6. 1 - Classification Markings (6380)
Note: Corresponding tasks 3058, 5088, 5110, 5111
Definition: A clearly defined system of classification markings and requirements to ensure compliance with appropriate DOD instructions
Purpose: Provide required format consistent with DOD directives for proper classification of O&Rs and documents. Allow administrators to add drop down menu options, such as for “Classified By” and “Declassify Instructions”. Provide automatic checking system to ensure overall classification is consistent with all portion markings. Delete or gray out all classification options on NIPRNET JLLIS.
Desired results: User-friendly classification marking system consistent and compliant with DOD directives.

7. 2 - Free-Form Report Generator (3059)
Definition: The ability to effectively and efficiently create reports and briefings from JLLIS entries using various Microsoft Office products (Word, Excel, Power Point)
Purpose: COCOMs are required to provide numerous after action reports/products in different formats to different agencies. A free-form generator would provide significant time savings in the generation of these reports/products
Desired results: Free-form generator that allows users to select multiple O&Rs to be transferred into a desired Microsoft Office product (Word, Excel, Power Point), allows users to create templates specifying which data fields are to be included in the transfer, and how they are displayed, then creates the desired report/document

8. 2 - Tracking & Analysis Tool
Definition: Provide export function for agreed to fields that can be used in locally developed Excel or Access database tracking tool.
Purpose: The data export function would allow the user to produce reports based on an O&R information query by a user. User would have the option to export data to a format of their choice, to include Excel, text and potentially create PowerPoint slides
Desired Results: Data export function queries single or multiple Tier O&Rs based on the query topic. User has capability to select data fields and modify or filter criteria based on user request.

9. 3 - Selectable Sharing of Documents (4470)
Definition: The ability to Activate O&Rs for a selected group
Purpose: Users, particularly CLMs for a Tier 2, have a requirement to limit access to an O&R to personnel within their Tier 1 or Tier 2, or a limited number of Tier 2s. Currently, Pending O&Rs can only be accessed by CLMs or Team Members. To allow access to all users within the respective Tier 2 requires Activation, which allows access to ALL JLLIS registered users. Tier 2s may be reluctant to use JLLIS as their internal lessons learned tool without the ability to limit access to their Tier 2.
Desired results: The ability for administrators and CLMs to activate O&Rs for a selected group

10. 4 - Hover Help (3063)
Definition: Text blocks appear for specified data fields describing data entry requirements when mouse “hovers” over data field
Purpose: There are no instructions available to the User to assist in submitting O&Rs. To facilitate the submission process of O&Rs, show the data required via a Help window when mouse “hovers” over a data field (not required for ALL data entry options).
Desired results: User-friendly submission process that removes questions by user on data entry requirements and allows effective employment of local business rules/processes

Administrators should have the ability to select those data fields requiring “hover” help, as well as identify what the “hover” help states (in order to accommodate local business rules/processes). This capability is available for metadata tags; should be available for any fields deemed necessary by administrators.

11. 5 – Import / Export Capability (5683, 6477)
Definition: Import / Export Capability
Purpose: Import data records from other lessons learned collection systems. These are systems used to capture bi-lateral and multinational exercises unable to use the US Only JLLIS.
Desired results/long range goal: Interim solution until JLLIS can be revamped to share lessons with other nations IAW FDO guidelines.

12. 6 - Binder Search (6181)
Definition: The ability to search for a specific binder
Purpose: Need a capability in MyBinders that will allow a user to readily find a binder.  Reason:  If a person mistakenly places a binder into a wrong parent binder, and doesn't take notice to where he placed it, it is very difficult to find that binder again.

13. 7 - O & R Link to Issue Resolution Record (6284)
Definition:
Create a clear link on the O&R to any associated entry in the Issue Management System (IMS) portion of JLLIS.
Similar to link from IMS record back to original O&R.
Several O&Rs should be able to be identified and linked to an IMS record.
Purpose: Allow users to view any current or past issue resolution efforts associated with an O&R.
Desired results/long range goal: Users should be able to move quickly to IMS data from a queried O&R and vice versa.

14. 8 - Automatic E-mail Notifications (5754)(5684)
Definition: Allow administrators greater flexibility in use of auto- notifications
Purpose: Tier 1 administrators are receiving automatic s for all O&Rs submitted to subordinate Tier 2s as well as whenever CLMs take action on O&Rs in their respective Tier 2s. This becomes overwhelming to administrators and “hides” the more important automatic s for O&Rs submitted to the Tier 1. capability to notify individuals when they are selected for action on an item, selected to “partner in” on exercises, or when lessons learned are being shared.
Desired results: Administrator flexibility in selecting which automatic s are required

15. 9 - O&R Feedback (5798)
Definition: Provide automatic to submitter of O&R when that O&R is modified in any way, or when another user’s perspective is added
Purpose: Feedback is important for a knowledge management system. User’s should receive feedback on O&Rs submitted. This not only facilitates knowledge management and collaboration, but will encourage continued use of the system.
Desired results: Automatic notifying submitters when O&Rs they submitted have been modified or when perspectives have been added.

16. 10 - Additional Sortable Fields in MyBinders (5760)
Note: This coincides with CMT# 5756, 5758
Definition: Provide the additional sortable fields of Tier and Event Name on the MyBinders page and in each representative binder, respectively
Purpose: Currently, there is no way to see which Tier created a binder or to see which event name is associated with an O&R within a binder
The addition of a sortable Tier field on the main page of the MyBinders page would allow JLLIS administrators the ability to sort through binders by Tiers – this eliminates a lot of the clutter seen by the administrator and allows the quicker retrieval of a Tier’s binders.
The addition of a sortable Event Name field within a binder allows a Tier 1 or Tier 2 the ability to categorize the binder by Event Name

17. 11 - Provide “Look-up” Function When Sending O&Rs via E-mail (5762)
Definition: Provide the capability to browse for an address via Microsoft Outlook when forwarding O&Rs via
Purpose: To an O&R requires the sender to go into Outlook, look up the recipient’s address, and then manually type it in. This lends to errors and incorrect submissions (JLLIS doesn’t tell you that you’ve sent the O&R to an unknown address). Providing this browse capability gives an expeditious method for sending O&Rs to Team Members, SMEs, & other parties of interest.
Desired results: Incorporation of Microsoft Outlook contacts data base to facilitate ing of O&Rs

18. 12 - Confusing Submission Buttons to Add Observation (5935)
Definition: The “Save” options are poorly defined when submitting observations (Save and Attach, Save and Return, Save and Exit, Save as Draft)
Purpose: Too many poorly defined options are available to a user when submitting O&Rs. The “Save and Attach” option could be eliminated by making the attach function a standard feature (see CMT). The “Save as Draft” function is good until submission. “Save as Draft” and “Save and Return” are nearly redundant. Change “Save and Exit” to what it really does: “Submit Observation.” The system needs to be as simple and user friendly as possible – 2 buttons should meet the need
Desired results: A simple and easy method to understand the process to submit O&Rs

19. 13 - Browse Function when Adding Link (5153)
Definition: Add “Browse” function when adding a link to a binder
Purpose: To add a link to a binder in the current JLLIS version, one has to manually type in the link address to that source. This increases the changes of erroneous input and adds to the time it takes to add the correct source document. Using a Browse function when adding a link saves time and reduces errors when linking a file to a document
Desired results: User-friendly and efficient system to add links to a document.

20. 14 - Provide “Hide” Capability on Drop Down Menu Content (3062)
Definition: Tier 2 CLMs should have the ability to manage drop down menus (hide some content) to make the Tier 2 more usable for users at their level
Purpose: Only administrators can add drop down menu content, such as Event Names. As such, all events for all Tier 2s must be created by the administrator, thereby viewable by all Tier 1 users. Components and subordinate commands (Tier 2s) should be able to display only those items, such as Event Names, that are applicable to them without being displayed to non-event participants
Desired results: User-friendly system at Tier 2 level

21. 15 - Selection of Any Tier 2 When Adding O&R (5753)
Definition: Submitters of O&Rs should be able to select any Tier 2 within the parent Tier 1, or a different Tier 1 when adding O&Rs
Purpose: Many users work within their Tier 2. It is not intuitive that they need to enter a different Tier 2 to submit an O&R to a Tier 2 different from their own. As such, when O&Rs are submitted by these users, they default to that Tier 2. Users should be able to remain within their Tier 2 homepage but have the ability to select different Tier 2s or Tier 1s for receipt of O&Rs. This applies only to adding a new O&R and does not connote giving CLMs the ability to move O&Rs to other Tier 2s
Desired results: Users select which Tier 2 within parent Tier 1, or which Tier 1, will receive submitted O&Rs

22. 16 – Global Addition of Interagency Home Menu (5485)
Definition: Provide each instance and each tier of JLLIS with the menu items of “Interagency Home” and “JLLIS Documents”
