Now It’s legit: setting up a formalized database subscription recommendation and review process Colleen Lougen, Electronic Resources Librarian, SUNY New Paltz background workflow Results from first 12 months Flat Electronic Resources (ER) budget for 10 years Numerous faculty requests/year Prior process was informal Requests and feedback sent via to ER librarian or liaison librarian Fill out Database Recommendation form Fewer questions about the request process and budget (explanatory text in the database recommendation form may have helped) Received robust feedback about database trials with 18 surveys completed by students and faculty Majority of the surveys were for a trial database that we ended up purchasing Plan on sharing trial feedback with liaisons for further discussion about collections For unpurchased databases, liaisons may initiate a review of existing subscriptions and explore alternatives with requestor The Database Recommendation form was a model for the development of an online Journal Purchase Request form Database Recommendation Form: Database Trial Feedback Form: Request for database trial or purchase Er working group Formed a working group to create online forms to help formalize the request and trial process Developed two forms: Database Recommendation form (webpage) Database Trial Feedback form (Qualtrics survey) Fill out Database Trial Feedback form Links to forms During database trial Goals for new process Gather necessary information for purchasing decisions Start a dialogue between liaison librarian and requestor Make process more transparent and explain budget Initiate a review of existing subscriptions Emphasize a focus on student research Demonstrate library’s ongoing commitment to providing outstanding resources References Holderman, Sharon.
