco-responsible event?
 Protection of environment is one of UNEP/MAP main concerns An eco-responsible event is part of a sustainable development approach at every stage of its organization. Therefore, it aims to: Reduce negative impacts of the event, especially on the environment (reduction of waste, of GHGs, of natural resources consumed…) Increase positive effects of the event (local service providers, awareness, accessibility to the event…)

4 To set realistic targets
Examples: Zero waste: all waste generated by the event will be reused or recycled Carbon neutral: reduce all possible emissions and impacts and then contribute to a measured reduction elsewhere to balance the rest 100% local purchase Paperless meeting Awareness among suppliers about sustainable development approach

5 Venue/Location Venue within walking distance to public transport
Location selected for its accessibility, direct flights and rail connections Size of meeting room adapted to real needs Well-marked bins to separate waste (e.g. paper, plastic, organic) Free Wi-Fi access and/or computers with internet access for better access to online documentation Environmental policy and/or management system (e.g. ISO) in the venue

6 Transport Online participation (e.g. video, skype…) that helps reduce travel Venue and accomodation accessible by public transport Instructions on how to get from the point of arrival to the venue via public transport Carbon emissions from travel to the event calculated and communicated Participants given options to offset their emissions locally One passenger journey from Marseilles to Lyon will emit in CO2:

7 Accomodation Hotel with an environmental management system recommended
Accomodation within walking distance to public transport Hotel fully accessible to those with special needs Free Wi-Fi access and/or computers with internet access in the hotel for better access to online documentation Recommend the hotel to use local, organic or fair trade products during the celebration of your event Water efficiency policy in the hotel Le traitement du linge hôtelier représente sur la France : – tonnes de CO2 émises par an (soit l’équivalent d’une ville de habitants telle que Quimper ou Levallois-Perret), – Plus de 10 million m3 d’eau par an (soit les besoins annuels de français) tonnes de produits de lessive. The treatment of Hotel bed linen represents in France tons of CO2 emitted per year (i.e. the equivalent of a town of inhabitants such as Quimper ou Levallois-Perret)

8 Catering: waste, packaging
Exact number of participants calculated to avoid waste Use reusable dishes, cutlery, glassware and avoid aluminium, plastic or polystyrene Drinking water served with onsite filter or jugs Waste produced during catering collected and separated accordingly Recycling instructions clear to participants

9 Catering: Food & beverages
Locally produced food and beverage using seasonal regional products Dietary choices considered (e.g. vegetarian) Drinking water from the tap used Organically certified food and beverages served Fair Trade products (e.g. coffee, tea and sugar) provided 1 kilo of beef produces more GHG than a car during 250 Km and consumes up to liters of water

10 Communication & materials
Participants informed from the beginning about the event sustainability policy Minimal use of printing, using electronic means where possible If needed, paper, posters, programme and other communication elements 100% recyclable, chlorine free paper and produced with recycled materials Invite participants to bring their own pens and paper to the meeting Electronic registration system for participants Reusable participants’ badges Avoid goodies Turn off lights and equipment when not in use

11 Calculate & Compensate CO2 emissions
Three key steps for a carbon neutral event : Calculte/measure your carbon footprint ( Start reducing your emissions Offset any remaining emissions using high quality carbon offset projects (e.g. plant trees, energy projects..) Following the event, communicate around the amount of CO2 emitted, offsetted emission to encourage eco-responsible event!

12 To go further: ISO 20121 Certification
ISO is a management system standard that has been designed to help organisations in the events industry to improve the sustainability of their event related activities, products and services.  What is the purpose of the ISO event Sustainability Management Systems? to provide a framework on how to implement a management system to manage sustainable development issues taking into account social, economic and environmental factors. Objective: MAP and each Regional Activity Centre to be awarded ISO certification!

13 Planning to ISO 20121 Certification
Diagnosis presentation (report of interested parties interviews, issues presentation) ISO 20121 Audit certification Internal audits and management review Strategic Diagnosis Feb. 2016 1. PLAN 2. DO Implementation of action plan Writing of policy and procedures End Oct. 2016 2018 2020 Life of system 3. CHECK 2019 4. ACT Evaluation & Monitoring Taking corrective actions Identification of non conformities
