3 Introduction Procureware is a program used to assist companies and organizations in the broad process of procuring materials, services and construction. Procureware is the digital software used by Valley Metro for artists to apply to RFQ’s. The terminology and process may be challenging to artists not familiar with the program. With this how-to- guide, we hope to make it easy!

Click on Valley Metro Rail Public Art

8 Under Info & Resources click on Downtown Transfer Hub Public Art RFQ

9 Click on http://valleymetro.procureware.com

Please read the General Site Information. It is not required to Log In | Register to view the RFQ documents, but if you are interested in future Public Art opportunities from Valley Metro, you will receive notifications if you register. You Will need to register if you are applying. To view the documents only, in the black column on the left, click on Bids

Click on External Documents – Public (4). The documents will populate under the light blue DOCUMENT bar

14 When you click on a document, the bottom bar will pop up to open/save/cancel. You can open to view only, save (download) to prepare documents for submitting, or close when finished

19 Business Classification
You will now begin to Register your company information under the Bullet Bar. Procureware will take you through it Company | Contact | Address | Categories W-9 is marked with an asterisk, but is not required at this time. The Procureware program requires something in this field, though. You may enter any document or photo you wish to by-pass this step by selecting Browse. Examples: the beach, your cute cat, a blank document, etc. (In the future, if you are selected, you will be required to fill out a W-9) Business Classification As an artist applying for Public Art with Valley Metro, you will select the drop down arrow

21 Select the one that most fits your situation
Select the one that most fits your situation. (Typically, an artist files under Sole Proprietorship) Click Next

22 Check your contact information Scroll to the right to view all If correct, click Next

23 Continue with ADDRESS And finally CATEGORIES Public Art is identified under 052 ART OBJECTS

24 Click Submit Registration (the bar will turn orange with a large green background)

25 You are now registered! You may now Submit

THERE ARE TWO PAGES TO THIS DOCUMENT This form is separated/extracted from the official RFQ for ease of submittal

Complete with name, address, etc., signature and date. The second page of the SOLICITATION OFFER AND AWARD FORM list the contents of the RFQ and required submittals to apply, marked with an X in the right column. If you are applying and have registered, Line 24 allows documentation of Addendums and acknowledgement of receipt. The 3 page letter refers to the letter of Interest (up to 3 pages).

32 Procureware Submit Now that you have reviewed the RFQ, prepared your documents specified in the RFQ, Registered, and checked for any addendums, you may Submit. (You may submit at any time, but to be fully informed, it is best to submit closer to deadline.) When you are Registered, you will receive notifications of any Addendums occurring. Click on CLARIFICATIONS to view

Submit all attachments as required in solicitation instructions Attach the required Power Point here (if sending individual jpegs, they would be submitted under the above Submit All box) SAVE & SUBMIT

Offers not submitted electronically shall follow the following format: Offerors shall submit one original copy of their Submittal. The submittal documents shall also be submitted as a pdf and copied to electronic media, i.e. flash drive or CD. Submittal documents are to be on the same electronic media in which the artwork is submitted. Submittals not submitted electronically shall be submitted in a sealed package, clearly marked in the lower left hand corner as follows:

38 Submittals not delivered through Procureware may be:
mailed using US Post Office, FedEx, UPS, etc. hand delivered
