Audio Quick Start Good Afternoon/Good Morning Everyone – you are very welcome to the GlobalMeet Audio Quick Start training session. My name is __________, I will be your host on today’s training session. Todays training session is 30 minutes in duration. I just want to do a few pre-flight checks before we get started: To ensure you can hear me clearly please ensure your volume controls are turned up on your headset and PC. All lines will be muted for the duration of this session to ensure the best participant experience – if you should have a question that we don’t address during the session you can submit that through the Q+A button at the top of the console and we will follow up via later. To get the full GlobalMeet experience you can maximize your screen today by looking for the icon at the top right hand side of the screen with the four arrows next to the question mark, as you can see we are presenting today’s training using our GlobalMeet Web product, a super tool to ensure you can collaborate easily and effectively online, today’s session will focus on the Audio aspects of the product. What is GlobalMeet? Simply Better Audio Meetings OUTLOOK MOBILE
DESKTOP AUDIO CONTROLS OUTLOOK MOBILE Ok so lets start by introducing GlobalMeet and look at the key elements of the Audio product: GlobalMeet is about having simply better meetings, all aspects of the meeting are tailored to give you a simple and effective meeting experience with a choice of how you access and run your meetings. We have developed the product to give you access to your meetings via PC softphone or Telephone, while on the move via our mobile applications and have integrated the experience into outlook and your desktop through our easy access toolbar and desktop applications. I am now going to turn off my webcam and advise you to maximize your view of the presentation fully DESKTOP

Self manage your audio accounts online via the GlobalMeet Administration Portal. Robust set of star commands. GlobalMeet is a great solution for your everyday internal meetings or global consulting with your clients. GlobalMeet Audio will accommodate up to 125 participants per meeting. PC or MAC users can both avail of the great Audio access tools, such as the outlook toolbar or GlobalMeet desktop app, Let me highlight some of these great features, as you can see from the slide there are lots to chose from, but here are my favorites. We have worked to make connecting to a meeting as simple as possible so you can connect to a meeting with one click from either your desktop or mobile device, the meeting has a ‘call me’ feature making the meeting call you, that way you don’t have to worry about finding dial in numbers and passcodes for your meeting. We also have a fantastic option of connecting to your meeting via softphone. Live operator assistance at any time – have a question about a feature of your meeting or need support, you can dial *0 at any time during your conference and a live operator will be on hand to assist you As we move through the training today we will also cover more of these great features such as the great star feature options, the desktop application and the outlook toolbar. GlobalMeet Outlook Tool Bar
The GlobalMeet Outlook toolbar is a powerful tool that helps you to quickly setup, start and manage meetings and your account. You can: Start My Meeting – Launches your meeting and you enter as a host in just a few clicks Schedule a meeting – You can either start straight away sending your meeting details and launching your meeting or schedule for later, which integrates with your outlook calendar and sends a fully branded meeting invite. Manage your account, update conference options through the Settings tab > Meeting Settings. Launch desktop audio controls manage your guests. Another great feature of the Outlook toolbar is that it allows you to schedule meetings in 4 languages. Dutch, English, French, German When you initially install the Outlook toolbar the first thing you might like to do is go into Settings and create a default template for invitations. Here you can select the access numbers, language, one-click access number that appears each time you go to schedule a meeting. One thing to note here is that the toolbar can only be installed where Outlook is used. If your PC does not support Outlook you will not be able to install this toolbar. So if you wish to download the tool bar you can do so from your welcome , we will take you through these easy steps in a few moments, firstly lets look at the option of the desktop application which can be used in conjunction with this tool bar or if you are a mac or non outlook user. Toolbar can be downloaded from welcome or 5

GlobalMeet Desktop Application
The GlobalMeet Desktop Application is another GlobalMeet Access tool that allows both Windows and Mac users to start, schedule and join meetings directly from your desktop. Key Features to point out here are: You can launch your meeting from the desktop application If you are a Mac user or do not have outlook you can schedule a meeting from here also If there is a meeting you attend regularly you can join a meeting from here And finally you can also monitor who is joining. Your Desktop Application also gives you access to your Meeting Settings allowing you to manage your account and update your conference options So now we have looked at these two great tools, lets look at the easy steps you can take to get started and install them: 6

So how do you go about installing the GlobalMeet tools on to your PC or Mac? Once you have received your welcome you have two ways: Through your web browser go to Through the welcome which will also bring you to It’s advisable to save the GlobalMeet tools installer somewhere you can access in the future, maybe your desktop.

Installation Prior to installation save GlobalMeet sign-in details and close Outlook. GlobalMeet Full Installation OR GlobalMeet Custom Installation Once the download has been completed you will see the screen above giving the option to run a full installation or custom installation. Custom gives you the choice of which application to install - either outlook toolbar or desktop application, however if you wish to download both you can leave the option full installation. If you are using a Windows machine with Outlook it is advisable to run a full installation. Doing so will install the GlobalMeet Outlook toolbar and GlobalMeet Desktop Application If you are using a MAC machine it is advisable to run a custom installation and choose to un-tick the Outlook toolbar. Doing so will install the GlobalMeet Desktop Application only. Have your account information to hand before starting the installation and ensure Outlook is closed. Outlook is required to be closed for the toolbar to be installed. On screen prompts will help guide you through the install.

Installation cont’d Open Outlook again and sign in using Client ID and password Once the installation is complete reopen Outlook and you will be prompted to enter your Client ID and Password. If you had forgotten to make note of this information “x” out of the signup page, locate your welcome and make note of the Client ID and Password. Close and reopen Outlook as this will prompt the signup page to appear again. You will know the setup has been successful when the page disappeared. If you receive an invalid Client ID or Password message please try to free type the details rather than copy/pasting as this can sometimes lead to additional characters. When you have logged in once you will not have to do this again as the toolbar will remember you and is why when you launch your meeting from the toolbar or desktop application it brings you straight into your meeting as a host. So now you are all ready to go lets now move on to starting your meeting and getting your audio connected,

Joining a Meeting Successfully
1. 3. 2. Now that you have your GlobalMeet toolbar and Desktop Application installed the next thing we will cover is how to start a meeting. There are three options available to you Start your meeting via telephone, using traditional dial in numbers and access codes Start your meeting through the outlook toolbar, this will launch the desktop audio controls Start your meeting vial the GlobalMeet desktop application Now lets look at how you can connect your audio if you choose to start your meeting via options 2 and 3. An important point to note also - A host should never start their meeting from an invitation. The invitations are for your guests only.

Connecting your Audio Call My Phone Call My Computer Dial In
Once your desktop audio controls have launched the first thing you will see is the Connect Me panel. Here you will have three options: Call My Phone – This means GlobalMeet will call your phone – importantly you firstly select the international dialling prefix and then enter your telephone number remembering to drop the zero – when you click on the connect me button GlobalMeet will cleverly dial your telephone and when you pick up, you will be connected to the meeting. You will hear a prompt asking to you select the number 1 on your keypad to be connected. This is the easiest way to connect your audio to your meeting as next time you launch a meeting your number will be remembered and all you have to do is click ‘connect me’. Call My Computer – Connect to the meeting over the internet, we advise a good quality USB headset and all you have to do is select your device from the drop down and click connect me. Dial In – Choose to dial a telephone access number and host passcode – this is the traditional way to connect to a meeting Also to note guest joining your meeting via your meeting invite they will have the same 3 options to connect their audio. Joining a Meeting as a Guest
Guests will receive a fully branded invite if you use your Outlook toolbar. When a guest opens their invitation, they will see a fully branded outlook meeting invite. Here they can see all details of the meeting, the easiest way for them to join the audio meeting is to click the orange Connect me button, and the online audio meeting with the option to connect their audio via connect me or softphone, alternatively they can dial into the audio meeting using the dial in details on the invite also.

Star Features Press *0 to reach an operator
Participant Conference Shortcuts: Press *1 to hear a help menu. Press *6 to mute or "un-mute" line. Press *4 to increase conference volume. Press *7 to decrease conference volume. Press *5 to increase your voice volume. Press *8 to decrease your voice volume. Moderator Conference Shortcuts: Press *91 to hear a participant count. Press *92 to hear a roll call of participants. Press *93 to disconnect all participant lines. Press *94 to lock or unlock conference. Press *96 to mute all participant lines. Press *97 to un-mute all participant lines. Press *21 to activate Sub-conferencing. Press *22 to initiate record and playback. Press *31 to turn Conference Security Code on/off. Press *32 to record a 30 second personal intro. Press *39 to remove entry/exit tones. Press *0 to reach an operator Lets take a look now at the Audio Star features available to you if you are hosting a meeting via telephone with no desktop controls, as you can see there are a variety of different commands you can utilize, Moderator star features have 2 digits while participant star features have only single digit commands. Most commonly used by moderators are: *96 to mute all participant lines, this will ensure if you are speaking or giving a presentation that you will have no interference fed through from any participant in a noisy environment. Then *97 to unmute all. Other important commands are *94 to lock or unlock a conference and * 22 to initiate a recording is also a popular command. Participants also have a variety of commands they can use such as *4 to increase their volume or they can individually mute or unmute their lines by pressing *6. Most important of all is the *0 feature, this is available to both hosts and guests and will give you direct access to live operator for support who can answer any questions you might have about your conference or help troubleshoot if you are having any difficulty on your call. Lets now take a look at how you can manage your audio meeting from your desktop through our online audio controls:

Desktop Audio Controls
Record your meeting Lock or unlock Mute lines End meeting Control volume If you prefer to have a desktop experience with your audio meeting you can access our online audio controls via your outlook toolbar or the GlobalMeet desktop application by clicking on start my meeting. This launches a simple to use console that allows you to control your meeting with a click of a button, as you can see you have a variety of options available that can enhance and control our meeting experience. If we look at the controls: Firstly you have the invite guest button – here you can send an invite with the audio details to additional participants if necessary Next you have the record your meeting button – which starts and stops an audio recording Next you have the lock or unlock function which offers you great meeting security if you want to stop additional participants joining Moving on you then have your mute or unmute participants option which gives you vital quality control over your meeting And finally you have the end your meeting button which will disconnect all participants at the end of the meeting You can name the lines if you wish to identify participants and a useful active speaker feature will highlight a line in orange when someone is speaking. Guests joining from a meeting invite generated from your toolbar or desktop application will also get a link that will launch this console so will have limited controls but can see who is in the meeting and control their volume and mute their line. So as you can see we have provided you a number of options of how to manage your meeting, either via your desktop or via your telephone keypad, hopefully this will give you the flexibility control your meetings successfully if you are at your desk with your PC or just on the phone.

GlobalMeet Meeting Settings

Lets take a look at the next great feature of GlobalMeet now, Meeting settings is where you manage your GlobalMeet settings and account details The settings are available through 2 access points, to make it easy for you; 1. From your outlook toolbar by going to settings and then meeting settings 2. Through the GlobalMeet Desktop application easily by clicking on the cog in the top right corner Now you know how to access the settings lets take a look at what you can do with them

GlobalMeet Meeting Settings
The meeting settings is where you manage your GlobalMeet settings It is accessible through your web room by clicking on the question mark also from Outlook toolbar or Desktop Application. It has 2 distinct tabs; Tab 1 - My Profile Tab 2 - Audio Settings Lets look at the My profile Tab firstly - As you can see here the my profile section allows you to manage your account details such as personal information, meeting preferences and contact details, meeting preferences such as your default telephone numbers and standard language and time zone options. Lets move onto the Audio Settings tab next

GlobalMeet Meeting Settings
Audio settings has a number of different options you can select to effectively manage your account: Here you can set your meeting title and view your access numbers and pass codes In the meeting options section you can set various meeting and security options: Such as tones when a guest joins or leaves a meeting Set a pin to access for security Play music until a host joints End the meeting when a host leaves Record guest names Etc Now you know how to manage all your meeting settings, lets look at how you can reach out for assistance if you need to: These options can be tailored at any time to suit your individual needs.

In conference support: If you are in an audio conference press *0 to be transferred to an operator technical support: Phone Support: UK: +44(0) France: +33(0) Germany: Italy : Norway: Sweden: +46 (0) Ireland: (0) Denmark Netherlands: +31 (0) It is really important to us that you always get the best possible experience from your GlobalMeet account and that you can reach out for help when ever you might need it! Lets take a look at the customer support touch points available to you. Firstly and most importantly you can always reach out for support during your conference and a live operator will be on the end of the line to offer advice and support – you can do this by pressing star zero on your telephone key pad. You will be connected to an operator who can troubleshoot any issue you might be experiencing or answer any product functionality questions you might have. An operator will always be available should you need one so please don’t hesitate to take full advantage of this option. You can also for technical support to or phone our customer support center using the numbers on screen. So that nearly brings us to the end of today’s presentation before I go let me briefly mention again that GlobalMeet is also mobile and not just for the office 18

We have iPhone and blackberry applications, and coming soon we will have android applications also!
