ONE YEAR, ask a student who failed a grade ONE MONTH, ask a mother who gave birth to a premature baby ONE WEEK, ask the editor of a weekly newspaper ONE DAY, ask a daily wage laborer with kids to feed ONE MINUTE, ask a person who missed the train ONE SECOND, ask a person who just avoided an accident ONE MILLISECOND, ask the person who won a silver medal in the Olympics

Definition Management of time: to make most out of it All practices that individuals follow to make better use of their time We can't manage time. What we really manage is our activities during time, and defining outcomes and physical actions required is the core process required to manage what you do

Five Steps to Successful Time Management
1. Set specific academic and personal goals 2. Create a term calendar, recording major events 3. Create a weekly schedule of your classes, labs, seminars, exams, etc….. 4. Decide on specific times to work on each course 5. Make a to-do list for each day the night before or during breakfast

Time management Schedule preview time (5-30 minutes) before each class whenever possible. to review all/some of the notes in preparation for upcoming class Schedule review time after your classes (5-30 minutes) whenever possible. To edit & summarize notes, look over assignments given and begin to plan when and how to do them Schedule intensive study/review time for each class. Try to schedule study time each day for each class Schedule weekly review (WR) for each course at the end of the week. Plan also next week & determine how much reading you need to do, what projects are due, and any tests scheduled

Obstacles to effective time management
Unclear objectives Disorganization Note: You may wish to add personal experiences as examples of one or more of the obstacles to enhance the presentation. There are a lot of things that make it difficult for us to manage our time effectively. Let’s consider some of the most common ones, and see if they apply to us: Unclear objectives – It’s hard to hit a target with your eyes closed, and it’s just as hard to accomplish something when you aren’t exactly clear about what you want to achieve Disorganization – It’s easy to see when your desk is too messy, but sometimes you have to step back and ask yourself if you are taking an organized approach in completing all of your tasks Inability to say “no” – We all want to be as helpful as we can when others need us, but this can mean taking time away from other priorities to do something we may not have planned Inability to say “no”

Interruptions More interruptions Interruptions – Many times we are in the middle of accomplishing something really important and the telephone rings. These calls can not only take you away from your task, but sometimes they interrupt your train of thought and you can’t return to where you were without retracing your steps More interruptions – We all like to visit with others, but conversations at inappropriate times can cost us time when we have to stop what we are doing and redirect ourselves from our plans Periods of inactivity – As much as we think we are busy, there are times in our day when we are not really doing anything. Recognizing and making use of these times can have a positive effect on our efforts Periods of inactivity

Too many things at once Stress and fatigue Too many things at once – Many of our tasks are not routines. They require concentration to detail. When we are attempting to do too many different things at one time, each individual task suffers as a result Stress and fatigue – Everyone experiences stress from time to time, and sometimes we actually operate a little better when there is some level of stress. Too much stress, on the other hand, causes our work to suffer and wears us down physically and mentally. Dealing with stress is an important part of time management All work and no play – Most successful people know how to balance work and play. When work takes over your life, you not only give your body little time to re-energize, but you may end up sacrificing the really important things in life like family and friends All work and no play

Time tips 1.Stop regretting your failures / start learning from your mistakes 2.Continually look at ways of freeing up your time (time watching TV) 3.Examine your old habits & search for ways to change/eliminate them (Get enough sleep) 4.Try to use waiting time-review notes 5.Keep paper or a calendar with you to put down things you have to do or notes to yourself 6.Examine & revise your lifetime goals & look at progress 7. Plan & develop list of things to be done each day (priorities). Evaluate progress at the end of each day 8.Look ahead in your month and try anticipate what is going to happen (better schedule your time)

9.Have confidence in yourself & your judgment of priorities (stick to them) 10.Start with the most difficult parts of projects 11.Catch yourself when involved in unproductive projects and stop as soon as you can 12.Concentrate on one thing at a time 13.Push yourself and be persistent, especially when you know you are doing well 14.Delegate responsibilities whenever possible 15.Try rewarding yourself when you get things done as you had planned 16. Learn to say “no” to people

We value other people’s time more than our own We have a need to cooperate & a desire to be liked There are often unconscious concerns of being thought of as lazy or selfish How do you say it? “I can’t do it right now, but I can fit it in later.” “I am not the best person for that…” “I just don’t have time for the next few weeks.” “I have made a commitment to complete my current project/task ahead of any other.” “Normally I would say yes, but I’ve few things come up and I have to deal with those first.” “I would rather say no than doing second rate job”

Do you allow flexibility in your plans?
Always Often Sometimes Seldom Never 5 4 3 2 1 How often do you plan in an effort to keep life from running out of control? Do you put daily plans on paper? Do you allow flexibility in your plans? How often do you ac-complish all you plan for a given day? How often do you plan time for what matters most to you? How often is your daily plan de-stroyed by urgent in-terruptions?

INTERPRETATION: 6-10: Terrible Planner. 11-15: Below average planner.
You should consider using new tools and processes to help you plan effectively. A great first step would be to take a time management course. 11-15: Below average planner. You may already have a planning system, but using it more effectively will help to reduce the stress and lack of control you feel in your life. 16-20: Average planner. Your planning system is working, but you can do better. You may need help focusing on priorities, dealing with urgent interruptions or writing your daily plan.

Cont’d 21-25: Above-average planner. Your planning system is working well. Keep up the good work, with periodic reviews to be sure you’re planning around what matters most in your life : Excellent planner--or candidate for burnout? You have mastered planning and should experience the serenity that comes from taking charge of your life. But make sure you’re in control of your planning rather than letting it control you.
