File Update Setup
5
File Update Setup For example.
I have a saved CSV file that I would like to import into Prelude. I want to update the Customer file with the following fields. Also, note the name of my Csv file……CUSTOMER.LIST.CSV
6
File Update Setup File Format Name: This is a user defined name. You can name this anything thing you wish. I am naming this update CUST.REP.AR.UPD Description: Provide a description that readily identifies this file update for future reference. Database File Name: Which file in the system are you updating. This was previously restricted to CUSTOMER only. Enter the name of the file to be updated. ******click mouse to display next screen showing all file’s that can now be used. -CUSTOMER -EMG RSN.CODE -HOLD-AREA -SALESMAN -SHIP-TO -SHIP-VIA -VEND
7
File Update Setup Enter the separator on this file used for import. Valid options are TAB, CSV, PIPE, or FIXED. (F3) What kind of file are you using to import this data. As you recall mine was a CSV file.
8
File Update Setup Where does data start on your CSV file? If CSV or TXT file, what row does data start? If text headers, you want to remove them or designate what row the actual data begins. Let’s take a look at my saved file again to see how I came up with Data Start Position of 2.
9
File Update Setup My data begins on ROW 2
10
File Update Setup Enter position where the key is stored in dataset. If multi part key, enter the fields separated by comma. For Ex: 1,2 is key fields are in field 1 and 2.
11
/FLI - File Layouts Enter position where the key is stored in dataset. If multi part key, enter the fields separated by comma. For Ex: 1,2 is key fields are in field 1 and 2.
12
File Update Setup My data begins on ROW 2
13
File Update Setup Enter 'Y' if the data used for the key field should be zero filled for a consistent length. For Ex., customer number is 6 or 8 characters in length. Enter the number of characters in length the key field should contain. For Ex: enter 6 if your customer numbers are to be 6 characters in length. Enter 'Y' to create new records for data content not found on the system
14
File Update Setup – F5 Define Layout
If Fixed length then enter the starting position within dataset. If field delimited, then enter field number or return to advance automatically. Enter the dictionary item which this field from the .CSV file will update. Enter format of the data within the received dataset Enter a Number Representing The Number Of Decimal Places Stored On The Field In Question. If The Number For This Field Has The Decimal Place Already Set Then Place A Period In Front Of The Number. (ie Would Have A 3 Entered If It Is Supposed To Be To Specify That This Field Is A Date Enter 'D'. Enter 'Y' to override field with data. If multi-valued field, you can also enter 'B' to insert at beginning or 'E' to insert at end to add to existing data. Enter 'Y' to convert data imported to upper case or enter 'N' not convert to upper case. (F3) Does the value in the spreadsheet need to be zero filled to certain length? If so then enter the consistent length of this field to be zero filled if needed.

F3 and search. This will fill in the first two prompts.
17
File Update Data Import and Report
Search for file format name that you previously set up.

File Update Data Import and Report
'A' to display all records from data source 'E' to display only records that are found on file 'N' to display only records that are not found on file. Number of records: 20 is a good sampling. What do you want to display on your sampling?

Take Precautions When Importing
Make sure you have a good backup Perform on your TEST account first Review the data import report before updating Review a good sample of items, at least 20 Data corrections can be costly! WARNINGS!!!!!!

Enter a data extract name or id that will reference this configuration. (User defined) Give it a description. User defined Database File name: From which file are you pulling data. Enter the name of the file generated by this extraction routine. (no spaces) In other words , what do you want to name the file you are creating.

Enter the extraction ID that represents the configuration of data to extract. Enter the delimiter to use (TAB, PIPE or CSV) to build the data extraction. or Unix directory. One or the other. Unix?
