Client Types Synced Fields Synching Callouts Payroll Verification Process Enroll / Implementation Workflow Who Implements the client on HR Execupay BambooHR Licensee A look at the over all Operations impact Client Types these are the different situations that create a client type (New, existing or associated) Synced Fields ( we will cover what data fields are connected) Synching Callouts- Understanding some of the fields need additional attention and how to handle those situations Payroll Verification Process ( we will discuss making sure that the HR client is ready to transfer information to Payroll Enroll / Implementation Workflow – This will review the entire process from beginning to end to include touchpoints Who Implements the client on the HR application. We will discuss a couple options or scenarios around this

3 Client Types Net New Existing Payroll Existing HR
This client type is defined as a client that currently does not have payroll Implemented with you as well as is not already using BambooHR Net New Execupay This is your existing client base already running payroll but are not currently using BambooHR Existing Payroll BambooHR Licensee This could be viewed in 2 different ways: a new prospect that has not yet run payroll with you and currently uses BambooHR an existing payroll client of yours that has already purchased and uses BambooHR separately Existing HR Net new client- This client type is defined as a client that currently does not have payroll Implemented with you as well as is not already using BambooHR This client type is currently ready to use in the application integration This type of client needs to be set up and implemented on BambooHR first, then implemented on payroll Existing payroll client-This is your existing client base already running payroll but are not currently using BambooHR Auto client generation from payroll to Bamboo is not currently available Today for this client type, you could have the client set up and implement HR, then create a new client for payroll, then transfer priors Existing HR client-This could be viewed in 2 different ways: a new prospect that has not yet run payroll with you and currently uses BambooHR an existing payroll client of yours that has already purchased and uses BambooHR separately (A) Would be handled like Net New client (B) Would be handled like an Existing Payroll client

4 Synced Fields Company Data Employee Data
Execupay BambooHR Licensee Employee Data Synced Fields are exactly that. These are the fields that will be exchanging information with each application across the API. The fields will exist on both the company level data as well as employee level data. We will discuss these fields a little more in depth over the next couple of slides

5 Synced Fields Company Level Data: Client Name Dba Street City State
BambooHR - Settings (double-gear icon) > Account > Account Info Company Level Data: Client Name Dba Street City State Zip Code Phone Contact Address Belongs to Office Execupay – Clients > Company > Edit Company Execupay BambooHR Licensee For company level data you will notice allot of the static company information comes across, things like company name, address contact etc *As a cautionary note sometimes DBA and company names are not always as they appear on the legal documents we and the IRS require. So pay close attention to what comes across as opposed to what may need to be edited in EP

6 Synced Fields Company Level Data: Division
BambooHR - Settings > Employee Fields > Division Synced Fields Company Level Data: Division Execupay - Clients > Company > Edit Company > Division tab Execupay BambooHR Licensee Divisions will come across as they appear on the HR platform. Some important considerations for you on this field would be that the structure needs to be the same in both applications. Historically we learned that allot of times HR has a completely different structure than how payroll is configured. This is always vitally important when dealing in the existing HR client type

7 Synced Fields Company Level Data: Department
BambooHR - Settings > Employee Fields > Department Synced Fields Company Level Data: Department Execupay - Clients > Company > Edit Company >Dept/Job1 tab Execupay BambooHR Licensee Departments also come across, I would use the same caution we just talked about in division. Sometimes you will come across clients that do not have divisions only departments and sometimes only divisions. In the HR application hierarchy does not play as prevalent of role as it does in payroll, so just be aware of that possible scenario

Deduction will always have to have categories set up with them in payroll

14 Synced Fields Employee Level Data: Direct Deposit (EE change)
BambooHR - My Info (Admin) or Employees > Select the EE > Pay Info > Direct Deposit Employee Level Data: Direct Deposit (EE change) Execupay - Clients > Employee > Employee Setup > Direct Deposit tab Execupay BambooHR Licensee Lastly employee direct deposit change information. Notice it is changed information only at this time, so for the initial sync cycle no existing DD information will load up. There are options available for implementation especially in dealing with existing BambooHR users: You can load these for your client into payroll You can have the client re-load the DD info in payroll Or you can have the client instruct their employees to go out and re-enter DD info in BambooHR employee portal We have found that the first option normally ends up being the most efficient and accurate for existing HR clients

15 HR and Payroll synchronization callouts
Deductions Category assignment in Execupay Employee category DO NOT change the category name 401(K) No exemptions Adding States 1 Default state Direct Deposit Starting versus ongoing Execupay BambooHR Licensee When Deductions come over make sure you tie them to a category in EP, as categories do not exist in HR This will hold true at the employee level as well. DO not change the category name inside of EP as this will create a conflict in the ongoing sync Do not add or delete a deduction in Execupay, this should be accomplished in HR in order to maintain sync process and mapping Deductions will come over without an exempt status, this must be assigned 401(k) Will come over without an exempt status assigned, it must be assigned in Execupay States The default state is the only state that comes over. This state will be applied to all employees, so you will need to go back and add all other states, then apply them accordingly to the employees Direct Deposit On initial sync DD accounts do not come over as they re not necessarily stored fields in HR. Once given access and on going the employee will be able to add DD accounts, just not initially, you will still need to set them up for the client in EP

16 The Payroll Verification Process
This is a process that is completed once the client is Completely Implemented on the HR product Payroll Verification (Pre-sync) Execupay The main goal is to make sure the client is configured in the HR application as it exists in their current payroll environment. Focus areas include: Division and Department structure- Making sure they truly have divisions and departments or maybe just departments. Benefit deduction configuration Flagging employees to be included in payroll Identify contractors What is accomplished BambooHR Licensee Payroll Verification (Pre-sync) Basically payroll verification is a process that makes sure the clients HR application is properly configured in order to be able to sync with the payroll application What is accomplished Division and Department structure- Making sure they truly have divisions and departments or maybe just departments. Ensuring that all EE’s are tied to a Div / Dept Use Prior payroll reports to validate Benefit deduction mapping Verify each benefit as pre or post tax Ensure all client benefits are loaded into the HR application Each employee is set up with appropriate benefit Flagging employees to be included in payroll Included terminated employees if they have wages for current year Identify contractors Include in payroll Must be entered with 2 profiles (If they are 1099 & W2)

17 Client Implementation workflow
YOU AND Bamboo BambooHR sale closes HR Implementation is completed Payroll verification process is completed Client is enrolled and Company shell is created Project ticket is created in CXM in Execupay Turn on HR Services in Execupay Configure Categories Additional states Execupay BambooHR Licensee Normal payroll Implementation occurs First Payroll Completed BambooHR sale closes HR Implementation is completed –remember today the HR implementation should occur first Payroll verification process is completed As outlined in the payroll verification slide earlier Client is enrolled and Company shell is created Project ticket is created in CXM in Execupay –The CXM is used, more specifically, project templates inside the CXM are specifically used to enable client enrollment process. The project template will be covered in tomorrows break out session Turn on HR Services in Execupay – Located under company tab Client services icon ; add a new service and choose BambooHR in dropdown. Once you have services on the actual sync will begin loading employee data, benefits and division and department. This will also turn on the payroll tab in HR so now the client has visibility Configure Categories – Making sure the exempt statuses are properly set and assigned at both the client level and the employee level Additional states- remember only the 1 home state will come over, so you will need to add the other states the client has and also assign them according to the individual employees Normal payroll Implementation occurs – From this point on in the process the steps of implementation generally remain the same, priors, balancing etc all the way to accomplishing first payroll First Payroll Completed

18 Who Implements The new client ON hr
Will implement their own clients on the HR application Will complete the payroll validation process Will complete the enrollment Will complete the steps to payroll implementation Licensee Will implement any of your clients on to the HR application for a fee This included Bamboo completing the payroll validation process BambooHR Licensee BambooHR Execupay Support cannot implement any of your clients onto the HR application Support will assist in API and EP set up configuration settings General API support ongoing (error message decoding, conflicts etc execupay Licensee Will implement their own clients on the HR application Will complete the payroll validation process Will complete the enrollment Will complete the steps to payroll implementation BambooHR Will implement any of your clients on to the HR application for a small set up fee This includes Bamboo completing the payroll validation process (Preferred as they will drive application usage as well as very versed in the payroll validation process) Execupay Support cannot implement any of your clients onto the HR application Support will assist in API and EP set up configuration settings General API support ongoing (error message decoding, conflicts etc)
