1 Portman Online User Guide

2 The Online helpdesk telephone number is displayed at login, if any assistance is required.
If you forget your password you can use the link ’Forgot your password’ at the bottom of the log in page. This is the log in page where you will be asked to enter your user name and password.

3 Home Page When you log in you will be taken to the Home page.
Under the Services option you will find links to other services that will assist you with your booking When you log in you will be taken to the Home page. From here you can select your traveller, choose which element of travel you require or update user profiles.

4 Hotel Booking

5 Hotel Booking You can name your trip using the Trip Identification box at the bottom of the page so that you can easily locate your booking in future. You have the option to select by either destination, a particular address or by destination shortcuts stored by your company e.g. office locations(not applicable to all sites). There is also an additional search criteria feature which allows you to enter a particular hotel name or hotel chain.

6 Search Results A full list of available hotels for your search location will be provided. Once you have selected the hotel, a list of available Rates will be displayed on the following page.

7 Search Results Company preferred properties will display first and with a Company logo.

8 Finalise Trip Portman RADIUS has negotiated hotel rates at some hotels which will automatically display if available. If there is a cross through the breakfast logo it means that breakfast is not included. A full list of available rates will be displayed. You can find more information about the rate including the cancellation policy by clicking here.

9 Confirm Booking Out of policy rates are highlighted with a red arrow with a thumbs down picture in it. If you select a rate that is out of your company’s policy then you will be asked to enter a reason in the box provided and in addition you will be required to select a reason from a drop down list.

10 Confirmation Page When using the option to add another element to your booking, the hotel room will be booked and the booking placed in processing. At this stage you should complete all mandatory information and then you can either complete the booking or add a Flight, Car or another Hotel room. The Hotel cancellation policy will again be highlighted on the final page.

11 Once you have selected Confirm, the screen will change to show your Confirmation screen.
A Confirmation will be sent directly from your Online Booking Tool.
