The impact of Big Rocks on the various systems has resulted in the following enhancements: 200 Tax Packets / Business Numbers 2nd Pay Group 3rd Bank Account Increased Deduction Priority Fields eOrder I-Hub I-Hub I-Hub Workforce Now Workforce Now Mainframe Workforce Now Mainframe Mainframe The four enhancements that we call Big Rocks are the addition of 200 Tax Packets or Business Numbers, the 2nd Pay Group, the 3rd Bank Account and Increased Deduction Priority Fields. eOrder Each of the sections in the Tax tab have been expanded to accommodate 200 Tax ID’s and are grouped in groups of 10. Here is an image showing the various Tax Tabs sections. These sections have been expanded to accommodate 200 Tax Id’s and are grouped together in groups of 10 as highlighted here.

eOrder To add a record you would need to fill in the following details in the popup. When you choose to add an order, the following pop up window appears. This “Add Record” window will need to be populated with the pertinent information.

Payroll Interview The impact of Big Rocks is in the Payroll Interview which you access after completing the HR interview. The Payroll Interview in I-Hub has been affected by the enhancements.

Federal & Provincial Tax
Scroll down to the Tax Information section to access the Federal and Provincial tax information. In the Tax information section of the Payroll Interview, you will see an impact on both the Federal and Provincial step and the Health Tax step. Clicking on the Green Add icon in the Federal and Provincial step will take you to our next screen.

Clicking on the green add icon to add additional Tax ID’s will enable you to navigate to the Federal and Provincial Tax details. The Employee Tax ID # dropdown will enable you to assign up to 200 different Tax ID’s. In the Employee Tax ID # dropdown, you can now assign up to 200 different Tax ID’s.

Federal & Provincial Tax
The dropdown shows up to 200 Federal and Provincial Tax ID’s. Here is an image of the dropdown expanded to show the newly accommodated 200 tax ID’s.

Health Tax After completing the Federal and Provincial Tax information, we can move on to the Health Tax information. As mentioned earlier, The Health Tax step has also been updated.

Health Tax The Packet ID # dropdown has been expanded to include 200 Packet ID’s for each of the provincial Health Taxes. Here are the three provincial health tax packet id # dropdowns, expanded to show 200 packet ID’s.

Worker’s Compensation Board
There is an impact on the Worker’s Compensation Board section as well. This is the next step in the Payroll Interview. The Worker’s Compensation Board has also been impacted by the Big Rocks enhancements.

The new functionality allows you to select a different period end date for a subset of employees pertaining to the second pay group. Time and Attendance: 2nd Pay Group
Important: The 2nd Pay Group functionality is not available to clients using the Time module. Clients should continue to use separate company codes, not pay groups, to segregate employees into different payment periods if they are using the Time module. While setting up Common Deductions in the Deductions section of the interview, you will notice the 3rd Deposit Account has been added and is automatically selected as a default deduction. Company Settings: 200 Business Numbers
When clients go in to view their Company Settings through Setup > Payroll > Company Settings, they can now edit the description of their CRA / RQ ID’s and Employer Health Tax numbers. They can also set the status to Active or Inactive. In the Validation tables, Setup > Tools > Validation Tables, the deductions codes have been updated to include the 3rd Deposit Amount. The Deductions Code added is A6. This code cannot be deleted; however you can edit the description. This will also be updated in the Import Guide. In the Payroll Cycle page, Process > Payroll > Payroll Cycle, and in any of the pages where the Company ID Bar is displayed; you will see Pay Period End Date 2. Job Profiles: 2nd Pay Group
In Job Profiles, People > Employment > Job Profiles, under Pay Group; you can see the Period End Date depicting the Pay Group of that employee. Transfer: 2nd Pay Group If a New Hire has been set up in the wrong Pay Group, the client would use the Transfer functionality to make that change. This process is similar to how a client would fix the employee set up if the setup had been in the wrong tax packet for a New Hire. Effective Dating: 2nd Pay Group
Any entries that you make that are effective dated would be based on the appropriate period end date. For people in Pay Group 2 the transactions sent will be up to and including Period End Date 2. The same goes for people in Pay Group 1 which will include transactions up to and including Period End Date 1. Conversion: 2nd Pay Group
The 2nd Pay Group feature provides a single Company Code the ability to process a payroll run that contains two Pay Period Ending Dates, a shared Date of Pay and common Earnings and Deduction Schedule(s). The 2nd Pay Group indicator (2PGI), EI Pay Period Type (1EPT) and EI 2nd Pay Period Type (2EPT) were added to the Conversion Company setup page in the General Information section. The 2nd Pay Group feature provides a single Company Code the ability to process a payroll run that contains two Pay Period Ending Dates, a shared Date of Pay and common Earnings and Deduction Schedule(s). Conversion: 3rd Bank Account
The ability to have a third bank account deduction already existed in A list has been generated of all existing Workforce Now clients who had CDA6 used for another deduction and the appropriate changes have been made. Deduction A6 has been assigned as the third bank account deduction for Workforce Now companies. This deduction is mandatory in Workforce Now and will be part of the import from I- Hub. The ability to have a third bank account deduction already existed in A list has been generated of all existing Workforce Now clients who had CDA6 used for another deduction and the appropriate changes have been made. Deduction A6 has been assigned as the third bank account deduction for Workforce Now companies. This deduction is mandatory in Workforce Now and will be part of the import from I-Hub.

Deductions are an amount of money which is taken with permission directly from an employee's pay before they receive it, i.e. reduction of amounts paid to a worker from the gross amount earned. Common payroll deductions include income taxes, voluntary savings or pension contributions, union dues, and insurance premiums. The paycheque reflects gross pay less these payroll deductions. The number of deduction priorities and certain deduction controls are being increased by 20. Deduction Priority is a special process to move deduction ##'s up or down the list to identify the order in which the deductions should be deducted; which currently contains deductions This process was modified in to include 20 additional deductions (A0 – B9) in the deduction priority list, increasing the total number of deduction numbers to 116 facilitating the migration of PCPW clients to Workforce Now, to replicate the AutoPay Options. A number of tax packets were increased to 200 in release 5.8 to implement the ADP plan for the PCPW client migration from the AutoPay system to Paytech. Payroll: 2nd Pay Group The Payroll Module allows the Transaction (TC60) to be entered in Free Format. The modifications for a 2nd Pay Group require this transaction record to be changed only for the Payroll Module. The 2nd Pay Period End Date is required in positions 57 to 64 on the Transaction 60 Record (TC 60) when the 2nd Pay Group Indicator (2PGI) is equal to 1 (i.e. there is a second pay group). Note: This functionality is only available to Workforce Now clients. If the Workforce Now client is not set up for a 2nd Pay Group, any company transmittal with a 2nd Pay Period End Date (TC60CARD) will be rejected by the Mainframe. 2nd Pay Period End Date 57 8 YYYYMMDD If 2nd Pay Group Indicator (2PGI) = 1, enter date. As a result of the Big Rocks changes, the impact of the Increased Deduction Priority Fields on Mainframe are as follows: Expanded the existing company mnemonic 1DP5- Deduction Priority Field 5- from 16 deductions to 20. (81 – 96, A0 – A3) Created the new company mnemonic 1DP6 which will hold up to 16 deductions. (A4 – B9). Modified 2RSP, 2UN1, 2PD1, 2PD2, 2P02, 2P04 and 1QRH to accommodate the expansion of the Deduction Priority fields. Modified the logic and the payroll edits. Modified the J200 On-Line.
