The Beginning of the Year/Placement
Update Educational & Clinical Supervisors If you don’t do this they can’t see your portfolio Set Appointments (Placements in Program) These are your placements through the year and will auto-populate your ESSR at the end of the year. Create PDP & Learning Agreements Date of completion must be before ARCP date. Remind trainees to add each new appointment, so that the ESSR is populated with annual appointments. Can be done in retrospect. Also need to ensure that Clinical & educational supervisors are updated for each appointment. To set new appointment, go to planning tab, and then add appointment.

Appointments Fill in the details of your placement…. Fill in details.

Appointments Populates appointments list, and will appear on ESSR. This will create a list of placements throughout each training year, which will auto-populate your ESSR.

Personal Development Plans
Create a new PDP at the beginning of each new placement…. Reminder of how to create PDPs. Go to planning tab and click create new plan

Personal Development Plans
For each placement you should create one PDP, with multiple objectives e.g. Obstetrics, ICU, higher Paeds. Then heading for a new plan If you have a long placement e.g. 1 year, perhaps create 3 or 4 PDPs over the course of the year to coincide with you educational supervisor review meetings.

Once you have created a PDP for a module or period of time, so can add multiple objectives… Then save it and within the PDP e.g. for a particular rotation the trainee can add specific objectives…

Learning Agreement A Learning Agreement is a more formal agreement between you and your supervisor… it is created in the same way a PDP, just change the drop down box to a “YES”. Learning agreement – made in exactly the same way as a PDP, just on the initial page. Click YES under the learning agreement heading.

During the Year Work Place Based Assessments (WBPAs)
Completion of Units of Training (CUT forms): Based on WBPAs, number of cases and consultant feedback. MSF One per year Adding activities and evidence to your portfolio Interim Report if you change trusts or are going on leave e.g. maternity leave, OOPE etc. Remind trainees to add each new appointment, so that the ESSR is populated with annual appointments. Can be done in retrospect. Also need to ensure that Clinical & educational supervisors are updated for each appointment. To set new appointment, go to planning tab, and then add appointment.

WPBAs Make sure you select the right training grade Fill in details.

WPBAs WPBAs now require more written feedback… you can fill some of this in for your consultants following discussion, they will review this before signing it off. WPBA – the main change is that they require specific free text feedback, rather than tick box.

WPBAs – Review of Progress
Review your progress through the year using via the ACRP Record… Good way to keep on top of how a trainee is getting along throughout the year is the WPBAs – Review of Progress Go into List of ARCP Records… then go to “review of progress’ tab

Brings up a helpful red/green list of all the required WBPA’s for a training period (basic/intermediate/higher)

CUT Forms CUT forms are created from the assessment tab… just select the relevant training grade and Unit of Training. CUT form Go to enter new asssessment and then spect unit for sign off

CUT Forms The form will auto-populate with linked WPBAs as evidence.
It will populate all linked WBPAs and then you have to review trainees logbook to ensure sufficient cases.

CUT Forms Your educational supervisor can add any additional comments e.g. from consultant feedback in the department etc. Can sign off with the trainee at the time, by putting in assessor login details.

Multi-Source Feedback
Create early: takes a least 6 weeks to complete process. I would advise at least 3 months before ARCP, at the very latest Up to 30 names (try and get at least 20) Remains open for one calendar month from sending Once closed your Educational Supervisor needs to release the results. Remind trainees to add each new appointment, so that the ESSR is populated with annual appointments. Can be done in retrospect. Personal Activities Personal activities – things that a trainee does during placement e.g. teaching, training courses, presentations, audit etc. Add personal activites during the year as evidence of other educational activities e.g. audit, personal reflection, courses, conferences… Very useful for updating your CV… and auto-populates you ESSR.

Personal Activites Many different categories of ‘personal activity can be added’ Drop down box of various categories… including personal reflection.

Activities and Evidence
You can add some reflection on activities… this is a useful log of reflection especially if you have upcoming interviews. Can write a bit of blurb about the activities and can add some review/reflection – especially useful for recollection for interview etc.

Personal Activites Activities can be linked to specific PDPs as evidence. Activities can also be specifically linked to PDP objectives as evidence.

Adding Evidence Evidence can also be added – eg certificates for exams, progress, CV, logbook etc. (trainees will have to upload logbook and CV prior to ARCP and ESSR submission) Go to library tab and select add evidence Evidence is more formal data e.g. uploaded CV, Logbook, certificates

Activities and Evidence populates the ESSR
Your activities and evidence auto-populate your ESSR under specific headings. Activities and evidence will then populate the ESSR – so there is a list of additional activities for the ARCP.

Interim Reports Interim reports should be created if you are changing trusts during the year or if you are having a break from training without an ARCP e.g. maternity leave, mid-year OOPE etc. Interim progress report – bit like a mini-ESSR. So review of progress and activites, useful with moving hospitals during the year (between ARCPs). So that new ES has some idea of current progress and ongoing educational aims. They are created from the Assessments Tab

Interim Reports The Interim report will auto-populate with any completed units of training during the year up to the time of the report. Like a mini ESSR – will self populate from completes WBPAs, CUT forms and activites/evidence.

Interim Reports There are some further tick boxes to summarise your educational, clinical etc. progress during the report time. Tick boxes re: educational and clinical progress.

The ESSR: Getting it signed off
Your ESSR can be opened at any time of the year; added to and saved. Do not complete and send it to your supervisor until you come to the end of the year and are completely happy that it is complete. I would advise reviewing it with your supervisor before officially sending it to them. Review your ESSR in good time (at least 4 weeks before your ARCP), as your portfolio closes 8 days before your ARCP and your supervisor and college tutor must have reviewed your ESSR before they can approve it. Activities can also be specifically linked to PDP objectives as evidence.
