3
Introduction A primary use of the Titles subject area is to be able to perform an overlap analysis of titles with both physical and electronic inventory. As space becomes more and more valuable in the library, there is an increasing need to weed the physical items.
4
Introduction Two of the primary factors in the decision making process of “what to weed” are “does the physical resource also exist in electronic format?”. “if the physical resource also exists in electronic format then how often has the physical recourse been used (loaned)” The “Titles” subject area comes to answer both of these questions.
5
Introduction
6
Introduction The Titles subject area contains bibliographic information for all records regardless of inventory type. This differs from both the “Physical Items” and “E-Inventory” subject areas. The “Physical Items” subject area contains only bibliographic records with physical items The “E-Inventory” subject area contains records with electronic inventory
7
Introduction The “Titles” subject area contains bibliographic information for all records Physical inventory Electronic inventory No inventory In the future Digital Inventory will also be included
8
Introduction Because this subject area includes all titles regardless of inventory type, it is possible to do an efficient and effective overlap analysis. Having details of inventory for duplicate titles can provide the proper data for initiating a physical inventory weeding process, thereby engaging in true “data driven decision making”.

The default reports are located under /Shared/Alma/Titles/Reports The default dashboard is located under /Shared/Alma/Titles/Dashboards

Running the reports – Prompt by Dewey Number
Here we run the “Prompt by Dewey Number” report. We can choose a specific Dewey number or an entire range. We will click “More/Search” to select a full range, for example all Dewey Numbers starting with “2” to get a full range of specific shelves in the library.
14
Running the reports – Prompt by Dewey Number
Now we have chosen all Dewey Numbers which start with “2”
15
Running the reports – Prompt by Dewey Number
And here are our results. These are all records which have titles which have both physical and electronic inventory and a Dewey range of

Here is an example Perhaps this physical item can be withdrawn or moved to remote storage
17
Running the reports – Prompt by Dewey Number
Both of these records have a Dewey call number within the specific range
18
Running the reports – Prompt by LC Classification Code
Here we run the “Prompt by LC Classification Code” report. We can choose a specific LC Classification Code or an entire range. We will choose code HQ for a specific part of the shelves
19
Running the reports – Prompt by LC Classification Code
And here are our results. These are all records which have titles which have both physical and electronic inventory and an LC Classification Code of HQ.

21
Running the reports – Prompt by LC Classification Code
Each of these records has the specific LC classification code HQ which was filtered via the prompt.
22
Running the reports – Prompt by title range
Here we run the “Prompt by title range” report. We will run from “feminis” to “feminisz” The prompts “title range”, “word from subject” and “word from title” are not case sensitive can be done on one word or a string (no need for quotation marks)

25
Running the reports – Prompt by word from subject
Here we run the “Prompt by word from subject” report. We will run it on string “gender studies”.

Both of these records have “gender studies” in the subject
29
Running the reports – Prompt by word from title
Here we run the “Prompt by word from title” report. We will run it on string “information science”.

Running the reports – Prompt by word from title
It is also possible to add usage measures to a report. The Usage measures include loans as well as usage from the Alma Link Resolver subject area.
33
Running the reports – Prompt by word from title
There is also a folder of usage measures which is pre-filtered by only the last 365 days.

35
Including Usage as an additional factor
In the next slide we have A list of titles which have both physical and electronic inventory. The titles also have “feminist theory” in the subject The number of loans in the last year for the physical items is displayed. It is evident from the report that the vast majority of these items have not been loaned in the last year
36
Including Usage as an additional factor
While the presence of both physical and electronic inventory is a strong factor in the weeding process, it is also important to combine this information with usage statistics. For example there may be inventory for the same resource in both physical and electronic format, but perhaps the physical format is still heavily used. In order to be able to take this account, the Titles subject area includes usage information for both the physical and electronic resources.

Including Usage as an additional factor
It is also possible to filter the report and receive only those which have never been loaned at all or never been loaned in the last 365 days Here we are filtering by those which have never been loaned
39
Including Usage as an additional factor
Now we have A list of titles which have both physical and electronic inventory. The titles also have “feminist theory” in the subject The number of loans for the physical items is 0. While it is clear that additional factors do need to be taken into consideration, these are definite candidates to be weeded from the collection
