3 What does this feature do?
Ability to invite more people than tickets allotted Create and invite multiple groups Send custom invitations at different times and control the RSVP deadline Tickets allocated on a first come first serve basis Allows for a waitlist

4 Enabling Flexible Registration
Due to the complexity of this feature, please reach out to your Customer Success Manager to enable the feature for you. Once the feature is enabled, you will see the option to use the Advanced Invitations feature in your orders.

5 Enabling The Feature For Your Order
To enable the feature on your order, click on the “Advanced Invitations” checkbox when creating the original order. This option is at the bottom of your order details when first submitting your order. You will see the interface for the feature once your order is approved. You will add invitees after your order is approved.

6 Using the Feature After your order has been approved, you will see the following interface where the invitee field usually appears

7 Using the Feature – Registration Details
The registration details can be broken down into 6 different sections: Registration Snapshot Groups Contacts Scheduling Waitlist templates

8 Registration Details – Registration Snapshot
The Registration snapshot contains three areas Tickets in order Lets you know how many tickets are in the order, regardless if they have allocated or not. Tickets Assigned Lets you know how many tickets you have assigned to a specific individual. Tickets Available Lets you know how many tickets are left to allocate. This is useful when working with multiple groups.

9 Registration Details – Groups
Groups are sets of invitees that you can define specific invitation rules for. i.e. Give first access to a VIP group, then open registrations to a General group. IM automatically creates your first group for you and allocates all tickets to this group. You can modify the name of the group by editing the text under the group tabs. Click on the tab you want to change the group name for to update the group name.

You can create multiple groups by clicking “+Add” and allocate a chosen amount of tickets to those specific groups. If there are any available tickets when creating a new group, the new group will be allocated the remaining tickets. To delete a group, click on the trashcan next to the group name.

You can see and adjust tickets allocated to the group by editing the group settings. “Tickets in Group” reflects the total amount of tickets allocated to the group “Wait List” lets you know how many tickets from this group are allocated to the waitlist Tickets not in the waitlist will be treated as first come first serve tickets.

12 Registration Details – Invitees
You can add invitees to your order by: Importing them from a .CSV file or Search for an existing name from the company address book At this time, you can not create a new contact from this area. If an invitee intends to bring a guest, you must add the guest name to this list.

13 Registration Details – Invitees
You have the option to search for invitees using the search bar. If there are too many invitees to list on one page, you can scroll through the pages by using the functionality on the bottom right hand side. Once the invitees are added, you can remove them by selecting the “X” to the far right of the Invitee Details

14 Registration Details – Scheduling
You can control when the invitation is sent, when the invitees can start to accept the invitation, and when the invitation expires.

To control when the initial invitation is sent, adjust the date under message release date. To adjust the date click on the calendar icon. This controls when the message is sent and not when the event is available for requesting.

To control when the registration is open, adjust the activation date. To adjust the date click on the calendar icon. This does not control when the invitation is sent but rather, when the event is available for requesting.

To control when the end date is for the event registration, adjust the expiration date. To adjust the date click on the calendar icon. This controls when someone can no longer redeem a ticket to the event. This does not recall the s that were sent.

You can also send an invitation to the group without the need to schedule the time the invitation goes out. To do so, click on “Send {Group Name} Invitation Now”.

19 Registration Details – Waitlist
Once all First Come First Serve tickets are assigned, anyone that still accepts the invitation will be added to a list where you can assign the remaining tickets. If you would like to pick and choose who gets to go to the event, we recommend adding tickets to the waitlist. Any remaining tickets in the “Tickets in Group” field will be treated as First Come First Serve. Amount of Tickets in group – Amount of Tickets in Wait List = Amount of First Come First Serve Tickets

20 Registration Details – Email Templates
templates are broken up in three different types of s that are sent to the Invitee. Invitation Template , RSVP Yes Template, and RSVP No Template. These templates are based off of template you may have already created using our editor.

21 Registration Details – Email Templates Cont’d
Invitation Template is the that is initially sent to the guest. RSVP Yes Template is the that is sent when the guest accepts your invitation. This is the same that is sent to the waitlisted invitee. The invitation is modified to let them know they are on the Wait List. RSVP No Template is the that is sent when the guest denies your invitation. To edit the invitations that you are sending, click on the blue arrow next to the selected template. This will take us to the Invitation Editor.

22 Using the Feature - Invitee Details
Invitee Details lets you know overall who was invited to the event and the status of their invitation. You are able to see if the invitation was sent, check if the invitee RSVP’d, search for people who have/haven’t responded, send an invitation to single or specific guests, the ability to assign tickets and download a guest list . Note: You will see every guest you have added to the registration details in this area, regardless of group allocation.

23 Invitee Details – Checking Response Status
To check the Response Status of a specific invitee, use the search bar and check under “Response Status.” To filter for specific Response Status, click on the filter Icon then select the Response Status you are searching for by selecting the appropriate check box.

24 Invitee Details – Sending Invitations
To send an invitation to an Invitee, select their name by clicking on the checkbox next to their name. Next, click on “Send Invitations”. Once the is sent and the Invitee has made a decision, the “Response Status” will update accordingly.

25 Invitee Details – Assigning Tickets
To assign a ticket to an Invitee, select their name by clicking on the checkbox next to their name. Next, click on “Assign Ticket”. Once the ticket is assigned, the response status will change to “allocated”. The invitee will receive a confirmation letting them know of the assignment.

26 Invitee Details – Downloading Lists
To download a guest list, click on the download icon. IM will create a .CSV file letting you know who has Note: You must select Invitees to download information. To select all those that are appearing in the list, click on the first check mark on the top left hand of the list. You can also select specific invitees to download information for.
