Utilizing Resources Introduction (5:00) Welcome participants to the session. In this session, we will explore many of the resources available to assist you in fulfilling your responsibilities. These resources include budget support, data, and PR resources as well as contact information for key LCI staff members who can answer questions or provide guidance when challenges come up. Budget Annual budget allowance: US$600 – multiple or single district US$250 – district Use for expenses related to: Promoting Centennial at meetings/events Communicating about the Centennial District centennial coordinator training Workshops for district coordinators and other leaders Centennial travel and administrative costs Module 1: Budget and Grant Support (10:00) Distribute handouts: Budget Plan for Multiple District & Single District Centennial Coordinators Budget Plan for Centennial District Coordinators The Centennial Action Committee has established an annual budget allowance for every MD/SD and district centennial coordinator. The annual allowance for MD/SD coordinators is US$600 and for district coordinators it is US$250. These funds may be used to defray costs associated with fulfilling your responsibilities. For example, as a multiple or single district centennial coordinator you may incur expenses related to: Promoting Centennial at meetings/events Communicating about the Centennial to Lions and non-Lions in your MD/SD Implementing training of your district centennial coordinators Planning meetings or workshops for district coordinators and other leaders Centennial travel and administrative costs MD/SD Centennial Coordinator Training

Budget Simple budget plan form MD/SD coordinator approves district plans CAC member approves combined MD/SD and district plans Funds sent in lump sum to MD/SD Treasurer for disbursement A simplified process has been created for requesting and disbursing centennial coordinator budget funds. In order to request funds, coordinators must complete the simple budget plan form, including a brief description of plans for three main areas of activity and expense: Awareness building Lion education Organization and action in order to facilitate achievement of Centennial goals As a MD/SD centennial coordinator, you are responsible for collecting and approving the budget plans of the district centennial coordinators. On your own budget plan form, you must provide details of your plan to your CAC member as well as a list of the district centennial coordinators whose budget requests you have approved. All funds will be distributed in a lump sum to the MD or single district treasurer for disbursement to the MD/SD and district coordinators. The amount will not be tied to actual expenses and there is no need to collect and submit receipts. While the budget requests were due at the end of October, this process will be completed in July of the remaining years of the Centennial celebration (as noted in the MD Centennial Coordinator Guide). Details will be communicated directly to each centennial coordinator via . For those centennial coordinators who are newly appointed, you may still apply for a budget allocation. However, the request must be completed as soon as possible. Invite coordinators to finish reviewing the documents and ask any questions. MD/SD Centennial Coordinator Training

Centennial Grants Designed for use in raising public awareness Awarded to multiple and single districts US$2,500 maximum per single district US$15,000 maximum per MD, with no more than US$1,500 maximum per each sub-district 20% local match is required Distribute handout: Centennial Grant Application Allow participants some time to review the information. The Centennial Grant was created to provide grant support to multiple and single districts for Centennial activities and celebrations that will ultimately raise awareness of Lions service in the local community. Funding is provided on a first come – first served basis. To be eligible, projects must impact communities throughout the entire multiple or single district. Large scale Centennial Community Legacy Projects are potentially a good fit for the Centennial Grant. Single districts (not part of a multiple district) will be eligible for up to US$2,500. No multiple district will be eligible for more than US$15,000 and the sub-districts within that multiple district may not be allocated more than US$1,500 each.  A 20% local match of the requested funds is mandatory. Applications are signed and submitted by you and the council chair (or the district centennial coordinator and district governor in the case of a single district) to the Public Affairs Team at LCI. A detailed post-project report must also be submitted within 30 days of completing the project. MD/SD Centennial Coordinator Training

6 Centennial Dashboard Reports
Module 2: Centennial Dashboard Reports (15:00) Invite participants to take out the copies of their most recent Centennial Dashboard Report, which they were asked to bring. As we have reviewed throughout the morning, an important part of your role as MD/SD centennial coordinator is to stay up to date with the Centennial activities your district coordinators are supporting and promoting. Regular communication with each of your district coordinators will ensure that each is making progress to reach their goals. The Centennial Report Days will be key opportunities for a guided discussion on specific elements of the Centennial program. In the interim months, you can use the data provided in the Centennial Dashboard Report to find relevant and timely information to discuss. These reports can are also useful in preparing for the Centennial Report Days. The reports can be accessed by logging-in to MyLCI. Data in the reports will be updated in real time and provide a snapshot of progress by club and by district in each Centennial program area: Centennial Service Challenge: numbers of people served and which campaigns were joined Number of new members inducted and new clubs sponsored Number of Centennial Community Legacy Projects completed at each of the three levels Let’s take a closer look at the MD and district views of the Centennial dashboard report and role play potential conversations that data in the report might generate.

7 Centennial Dashboard Reports
Centennial Dashboard Report: Role Play Activity Refer participants to pages 1-2 in the Participant Manual. Ask participants to work in pairs to study one of their reports and identify at least 3 talking points, whether successes or challenges, that they might raise in conversation with a district coordinator. Ask the pairs to role play the conversation between MD and district centennial coordinator. Allow 10 minutes for this activity. Ask a few volunteers to share some of the talking points and solutions or next steps they identified. Ask participants to share which part of the report they think will be the most useful to engage district centennial coordinators and club chairpersons in dialogue about Centennial activities. The website is the best place to find updates and resources for planning activities and communicating about Centennial programs to Lions and non-Lions alike. Spend time becoming familiar with the structure of the website and visit often to find new resources and information. As new resources are created, they are posted to Lions100.org, so the views we look at today may change and there are additional resources to browse in the other sections of the website. Today we will take a brief look at a screen shot of each of the main pages in the Toolbox. Instructor note: All screen shots were taken in November 2015. Direct participants to page 3 of the Participant Manual for an overview list of the six main pages in the Lions100.org Toolbox.
