1 Extended School Year 2017 Teacher Professional Development

2 Outcomes ESY Teachers will understand ESY requirements for students with an IEP. ESY Teachers will be able to access ESY students in Tienet. ESY Teachers will be able to access the ESY Wiki. ESY Teachers will understand case management requirements for ESY.

3 Program Information July 5 – July 28
Students are present for three hours daily Teachers and clerical staff are paid for 4 hours (30 minutes before and 30 minutes after) Instructional Assistants are paid for 3.5 hours (15 minutes before and 15 minutes after) Adult Assistants and nurses are paid for 3 hours (the time that the students are present).

4 Staff Access to TIENET By May 16, 2017, ESY/Centralized administrators had access to the records in TIENET. By June 20, 2016, special education teachers have access to view ESY records in TIENET. If you do not have access to your ESY site in Tienet, contact Jason Karolkowski via at

5 Accessing TIENET TIENET SYSTEM NAME CHANGE TO STUDENT PLANNING SYSTEM (SPS) In accordance with the Weekly Bulletin Item Number 1238, effective July 3, 2017, the name TIENET will be changed to Student Planning System (SPS). The system will remain the same, only the name will change. The SPS will only be accessible through BCPS One as of June 14, Staff who currently have access to TIENET will continue to have access to SPS. TIENET VPN ACCESS Effective Wednesday, June 14, 2017, a Virtual Private Network (VPN) connection is required to access TIENET, the Web-based Individual Education Program system. The secure VPN connection allows users to have access to TIENET from remote locations such as home or other non-BCPS locations. Pulse Secure VPN setup instructions for HP Revolves and Juniper VPN instructions for other devices and operating systems are attached.

6 Accessing Student Information
Students attending summer programs will be accessed using the panel located on your home page labeled ‘REPORTS.’ One link is for ESY students in self-contained classes. The other link is for all IEP/504 students in centralized classes.

Select the summer school location then change ACCESS VIA to summer school.

8 Accessing Student Information
View the student roster and access student records using the FILE CABINET ICON and then the DOCUMENTS TAB.

9 Instructional Recommendations
A Wiki has been created to provide easy access to ESY information. Teachers do not need to be invited to the Wiki in order to access it. Administrators and teachers are able to access the Wiki to review instructional recommendations and resources.

11 Wiki Instructional Guidelines
Contains overview of daily suggestions for subject areas. Divided into different program and age levels.

12 Wiki Curriculum Resources
Contains teacher and student resources that can be used to support instruction. Some of the resources support novels that have been used for ESY in the past and that have been sent to Elementary sites. Some resources are links to external websites that can support skill development.

13 Wiki Case Management Directions for Third Party Billing for ESY.
Forms for receiving and returning CALS/FALS materials for individual students for ESY.

14 Case Management Expectations for ESY
Teachers must complete the following during ESY: IEP Acknowledgement Forms Third Party Billing Quarterly Progress Reports for ESY

15 IEP Acknowledgement Form
Use Tienet to create and print an Acknowledgement Form for each student. Review the IEP with each person providing services and supports to the student and have them sign the Acknowledgement Form.

16 Third Party Billing Generate and send home Third Party Billing registration/parent permission forms using Tienet. (After the student shows up at the site for at least one day). Submit TPB Encounter forms for July.

17 Quarterly Progress Reports
Must be completed in Tienet. ESY progress should be entered into the space for Progress Report #5. There are no drop down menus for progress codes for ESY. Comments should be typed into the Description of Progress box.

18 Quarterly Progress Reports
Progress should only be documented for IEP goals that were checked “yes” for ESY. If a student does not attend any days of ESY, then the Quarterly Progress Report should document this fact. Two copies should be printed at the conclusion of ESY. One should be sent home with the student on the last day of ESY. The second copy should be sent to the school at which the student will be attending in the Fall.

19 End of ESY Procedures Any student specific materials are returned to the site of service. All ESY materials should be repackaged and stored at the ESY site (to be determined by ESY administrator and hosting school). Classrooms should be returned to original condition.

20 End of ESY Procedures Documents that need to be sent to the school the student will be attending in the fall: Paper copy of the Quarterly Progress Report Signed Acknowledgement Form Third Party Billing Permission Form
