An electronic version is required, which should be submitted to Proposals are limited to 35 pages total. Prices and other requested data must be on the Schedules Provided Proposals must be responsive and satisfy all mandatory requirements Any deviation from requirements must be noted in Exhibit 1 as Restricted Services

9 Scope of Work Scope of work.
Wayne State School of Medicine intends to replace, renovate, upgrade and modernize the Audio Visual systems in both the Margherio Conference Room in the Mazurek Educational Commons and the Stapleton Conference room in the Shiffman Medical Library. The upgrade in both conference rooms will include new video projection equipment and audio equipment. Both conference rooms will reutilize currently installed projection screens and celling mounted speakers. Screens shall be repositioned to match new projectors aspect ratio. Installation and upgrade of all equipment will include the removal of any unused remaining equipment and removal of any unused remaining wiring. Both conference rooms current AV equipment rack will be reutilized for new equipment. Both conference rooms will reutilize current podiums with equipment rack space, mounted microphone, computer and computer monitor. Both conference room’s lighting and shade control systems shall be reutilized and integrated into the new AV system control panels. All current power sources and connection points should be reutilized for system upgrades unless both WSU-SOM and vender determine there is a need for additional power outlets.

10 Scope of Work Margherio Conference room (room 141) requires the following: Two new ceiling laser projectors fed by multiple sources with a Crestron touchscreen control panel located on the room’s podium.  The computer housed in the podium shall be the main source for video projection, however additional connection points shall be installed at the podium to allow for alternate sources to be utilized with the AV system – i.e. HDMI & VGA inputs.  The conference room’s eight (8) side pods currently configured with starboards and short-throw projectors shall be replaced with eight (8) 75” wall mounted monitors.  Pricing for eight (8) alternate interactive panels shall be included in bids. Each side pod shall have various connectivity options – i.e. HDMI & VGA.  The conference room’s Crestron system will require full matrix connectivity to allow any/all side pods to be projected through the room’s two projectors and each side pod shall be able to receive the signal from primary source at the podium.  Primary control of the room’s AV system shall be through the Crestron touchscreen control panel located at the podium.   The conference room’s current camera/audio recording system shall be integrated into the new system including connectivity to the SOM AV control room for recording purposes.  Contractor shall be responsible for and ensure the current camera/audio signal path is maintained to the control room including any needed integration with the new AV control processors.  Audio equipment upgrade shall reutilize current ceiling mounted speakers.  Audio upgrade shall include wireless microphone system that includes a minimum of eight (8) handheld microphones and two lavalier/lapel microphones.   Audio system shall include a minimum of one XLR output connection to allow for recording by SOM AV and/or outside AV production crews.  Audio system upgrade shall include audio conference integration. Audio connectivity shall include each side pod and podium’s computer & alternate input sources.  Upon completion of the AV system upgrade a full system test and check shall be performed by vender with SOM AV staff present.  Vender shall also provide complete training of new AV system to SOM AV staff.  Diagrams, written instructions and all equipment manuals shall be provided.

11 Scope of Work Stapleton Conference Room (Shiffman Medical Library) requires the following: One new ceiling laser projector fed by multiple sources with a Crestron touchscreen control panel located on the room’s podium. The conference room is currently equipped with a retractable ceiling mounted projector platform – this shall be reutilized and integrated into the new AV system (including being able to drop down to a tech service positon). The computer housed in the podium shall be the main source for video projection, however additional connection points shall be installed at the podium to allow for alternate sources to be utilized with the AV system – i.e. HDMI & VGA inputs. Audio and video connection points shall also be installed at each end of the conference table. Audio upgrade shall include an audioconferencing system with multiple audio transmitters or microphones. Current conference room ceiling mounted speakers shall be reutilized. Audioconferencing shall be controlled by Crestron touchscreen control panel located at the podium.

13 Information Submitted on Request
Publicly distributed annual reports and/or independently audited financial statements A minimum of three (3) qualified references Lost Accounts with annual billings of $25,000 per year

14 Contracting Process Any contract will be made using the University’s Standard Service Provider Agreement Agreement will incorporate this RFP and its terms and conditions by reference Any Vendor terms to incorporate into the Agreement must be included in Exhibit 1 Final contract will require approval by the University’s General Counsel

15 Other Information All Proposals are subject to the State of Michigan Freedom of Information Act If awarded a contract, VENDOR must provide a Certificate of Insurance as outlined in Schedule B Vendors should include any Supplier Diversity information (self or sub-contractors) Construction or construction like work must be performed at Prevailing Wage Rates Wayne State has a smoke- and tobacco-free policy for indoor and outdoor spaces
