As our group leader, I work with our group’s tour consultant to set up our tour. Working side by side with our consultant is a customer service representative who knows all the details of our tour and can help students and parents. On tour, we will also have a Smithsonian Student Travel Tour Director who is with our group 24/7.

What does the coverage plan include?

Smithsonian Student Travel includes Medical and Accident Coverage, as well as our 24 hour Emergency Assistance in the Program Fee. So if there are any medical emergencies on tour, your participants are covered and we are prepared to help! Smithsonian Student Travel also offers an All-Inclusive Travel Coverage Plan. This plan is a great way to protect your investment and know you are covered for any setbacks that could happen like a delay or stolen property. There are four aspects of this plan: 1. Tour Cancellation and Interruption Coverage- Full monetary refund upon emergency cancellation or a partial refund if a participant needs to leave a tour early due to family, medical or personal emergency. Emergency cancellation reasons include: Serious injury or illness leading to hospitalization of the participant or immediate family member, death of immediate family member, involuntary job-loss of a parent, and school decision for behavior or grades. 2. Program Fee Protection Coverage- If a participant has to cancel for any reason, the traveler can receive a Future Travel Voucher for the full value paid (less non-refundable coverage premium and late fees). The voucher is good for any future tour with SST, EF Educational Tours or Go Ahead Tours, or can be transferred to another traveler on the same tour and applied as a credit toward their balance. 3. Baggage and Property Coverage- Coverage for baggage, cash, airline tickets and other valuables in cases of theft or delay and up to $300 emergency cash within 24 hours in case of on-tour theft 4. Personal Delay Coverage- Reimbursement for necessary expenses incurred for travel delays over eight hours and coverage for costs incurred to rejoin tour because of a missed flight For more details on what this insurance plan covers, please direct parents to read over the insurance policy detailed in our Participant Enrollment Booklets or call customer service at

How are payments made? Monthly Payment Plan Manual payment schedule

Upon enrollment: $99 Enrollment deposit (non-refundable) 30 days after enrollment: Account must have $350 total paid 110 days prior to departure: Account must be paid in full Please note that non-refundable late fees ranging from $40-85 will apply if payment is not received on the dates they are due Smithsonian Student Travel offers two different payment plan options. We often hear that the monthly payment plan is very appealing to the parents – it breaks down the lump sum into manageable monthly payments, and gives them an additional 1-2 months to pay for their tour. This is the easiest way to pay for tour– and it’s free! Because of this, our monthly payment plan is our standard payment option. Please note that the $99 enrollment fee is still due at the time of enrollment if participants decide to enroll on the monthly payment plan. If your participants choose to go with our manual payment schedule, they will need to pay $350 within the first month of enrolling, and then the total tour balance will be due at 110 days before your group departs. If a participant misses the second payment, a $40 late fee will apply, and if he or she misses the final payment, an $85 late fee will apply. Please let parents know that, depending on your tour date, 110 days before your departure date could be during the holidays. In this case, the monthly payment plan, and the payment extension it provides, can be very helpful for families.

How do you keep track of your account?
Log in to your personal account at SmithsonianStudentTravel.com to: Learn more about your destination Make online payments Enroll in our monthly payment plan Track important dates and information Purchase the All-Inclusive Travel Coverage Plan Participants will have their own personal online account. For them to access this, tell them to go to SmithsonianStudentTravel.com. They should then click “log in” on the left sidebar, under the Enroll on a tour blue box. Then students enter their unique Participant ID number (given when they first enroll), and password (the default password will be their birthday written in the following format: xx/xx/xxxx with all of the zeros and slashes). Once in their accounts, participants will be able to make payments online, learn more about the trip, enroll on our monthly payment plan, and purchase the all-inclusive coverage plan.
