NCEES Process: End-of-Year for Teacher Evaluations
Welcome to the NCEES Process: Getting Started Webinar OPENING SLIDE---on “Show my Screen” at beginning of session. Checking audio settings with participants: Good morning/Good afternoon. Home Screen Home Screen Tabs Channels Channels
Tabs – digital pages with information and access to applications. The specific tabs that each user will see will depend upon the user’s system level access rights for Teacher, Observer, and Principal. Channels – different sections on the page. There are several channels on the home page: Welcome channel, Targeted Announcements channel and the Calendar channel. Containers – within each channel users will find the containers. (ex. Initial Review, Mid-Year Review, End of Year Review) Sign Out link – use the Sign Out link at the top right to sign out of the system. Container 3

Review the Teacher Evaluation Process
In step 3 of the evaluation process Observations are conducted. The graphic on the slide shows the evaluation process in a 4 step cycle. 4

Component 5: Observations A. Formal observation: 45 min. or entire class period B. Teachers: less than 3 years experience Comprehensive Evaluation Cycle: 3 formal by principal and 1 formal by peer C. Teachers: more than 3 years experience Standard or Abbreviated Evaluation Cycle: Standard: 3 Observations, 1 must be formal Abbreviated: 2 Observations on Standards 1 and 4 Abbreviated Observations may be formal or informal STEP 3: Observation Cycle (Administrative and Peer) Component 6: Post-Observation Conference The principal shall conduct a post-observation conference no later than ten school days after each formal observation. Discuss and Document strengths and weaknesses on the Rubric. Review the Teacher Evaluation Process A formal observation shall last at least forty-five minutes or an entire class period. In step 3 of the evaluation process Observations are conducted. Comprehensive Evaluation The teacher/principal will participate in a summative evaluation. A peer shall conduct one formal observation for a Comprehensive evaluation. During the year the principal shall conduct at least three formal observations. Standard Evaluation During the year the principal shall conduct at least three observations, including at least one formal observation. Abbreviated Evaluation The teacher/principal will participate in a summative evaluation During the year the principal shall conduct one observation. 5

North Carolina Evaluation Process
I’m going to pause for a moment to give you time to look over the North Carolina Evaluation Process chart and see what questions you have. All evaluation plan types will do a teacher self-assessment and professional development plan. All evaluation plan types will have a summative conference and summative evaluation. Observation Scoring Summary
To begin the process, log into the system, click on ‘My Evaluation’ tab and select ‘Probationary Teacher Evaluation’ channel. Comprehensive Teacher Evaluation 8

Comprehensive Teacher Evaluation Observation Scoring Summary Scroll down to Record of Teacher Evaluation Activities. Open the container and click on Observation Scoring Summary. In the bottom screenshot is an example of the Observation Scoring Summary. (Click on the image to open a copy of the Observation Scoring Summary) 9

Summary Evaluation Summary Evaluation
The principal can have a copy of the Observation Scoring Summary open in a separate browser to refer to while working on the Summary Evaluation. Using a second browser the principal will log into the system, select the teacher and open the Summary Evaluation container as shown in the top screenshot by clicking on Contains 6 activities. As shown in the bottom screenshot the principal will begin by clicking on Summary Evaluation Form. 10

To begin the principal will click on Start New. The principal will begin by selecting a rating for each element and providing an overall rating for the standard. 11

This screenshot is an example of a principal selecting Not Demonstrated for two of the elements. When selecting Not Demonstrated the principal will need to provide Comments, Recommended Actions, and a List of Resources for the teacher. These are provided to assist the teacher to improve any elements marked Not Demonstrated. 12

1 2 Summary Evaluation Form If the evaluation form is not complete the principal would click Save Changes then Save & Exit. But once the form is completed the principal would follow these steps. Click Save Changes Then Click Share. As shown in the bottom screenshot the principal will click Share. 3 13

4 5 6 Summary Evaluation Form After sharing the form the principal will click on Finalize. Then the principal will click on Exit as shown in the middle screenshot. The last step is to click on Mark Complete. Remember after clicking Mark Complete no further changes can be made. The bottom screenshot shows the completed step. The principal may not want to complete these steps until AFTER having the Summary Evaluation Conference with the teacher because after finalizing and clicking on Mark Complete NO further changes can be made to the form. 14

To complete the Summary Evaluation Conference the principal will begin by clicking on Summary Evaluation Conference. 16

Next the principal needs to click Edit underneath Summary Evaluation Conference. 17

Begin by selecting the date of the conference by clicking on the Calendar icon. Once a date is selected the date will appear in the text box beside the calendar icon. The principal will provide comments pertaining to the Summary Evaluation Conference with the teacher. Remember to click Save and then Save & Exit. 18

After completing the comments and saving, remember to click Acknowledge. Once Acknowledge is clicked you see the green checkmark beside Summary Evaluation Conference as shown in the bottom screenshot. 19

Teacher Signature Summary Evaluation Conference
After the principal completed the Summary Evaluation Conference the teacher is ready to acknowledge the conference. To begin the teacher will click on Summary Evaluation Conference – Teacher Acknowledgement. 20

The teacher will review the comments provided by the principal. Scroll down to the bottom of the screen and click Acknowledge. By clicking Acknowledge the teacher is no agreeing or disagreeing but acknowledging that they have reviewed the comments. After clicking Acknowledge a green checkmark will appear beside Summary Evaluation Conference – Teacher Acknowledgement. 21

Teacher Written Response
To provide a written response to the summary evaluation conference the teacher will begin by clicking on Written Reponses. Next the teacher will need to click Edit underneath Written Response. 23

The teacher will provide comments and may attach a file. Remember to click Save and then Save & Exit. To complete the process scroll to the top of the screen and click on Mark Complete in the top left of the screen. This will lock the Written Response and no further changes may be made. The principal will receive an notification that a teacher has provided a Written Response. The principal will need to begin by clicking on Written Response Acknowledgement. 25

After clicking Mark Complete the step Written Response will have a green checkmark. 26

Comprehensive Teacher Evaluation Written Response Acknowledgement The principal will review the comments and/or files the teacher attached. Once reviewed the principal will click on Edit beneath Written Response Acknowledgement. 27

Click inside the box to place a checkmark to indicate that the comments from the teacher have been reviewed. Remember to click Save and then Save & Exit. The bottom screenshot shows “Yes” after saving. 28

Comprehensive Teacher Evaluation Locking Summary Activities Written Response Acknowledgement Locking Summary Activities Remember to scroll to the top left of the screen and click Mark Complete. This will lock the step. As shown in the bottom screenshot the Written Response Acknowledgement is completed. Next the principal can lock all the steps within the Summary Evaluation container. The principal will click on “Lock” icon on the right. 29

Locking Summary Activities
After clicking on the “Lock” icon the text box on the top left will appear letting the principal know that all steps within the Summary Evaluation container will be locked once OK is clicked. After clicking OK the textbox on the bottom left will appear to show what activities have been locked. Click on the “X” to close the text box. After closing the text box you now see that all activities associated with the Summary Evaluation has been locked. 30

Comprehensive Teacher Evaluation Locking Summary Activities Next the principal can lock all the steps within the Summary Evaluation container. The principal will click on Lock Summary Activities link shown in the top screenshot. The principal will click on Lock Activities as shown in the middle screenshot. The text box on the bottom left will appear stating that once OK is clicked all associated steps within the activity will be locked. Click OK. After clicking OK the text box on the bottom right will appear letting the principal know that all steps within the Summary Evaluation container is locked. Click on the “X” to close the text box. 31
