What is GlobalMeet? Simply Better Meetings, Better, reliable audio and web meetings.
Ok so lets start by introducing GlobalMeet and look at the key elements of the web product: GlobalMeet is about having simply better meetings, both the audio and web aspects of the meeting are tailored to give you a simple and effective meeting experience with a choice of how you access and run your meetings. We have developed the product to give you access to your meetings via audio, web, while on the move via our mobile applications and have integrated the experience into outlook and your desktop through our easy access toolbar and desktop applications. I am now going to turn off my webcam and advise you to maximize your view of the presentation fully 2

Connect to meetings with one click from your desktop or mobile device. Forget about passwords and dial-in numbers. The meeting calls you. Get a personal, permanent web address with your name on it. Easily start, schedule and manage meetings from your Outlook toolbar. Start/Join your meeting from your desktop in a single click. Manage audio meetings with your visual desktop controls or mobile apps. Share your screen with crystal clear quality. Personalize meetings with webcam video for everyone. Connect globally with international support. GlobalMeet is a great solution for your everyday internal meetings or global consulting with your clients. GlobalMeet web will accommodate up to 125 participants per meeting. Whether you’re a pc user or MAC user, you can host a meeting from anywhere through your login and there are no guest downloads necessary. Let me highlight some of these great features, as you can see from the slide there are lots to chose from, but here are my favorites! We have worked to make connecting to a meeting as simple as possible so you can connect to a meeting with one click from either your desktop or mobile device, the meeting has a ‘call me’ feature making the meet call you, that way you don’t have to worry about finding dial in numbers and passcodes for your meeting. We also have a fantastic option of connecting to your meeting via softphone. We have also personalized your meeting room name so you have a dedicated URL that you can use every time for a meeting if you wish. Accessing your meeting could not be easier – you have a choice of downloading an outlook integrated tool bar so you can easily start, schedule and manage your meetings from right in your outlook or you can download a desktop application that has many of the same features and sits in your task bar. As we move through the training today we will also cover more of these great features such as screen share, webcam, recording and file share as well as great international support if you need a hand. Stop taking notes. Record meeting audio and video with one click. Manage and access meeting files and recordings directly from your meeting. Eliminate the hassle of guest software downloads. 3

Welcome e-mail Key Account Details: Client ID Password Meeting Room
Download Toolbar Access Numbers Conference passcodes Support So the first message you will receive from us will be your welcome . This is your door into GlobalMeet and you will see that it is broken down into three distinct sections. The first is your account information – Name, , Client ID, Password and unique Meeting Address. The second section contains information and links to download our GlobalMeet tools including the Outlook toolbar, Desktop Application and Screenshare which we will go in to in more detail in the next slide but in brief these tools help you to manage your account efficiently and effectively. The third section is where you will find your passcodes – Host and Guest as well as a list of telephone access numbers which can be used by your you or your guests to dial in to a conference. If you are providing guests with a number please ensure that you also provide the guest passcode and NOT your host code. This section will also include contact information on how to reach GlobalMeet support. It is important to keep this safe as you may wish to refer back to it in future for details, We find that many new users start out by downloading their outlook toolbar as this is the easiest and fastest way to access both your audio and web meeting right from your PC. As you can see you have the options of mobile or desktop apps but we will focus on the outlook toolbar straight out

GlobalMeet Outlook toolbar
The GlobalMeet Outlook toolbar is a powerful tool that helps you to quickly setup, start and manage meetings and your account. You can: Start My Meeting – Launches your meeting and you enter as a host - either a phone only or web meeting right from your Outlook toolbar in just a few clicks. Schedule a meeting – You can either start straight away sending your meeting details and launching your meeting or schedule for later, which integrates with your outlook calendar and sends a fully branded meeting invite. Manage your account, update conference options and create additional web rooms through the Settings tab > Meeting Settings. Start a phone only meeting and manage your guests. Another great feature of the Outlook toolbar is that it allows you to schedule meetings in 4 languages. Dutch, English, French, German When you initially install the Outlook toolbar the first thing you might like to do is go into Settings and create a default template for invitations. Here you can select the access numbers, language, one-click access number that appears each time you go to schedule a meeting. One thing to note here is that the toolbar can only be installed where Outlook is used. If your PC does not support Outlook you will not be able to install this toolbar. So if you wish to download the tool bar you can do so from your welcome , we will take you through these easy steps in a few moments, firstly lets look at the option of the desktop application which can be used in conjunction with this tool bar or if you are a mac or non outlook user. GlobalMeet Desktop Application
The GlobalMeet Desktop Application is another GlobalMeet Desktop tool that allows both Windows and Mac users to start, schedule and join meetings directly from your desktop. Key Features to point out here are: You can launch your meeting from the desktop application If you are a Mac user or do not have outlook you can schedule a meeting from here also If there is a meeting you attend regularly you can join a meeting from here It also allows you to upload files in to your GlobalMeet web room by dragging and dropping your file And finally you can also monitor who is joining. Your Desktop Application also gives you access to your Meeting Settings allowing you to manage your account, update conference options and create additional web rooms. So now we have looked at these two great tools, lets look at the easy steps you can take to get started and install them: 6

So how do you go about installing the GlobalMeet tools on to your PC or Mac? Once you have received your welcome you have two ways: Through your web browser go to Through the welcome and the link contained in section 2 which will also bring you to It’s advisable to save the GlobalMeet tools installer somewhere you access in the future, maybe your desktop.

Installation Prior to installation save GlobalMeet sign-in details and close Outlook. GlobalMeet Full Installation OR GlobalMeet Custom Installation Once the download and been completed you will see the screen above giving the option to run a full installation or custom installation. Custom gives you the choice of which application to install, however if you wish to download bot you can leave the option full intallation. If you are using a Windows machine with Outlook it is advisable to run a full installation. Doing so will install the GlobalMeet Outlook toolbar, GlobalMeet Desktop Application and GlobalMeet screenshare. If you are using a MAC machine it is advisable to run a custom installation and choose to untick the Outlook toolbar. Doing so will install the GlobalMeet Desktop Application and GlobalMeet screenshare. Have you account information to hand before starting the installation and ensure Outlook is closed. Outlook is required to be closed for the toolbar to be installed. On screen prompts will help guide you through the install.

Installation cont’d Open Outlook again and sign in using Client ID and password Once the installation is complete reopen Outlook and you will be prompted to enter your Client ID and Password. If you had forgotten to make note of this information “x” out of the signup page, locate your welcome and make note of the Client ID and Password. Close and reopen Outlook as this will prompt the signup page to appear again. You will know the setup has been successful when the page disappeared. If you receive an invalid Client ID or Password message please try to free type the details rather than copy/pasting as this can sometimes lead to additional characters. When you have logged in once you will not have to do this again as the toolbar will remember you and is why when you launch your meeting from the toolbar or desktop application it brings you straight into your meeting as a host. So now you are all ready to go lets now move on to starting your meeting and getting your audio connected,

Starting your Meeting as a Host
1. 2. 3. Save your unique meeting URL to your favourites: Now that you have your GlobalMeet toolbar and Desktop Application installed the next thing we will cover is how to start a meeting. There are three options available to you From the Outlook toolbar > Start My Meeting > Web meeting or Phone Only From the Desktop Application > Start My Meeting From your browser. Please note that if you try to start your meeting through a browser you will need to enter your Client ID and Password. Starting the meeting through Outlook or the Desktop Application means the meeting room opens straight away since both of these applications already have your Client ID and Password saved. An important point to note also - A host should never start their meeting from an invitation. The invitations are for your guests only.

Connecting your Audio Call My Phone Call My Computer Dial In
Once your web room is open the first thing you will see is the Connect Me panel. Here you will have three options: Call My Phone – This means GlobalMeet will call your phone – importantly you firstly select the international dialling prefix and then enter your telephone number remembering to drop the zero – when you click on the connect me button GlobalMeet will cleverly dial your telephone and when you pick up, you will be connected to the meeting, you will hear a prompt asking to you select the number 1 on your keypad to be connected. This is the easiest way to connect your audio to your GlobalMeet web meeting as next time you launch a meeting your number will be remembers and all you have to do is click connect me. Call My Computer – Connect to the meeting over the internet, we advise a good quality USB headset and all you have to do is select your device from the drop down and click connect me. Dial In – Choose to dial a telephone access number and host passcode – this is the traditional way to connect to a meeting Whichever method you choose your audio will now be integrated to the GlobalMeet web platform. Also to note guest joining your meeting will have the same 3 options to connect their audio. So before we go on and look at the web console in detail lets quickly take a look at the guest experience joining a meeting. Call My Phone Call My Computer Dial In 11

Guests will receive a fully branded invite if you use your Outlook toolbar. When a guest opens their invitation, they will see a fully branded outlook meeting invite, Here they can see all details of the meeting, the easiest way for them to join the web meeting is to click the orange Connect me button, lets take a look at what happens next.

When joining via a hosts meeting URL or GlobalMeet invitation When a guest has clicked the connect me from an intive they will be prompted to enter their Name and Address first before the GlobalMeet room opens, once they have done this they will be prompted to connect their audio. Lets now take a look at a GlobalMeet web room and explore the great features it has to offer

GlobalMeet Key Functionality
There are three key areas in your Globalmeet room, firstly your main menu or task bar that along the top of the screen, here you can see meeting functions as well as the notification box that gives you updates as activity takes place within your meeting Next you have the area down the left hand side of the screen where you have the webcam, participant and chat modules Finally you have the activity pane that show your homepage, or if you are sharing your screen or a presentation it will be viewed here So, let me show you around firstly lets take a look at the activity pane showing the homepage in this view, there are four large options here: Invite Guests – Where you can invite further guests via phone or Share my Screen – this option gives you the opportunity to share individual applications or your whole desktop Show a Presentation – from here you can launch your content library and share uploaded documents to share during your meeting Start my webcam – very self explanatory, here you can switch on your webcam You can also see your meeting details as well as any updates and in product notification of new features etc Other Functionality that can see web room is Conference Whiteboard Polling Questions and Answers Recording Chat – there is a public chat and private chat function available and this can be turned on or off, as you can see we have disabled this for today’s session. We will take a look at some of these additional functions now: 14

GlobalMeet Key Functionality Managing your Attendees
Mute All Mute an Individual Control Volume Dismiss a Participant Merge Web and Audio presence As a host you have full control over your guests in the meeting. In the participants pane you can firstly see all your participants names if they have joined via the web or their telephone number if joined via audio only. You can mute all your guests, mute individual guests, increase or decrease their volume, dismiss them from the conference or promote them to presenter status. You can also choose Get Info and see their name, and method of connection. Essentially you can fully manage the quality of you meeting by controlling your quests audio.

GlobalMeet Key Functionality
When sharing your desktop you will notice a bar at the top center of your screen. GlobalMeet screenshare is downloaded from as part of the same download and installation of the Outlook toolbar and Desktop Application. To initiate screenshare simply click on the button in GlobalMeet and the pop-up box “Sharing” will appear. Here you will be able to choose between sharing your desktop, defined areas of your screen and individual open applications. Great for collaborating on documents or giving great application demo’s You may also choose to grant a guest control meaning the guest now has rights to move and amend the shared application or area. At any time the host can revoke control. To stop sharing you can either click the X on the bar at the top of the shared area or stop sharing on the pop-up.

GlobalMeet Key Functionality
You can share files by selecting the large icon in the home page or by selecting file share in the taskbar This feature allows you easy access to your content library, it stores your presentation files in one place, you have access to any recordings made in GlobalMeet and it allows you to share a variety of file types without having to share your desktop. Just click the button Share a Presentation then Add File and Browse. You can share Video, PPT, Word, Excel and PDF All your files are stored in the cloud and can be accessed from anywhere in the world.

GlobalMeet Key Functionality Hosts can record any meeting with a click of a button
1. 2. 3. To record your conference, click the record button highlighted in the screenshot. (lets get full screenshots and number then Select what you would like to record, for example audio and web, name your recording and after the record button is clicked your attendees will hear a prompt saying “This meeting is now being recorded”. Then during the meeting you have two options, to stop or pause the recording. These options can be found be clicking the record button again. If you pause the recording you can un-pause and continue without a break and if you stop the recording this will end the recording and restarting will create a separate file. So we have now looked at the key web functionality how do you manage all of your meeting settings to ensure you get the very best meeting experience for you and your guests

Lets take a look at the next great feature of GlobalMeet now, Meeting settings is where you manage your GlobalMeet settings and account details The settings are available through 3 access points, to make it easy for you 1. From your outlook toolbar by going to settings and then meeting settings 2. Through the GlobalMeet Desktop application easily by clicking on the cog 3. Through your web room by clicking on the question mark Now you know how to access the settings lets take a look at what you can do with them

Here you can see the key web settings available to you: You can edit the Meeting Title, web URL and audio account name Here you can also turn on a waiting room for your web room, switch on or off guest privacy and enable/disable guest chat Now you know how to manage all your meeting settings, lets look at how you can reach out for assistance if you need to:

Firstly and most importantly you can always reach out for support during your conference and a live operator will be on the end of the line to offer advice and support – you can do this by pressing star zero on your telephone key pad. Next you can select the question mark from within your web meeting room, here you can see the help and support window you will be presented with, there are three areas in this window, first the I need help section, from there you can access the GlobalMeet community a user forum where you can see video tutorials, frequently asked questions and all kinds of tips on how to get the very best from your meeting You can do a system check to ensure you are running the most up to date programs to support GlobalMeet You can download the GlobalMeet access tools, the desktop application and toolbar You can also live chat with a customer support representative or alternatively reach out for phone support You can also for technical support to So that nearly brings us to the end of today’s presentation before I go let me briefly mention again that GlobalMeet is also mobile and not just for the office 22
