Offices are changing I am sure every one of us has worked in a office like this in the past or are doing so even today. We all like private spaces and want to have our own space. But this type of office layout is becoming passé and for very good reasons.

The modern office The modern office looks more like this. No private offices and more open spaces to work in. It has greater spaces dedicated to collaboration areas. Because we need to collaborate more and more to solve our customers’ or organizational problems. Because the combined skill sets of teams help find smarter and faster solutions. Mobility is not about just working away from offices but also working within offices. Our work flows need to move with us and not be stuck to our private offices. This change is not only leading to better work environments and greater productivity. It is also helping companies save more than 30% in real estate costs with efficient use of office space. Can you imagine you have a manufacturing facility but 60% of its capacity is not utilized? Then why do offices have to spend more on real estate spaces for private offices that are not utilized most of the time because people are in meeting rooms? Due to the need of this mobility is the fact offices are becoming more wireless and less wired allowing people to move their work to where they need to be yet be connected to their activities on the computer.

Wireless office infrastructure
Wireless infrastructure costs 50% less than wired infrastructure enablement in offices. Wireless is fuss free. It enables connectivity not only to desktops and laptops but also tablets and smartphones. Wireless also enables BYOD for the digital natives of today’s workforce.

And wireless connections are eco-friendly. “Deploying a wireless network can save you up to 50 per cent of the costs of a traditional wired network as it requires less physical hardware to roll out and maintain, according to Dimension Data’s 2013 Barometer Report.” “In addition to capital savings, the report said a wireless network is cheaper to operate because they are easier to manage, provide unified access and require less power and cooling.”

Adoption of Cloud based applications is growing rapidly within enterprises This is just one of many statistics you can find on cloud. I found this one particularly interesting because it spoke about enterprise applications on cloud. What started as experimentation with Cloud is now gaining momentum and customers are putting more and more applications on the cloud as they begin to gain trust and have tested some systems. The biggest growth is in SaaS-based applications. What started out as consumer-like applications now have enterprise class functionalities. A good case in point that we may all have common knowledge of is Salesforce.com. What started out as a basic, easy to use , easy to deploy solution is now strengthened by communities that have contributed to it further as a enterprise solution. All of this means our customers need different devices that are more conducive to the new world order of Cloud, Mobility & BYOD.

Security is top concern
Assuming we can meet the needs of our customers looking for scanning solutions that fit with their Cloud, BYOD and Mobile strategies, two major road blocks that stop them from adopting these technologies are : Security They are very comfortable with status quo and providing wireless access is generally perceived as a risk within organizations Speaking to our specific world of ECM ECM decision-makers still have concerns over mobile adoption, with security of content topping the list of challenges

Learning new technology can be a challenge – but it doesn’t have to be
With all those great trends if CIO decides “this is great for our organization, lets do it.“ Implementing is never easy. For the User, there is something new to learn and change is never pleasant to most people … at least at work For the IT team, making it all work together seamlessly always takes too much effort, time & money. Integrating into existing work environments are critical for success. Assuming IT finds a solution ideally suited to answer the needs of the future, wouldn’t it be great to leverage the investment?

Are shared devices really productive?
Sometimes when we leverage our investment by using shared devices for scanning into our critical business workflows it really is not productive Because walking away from our desk to just scan a few critical documents can lead to other distractions …. losing time and focus Accomplishing document capture for complex business documents of varied sizes and quality is still a challenge on an MFD or copier. Last but not the least, for the customer across the desk they feel more comfortable if their personal records are handled in front of them rather than away from them.

Intelligent document protection
It’s even smart enough to know when something’s not right. Intelligent Document Protection provides an added level of document and data safeguarding. “Intelligent” because it listens for the very first indication of potential document damage from staples, paper clips or other obstructions. At the initial sound of any issue, sensors stop the scanning process to allow you to take appropriate action and correct the irregularity. Often a user may not notice obstructions left in the scanner, or delicate, folded or even stapled documents mixed in with a batch of documents Documents could be at risk of being damaged, rendering them no longer usable or able to be rescanned Intelligent Document Protection takes jam protection another step further The scanner “listens” for potential document damage in the transport, and stops the scanner to allow appropriate action to be taken
