1 Using Your Assess System
Basic User Site Access Training & Producing Reports (Approx. 5 minutes) Welcome to another OutMatch training! In this tutorial, I am going to show you how to navigate your Assess user site. By the time we are finished with this training, you should be able to process and access all of your candidate reports.

2 What is Assess and who is it for?
Assess is a computerized system that produces work-related assessments for clients who are looking to select, promote, place or develop internal candidates such as Managers, Supervisors and Professionals Two secure websites Survey site - designed to allow applicants to complete the survey online User Site - designed to allow you to process results & test via paper and pencil Candidate Completes Survey Process Reports Process Report For your Assess surveys, there are two sites that are important to remember. The survey site, which is the site where applicants complete the survey online, and the user site, for you as an administrator to process and access results. Candidates can take the survey online at any computer with an internet connection, and reports are immediately available within your user site once the survey is completed. Test candidates online via any computer connected to the web Process reports online via any computer connected to the web

3 The Assess User Site Login Page
Secure access to the site with User ID and Password Each authorized user has their own User ID and Password sample_account lllllll Accessing your user site is simple. The User Site is the portal by which you will manage your candidates. To log in, you must enter your unique User ID and password. If you do not have a password or have forgotten it, you will need to speak to your system administrator. For security purposes, we recommend against ever sharing your password with others.

4 Home Page View Make sure you have Assess selected at the top of the page After you log in, you will land on your User Site dashboard. If your landing page does not look like this, please make sure you have selected ‘Assess’ and are not in the 360 portion of the user site. This is where you will manage the majority of your candidates. If you are looking for a particular candidate, you can sort by First name, Last name, or date by clicking on the header for each column.

5 Searching Search for candidates by clicking the ‘Search’ button on your home page Type in the candidate’s first or last name and select Search If your candidate has taken the survey, they will appear on a separate list You can also search by a candidate’s first name or last name. If the candidate has ever started or finished the survey, OR if you invited the candidate to take the survey directly from the dashboard – his or her name will appear on a ‘results’ list. Click on the name of your candidate to learn more about the status of his or her survey.

6 Survey Status Icons in the Personality & Optional Tests column give an indication of a candidate’s survey status = Not Started = In Progress = Complete *Note – the symbol is a hyperlink to a page where paper/pencil responses can be entered. You should NOT use paper/pencil options without speaking to your account manager first. The status of a survey is indicated by the icon in the candidate’s ‘personality’ and ‘optional tests’ section. Candidates with a computer screen are those that were invited directly from the dashboard to take the survey but have not started. Candidates with an hourglass have started the survey but have not finished it. A check mark indicates that survey has been completed and that you can now process any necessary reports.

7 Accessing Candidate Information
To look up a candidate’s information, click on the person’s name on your candidate list To view a candidate’s specific information – such as – click directly on a candidate’s name. The next page will list this information in addition allowing you to navigate between pages specific to that candidate.

8 Archiving Candidates To Archive a candidate, you must select the candidate you want to archive and then click on the “Go Archive” button To Archive a candidate, you must select the candidate you want to archive and then click on the “Go Archive” button located at both the top and bottom of the candidate list

9 Retrieving Archived Candidates
To retrieve an archived candidate, simply click on the “Retrieve Archived” button at the bottom of the Home page Back on the user site dashboard, you will see that you have the aility To retrieve an archived candidate, simply click on the “Retrieve Archived” button at the bottom of the Home page; then select the candidates you want to Retrieve and select ‘Go’

10 Deleting Participants
To delete a candidate, select the candidate’s name on the home screen, then delete from their profile There is an option to delete candidates though we recommend against it. After someone is deleted, you will have 30 days to restore their survey before they are permanently deleted. Because of this, we recommend archiving candidates instead of deleting candidates. If you do accidentally delete a candidate, you can Restore him or her by selecting ‘Restore Deleted’ on the deleted candidates page.

11 Accessing Reports Click on ‘Ready to Process’ to access the candidate’s report page To process reports, click on the ‘Ready to Process’ link on the candidate’s row of information; if the Reports status is not ‘Ready to Process’, then the candidate has not finished the survey

12 Viewing Your Models From the candidate’s report page you can access any models or reports that are active in your account Next, you will need to decide what report and model is needed. Assess is a single survey capable of multiple competency based This means you will have access to multiple models and report types. Model types are generally role or leadership level specific. Report types include the Hiring Manager, Selection, and Development reports. Note – throughout the site, you might see references to ‘units’. Units are a way of tracking the number and type of reports processed. If are a licensed client, you do not need to consider units. Note: if you feel like you are missing access to a model or a report type (Hiring Manager, Selection, or Development) please

13 Processing a Report Green circle indicates that a report has not been processed Blue circle indicates the report was processed On your report dashboard, you will notice blue and green circles. A blue circle indicates a report has already been processed at least one time while a green circle is an indication it has never been processed. If you are using units (again, not applicable to licensed clients), the number of units it will take to process a report is indicated within the green circle.

14 Processing Reports Your report will open in another window as a .pdf file – you can save or print this file. Once you click on a report icon, your report will open in a different window as a pdf. At this point, you can choose to save or print your report.
