Gradschool E-news – an information-packed newsletter which is ed to grad students every month (with the exception of January and July) containing timely information about registration dates and deadlines, awards, student life activities and more. Please emphasize to you students the importance of reading the Gradschool E-news. Essential Grad Guide for new students – written in collaboration with the Office of Student Life, this is a booklet which contains information about the services offered by SGS and links to other important resources on campus. In July, it will be mailed to new students who are starting in the fall. I will be sending a memo with further instructions in July. Workshops – throughout the year, SGS offers workshops for students on various topics, including graduate awards and graduate supervision. These workshops are advertised through the Gradschool E-news. SGS Calendar – which contains all official SGS policies. Only available online through the SGS website. Forms and Information via the SGS website – we try to make the SGS website as detailed and informative as possible for students. The SGS website should be students’ first stop for information about everything related to SGS policies and procedures – as well as sessional dates, links to other campus resources, contact information, and more. Graduate supervision guidelines – includes information, tips and support for students who have questions about graduate supervision – including problems in the supervisory relationship. Letters confirming enrolment or registration ($7.00) – usually takes up to 5 working days. Students can order in person or by completing the form available on our website. Name/Gender changes - the way a name appears on the Student Web Services (ROSI) is how it will appear on the diploma. If a students would like to change this, they most present at least one document which supports their identity and name as it appears on ROSI. Legal Status Changes – I will discuss this later in the presentation.

Student Services is responsible for recruitment, admissions, registration, enrollment, program progress, awards & financial aid, graduate student life programming, convocation and post-doctoral fellows. A Student Services Assistant (SSA) and Student Services Officer (SSO) are assigned to your graduate unit and are always happy to provide assistance. Your SSA can assist with student system (ROSI) related matters and your SSO can assist with policy related matters, including non-standard admissions and programs cases, and foreign credential assessment. Training and Support: One-on-one training for student system (ROSI) related matters Meetings and workshops – including several Brown-Bag Lunches on a range of topics, briefing sessions, policy workshops on admissions, registration, graduate awards and the annual foreign credentials workshop Referrals to campus-wide resources – if we can’t help, we can refer you to other resources on campus such as Accessibility Services or the Office of Student Life. Guidelines and Manuals: Memos and reports – scheduled memos with accompanying reports containing information to help you stay proactive in your efforts to identify students who need a variety of different services and advice relating to, for example, program extensions, academic progress and registration. Detailed forms – for students and administrators. Every effort is made to present forms which contain detailed instructions on the related policy and procedures. Foreign credentials evaluation assistance – your SSO is available to help you interpret and evaluate international credentials – we also maintain the International Credentials Equivalencies Database (ICED) which contains information about nearly every educational system in the world. Student Services and ROSI Manual – 2014 update to be posted at the start of July!

6 Enrolment and Registration
What is the difference between enrolment and registration? Enrolment: Occurs when courses are added to student records (by the student or the grad unit) Registration Occurs when students pay or defer their tuition fees (INVIT status changes to REG)

8 Course Enrolment SGS Add/Drop Courses form:
Students may submit the Add/Drop Courses form to graduate units for processing If submitted after SGS course enrolment deadlines, the request must be processed by SGS The form is available on the SGS website Students may also enrol by completing the SGS Add/Drop Courses form. Requests to add or cancel courses after SGS deadlines must be submitted to SGS Student Services. Courses which are added by graduate administrators after SGS deadlines will be counted as an error during SGS audits of graduate units. If you receive an Add/Drop Courses form after the course enrolment deadline, send it to your SSA or SSO after it is signed by the grad coordinator for ROSI grade entry.

9 Registration – when/where can students view their tuition fees?
Fees assessment for the fall/winter will take place July 14 Following fees assessment, tuition fee amounts can be viewed by students on the landing page and in the Financial Account section of the Student Web Service (ROSI) at The Financial Account indicates the UHIP fee and minimum first payment Instructions on paying fees, refund schedules, financial arrangement types are available at Instructions on making a payment from outside Canada are available on the Student Accounts website.

10 Registration Deadlines
August 29: Last date for payment of tuition fees to meet registration deadline September 12: Deadline for fall session registration Consequences of late registration: FINCA and loss of course enrolment Students must show proof of payment to SGS Student Services Late fee paid to SGS ($44.00 plus $5.00 per additional day to a maximum of $94.00) Students are placed in course waitlist if there are no spaces left

11 Legal Status Change (International to Domestic fees)
Changing legal status from international to domestic (or international exempt) on ROSI changes tuition charges Students must bring original documents (e.g. Record of Landing, permanent resident card) to SGS Deadlines: The date of landing must be on or before Nov 1 or Feb 1 or July 1 for government reporting and fees adjustment SGS should have documents ASAP to ensure accurate records and fees adjustments If students would like to change their legal status from international to domestic, they must bring original documents (e.g. Record of Landing, permanent resident card) to SGS so that we can change their status on ROSI. Please take note of the deadlines to present these documents – Nov 1, Feb 1 or July 1. Students should present their documents to SGS as soon as possible to ensure accurate records and fees adjustments.

12 Conditional Registration
Non-Severe Condition: Must be cleared by end of December Allows student to register conditionally Severe Condition: Must be cleared by last day to register (Sept. 12) Most have a “to be satisfied date” of Aug. 31 There are two kinds of conditions – severe and non severe. Non-severe conditions will allow a student to register conditionally; however, a severe condition will block the conversion of INVIT to REG even if the student pays fees or has requests to register without payment – although the last day to clear severe conditions is September 12th, most severe conditions have a “to be satisfied date” of August 31st, so clear by this date if at all possible. An example of a severe condition is the admission condition based on the English Language Proficiency (ELP) – units may offer admission conditional upon satisfying the ELP requirement prior to the deadline to register; however, failure to provide proof of language facility by this deadline will result in withdrawal of offer (no exceptions) In general, most admissions are conditional upon completion of a degree program with a specified average – the condition may be removed once the final, official transcript showing degree conferral and the specified average are received. If you admitted a student who is completing a U of T degree, you do not have to see an official paper copy of the final transcript. Instead, just check the student’s ROSI record for the “degree conferred” notation or specified average. Please print the student’s final record directly from ROSI and include it in the student’s admission file.

13 Consequences of not clearing conditions
Non-Severe Condition: Student will not be allowed to register beyond their second session of registration. Students who are enrolled in an eight-month program will not be allowed to graduate till all conditions have been cleared. Severe Condition INVIT status will not be changed to REG Students will be FINCA’d by SGS in September if not satisfied by the last day to register (even if they have paid or deferred tuition fees) Students with outstanding non-severe conditions will not be allowed to register beyond their second session of registration. Students who are enrolled in an eight-month program will not be allowed to graduate till all conditions have been cleared. Applicants who have received offers of admission with severe conditions must clear the conditions before they are allowed to register. Their INVIT status will not be changed to REG. They will be FINCA’d by SGS in September if they do not satisfy severe conditions by the last day to register (even if they have paid or deferred tuition fees).

14 How to clear conditions
View students with outstanding conditions by printing lists from ROSI (see Sections 4.6 and 4.94 of the Student Services and ROSI Manual) ROSI Procedure: Enter “the satisfied date” on  4 A E C Select B and type in student ID # Press enter Select condition (place cursor on cond) press enter Select M, tab down to satisfied date, type current date Change the candidacy status to OOF on 3 D A To find out which students have outstanding conditions, you can print lists from ROSI – the instructions for doing so are in the Student Services and ROSI Manual. CHECK FOR A PREVIOUS PAYMENT. ROSI WILL NOT CONVERT TO REG IF A PAYMENT WAS MADE BEFORE THE CONDITION WAS CLEARED

15 Dual Registration Units may allow master’s students who are close to completing their degree to register in both the Master’s and Doctoral program for one session only Degree recommendation must be submitted for dual registrants in the fall session by Jan. 23, and those in the winter session by Apr. 17 Another type of conditional registration is “Dual Registration”. Units may allow master’s students who are close to completing their degree to register both in the Master’s and the Ph.D. programs for one session only Degree recommendation must be submitted for dual registrants in the September session by January 24, and those in the January session by April 17 There is a difference between Dual and Simultaneous Registration: Simultaneous Registration - With the permission of the graduate unit(s) and SGS, students can be simultaneously registered in one full-time program and one part-time program, or two part-time programs – but not two full-time programs. Simultaneously registered students are responsible for tuition fees for both programs.

16 Termination of Registration
New on the SGS website: Guidelines for Administrators: Regulatory background Overall procedures and steps References (including recommendation for termination template letter) SGS contact info Info for Students: Definition of termination Explanation of the process FAQs Occasionally, a graduate student may fail to meet the required academic standards of their graduate program. In those cases, a Graduate Unit Chair or Director will submit a recommendation for termination of the student's registration to the SGS Vice-Dean, Students. To assist both administrators and students with the termination process, SGS has developed pages on our website containing termination guidelines for administrators and information for students. It is important to remember that students may withdraw voluntarily from their programs at any point before their registration is terminated. A student may decide to withdraw from the program before the Chair/Director submits the recommendation to SGS for termination of registration or before the SGS Vice-Dean, Students, approves the Chair/Director's recommendation. In such cases, SGS will record the withdrawal on the student academic record and transcript, and SGS will not act on the recommendation of termination of registration. Withdrawal is a voluntary action taken by a student; therefore, it cannot be appealed. A student may not withdraw from the program after the termination of registration has been approved by the SGS Vice-Dean.  

17 Tuition Fee Deferral and Student Loans
To request on the Student Web Service (ROSI), students must be receiving: OSAP and other provincial loans US Loans A funding package under the unit’s graduate funding commitment Students with unpaid fees from a previous session may NOT defer current session fees Students who have already received notice of an OSAP award or a US student loan will appear on a list made available to Enrolment Services and which will be used for validation on the Student Web Service (ROSI). Please note that students with unpaid fees from a previous session may NOT defer current session fees.

18 How to defer fees based on loans
Students apply for deferral by clicking on the OSAP/Govt Deferral button on the 'Financial Accounts' section on the Student Web Service (ROSI): Prior to the registration deadline, students can apply for deferral based on student loans by clicking on the OSAP/Govt Deferral button on the 'Financial Accounts' section on the Student Web Service(ROSI). They will know immediately whether or not their tuition fee deferral application is successful and their application will be noted in their ROSI activity log. If the tuition fee deferral application is successful, their status will change from INVIT to REG.

20 Identifying students who may defer fees through the Student Web Service (ROSI)
Students with a funding package as part of a unit’s funding commitment are identified by the “Funding Indicator” on the individual student’s registration screen (4 A A B/4 A C B) This is set by the student’s year of study and the “Max Year of Funding” on the POSt settings (1 A A B, second screen) The rollover process is run for returning students in March for the summer session, and May for the Fall/Winter session. This process creates the student’s sessional funding indicator based on the Max Year of Funding setting on the subject POSt. The “Funding Indicator” is the marker that allows or disallows the online request for registration without payment.

21 SGS Request to Register Without Payment Form
Used when a student is receiving a major award, research stipend or teaching assistantship that covers at least the minimum first payment (not part of a graduate unit’s funding commitment) Will be available on the SGS website when fall registration begins (mid-July) Students outside the funded cohort but still eligible to request registration without payment must still use the form on the SGS website and submit it to the graduate unit.

22 Service Charges September Starters January Starters May Starters
begin November 15th January Starters begin February15th May Starters begin June 15th Occur on the 15th of every month thereafter until fees are paid in full. Service charges apply to all students who have an outstanding balance with the exception of students who have registered without payment on the basis of an award.

23 Service Charges for Students who Request to Register without Payment
OSAP or other provincial loans, service charges begin to accrue as follows: September Starters first assessed as of November 15th January Starters first assessed as of February 15th May Starters first assessed as of June 15th Major award, research stipend or teaching assistantship covering at least the minimum first payment : September Starters – first assessed as of May 15th January Starters – first assessed as of May 15th May Starters – first assessed as of September 15th

24 September Batch FINCA SGS will FINCA all students who have not paid fees or have not completed a request to register without payment on Sept. 15 Enrolment in and access to courses by the Student Web Service (ROSI) will be cancelled Students requiring registration after this date MUST be directed to SGS to show payment receipt Late registration fee is required for registration Can be identified in advance by using 4 B B E September batch FINCA, on the Monday following the Friday registration deadline in September.

25 Enrolment Preparation
One of the most important things in terms of reporting, is to make sure that your sessional date and course scheduling information is set up in ROSI correctly and as early in the year as possible. These dates control when students are able to enrol in courses on ROSI. My office has sent out a few reminders already about setting your enrolment start and end dates. You do this on the 1ADA screen in ROSI. M07 – Dates activities are available for enrolment The M07 start and end dates for SGS indicate the general broad period in which SGS students may add courses. Grad Units may specify a narrower range of dates that their activities are available for enrolment. In such a case, the start date must be on or after the SGS date and the end date must be on or earlier than the SGS date. MAZ – Activity change dates for other The MAZ start and end dates can be identical to the M07 dates or may be modified to begin and end different enrolment periods. The start date assignment allows courses to be added beginning at 6:00 a.m. ROSI system time. Grad Units may also specify a narrower range of dates for their MAZ date. MW1 – Dates Waitlist Function is Active The MW1 dates indicate the broad period in which students may add themselves to a waitlist for a course. As of midnight on the end date, students may no longer be added to the waitlist. ROSI will make one final attempt following the end date before the beginning of the next business day to accommodate students from the waitlist into any spaces which may have become available and will then delete WAITlisted courses from all student records. SGS sets default enrolment start and end dates each spring to allow continuing students to begin enrolling in Summer, Fall and Winter courses. Students have been able to add courses since March 17 – unless you have set your own department-specific dates. The last day for adding Fall courses is September 22. They can add Winter courses until January 19. We also set course waitlist deadlines to be one day before the course enrolment deadline. For Fall courses this year, students can put themselves on waitlists until September 21. For Winter courses, they have until January 18. If the SGS default dates don’t meet your needs, and you haven’t set your own, you can go ahead and do that on 1ADA. My office is happy to help you out with this. Keep in mind that we have rolled over student registrations to the upcoming fall and winter sessions, so your students can enroll in courses now unless you’ve set up different sessional dates. Also remember that your dates need to be within the SGS start and end dates. If you need a list of your students who were rolled over – and those who were not rolled over – take a look in your SGSDrive folders. Sofia placed these lists there last week. If you have any questions about this, please let Sofia or me know. There’s more information about Sessional Event Dates in the ROSI Manual - section 1.4.

26 Enrolment Preparation
Update course scheduling info in ROSI 1 B A A: Activity Sections 1 B A C: Activity Meeting Sections 1 B A D: Activity Section Enrolment Limits Inform students This is also a good time to make sure that your course scheduling and instructor information is up to date in ROSI, if you haven’t already done this. This information is obviously important for course enrolment, but it’s also critical for getting the courses into Blackboard. If you need to update your course schedule for the coming year, there are timetable preparation instructions in the Student Services and ROSI Manual on the SGS website – refer to sections 5.0 to The manual is password protected; so me if you need the login information. And please be sure to inform your students of your dates and deadlines for course enrolment. An important part of preparing for course enrolment is setting your enrolment controls. You do this on the 1BAD screen in ROSI. Enrolment controls allow graduate units to have a detailed level of control on which specific groups of students may enroll in a given meeting section. You can limit course enrolment to students in particular programs of study – including degree programs and also collaborative or combined programs, fields of study and concentrations. Sofia presented a brown bag lunch on this topic last week, and we’d be happy to share her presentation with you. We’re also happy to answer any questions you may have as this functionality can be a bit complicated.

27 Key Dates in Monitoring Enrolment & Registration
September 12 – deadline to register September 15 – non-registered students FINCA September 22 – last day to enrol in courses November 1 – Fall enrolment and Registration count This is just a quick summary of some of the key dates related to enrolment and registration. Please remember to build in time for cleaning up student records in the week or two prior to the November 1 count. We’ll be in touch with you during that time to let you know about diagnostics that you can run yourself, and any data anomalies that we notice.

28 Emergency & Next of Kin Contact Information Remind students to add this information to ROSI: We’ve found that students don’t always have their address, , phone number, or emergency and next of kin contact information up to date in ROSI. This information is very important in those – luckily rare – cases when there is an emergency and the University needs to contact someone. My office has developed a report that identifies whether Emergency and Next of Kin contact information exists for students. We sent this to you in your SGS Drive folders this past spring. Please let me know if you need an updated list. Students can add all of this information themselves in ROSI. It may be helpful for you to include instructions for how to add it when you send out reminders. They need to click on Personal Information on the left-hand sidebar And then click on one of the options along the top, such as Address, Contact Information, and so on.

29 Importance of Accurate and Complete Student Records
Students Fees Blackboard access and class lists Grades Transcripts Tax credits Institution Government reporting and BIU income Academic and budget planning Performance indicators (e.g., unit & program reviews) One really important point to keep in mind is just how important it is to make sure that your registration and enrolment data is accurate and complete. This information ties into many other systems, reports and documents that are really critical to students and to the University. For instance, student fees are tied to their registration in a program or, in some cases, to their course enrolment. Course enrolment information is sent from ROSI to the Blackboard system. The information needs to show up correctly on the student transcript and it’s also used to calculate the tax credits on the T2202A each year. Many student awards also depend on students’ registration information. As many of you know, the School will be piloting eMarks in three graduate units this summer, and we hope to launch it in many more units beginning with the fall grades. This system draws instructor information from ROSI, so this will be one more reason for you to make sure that this information gets accurately recorded. It’s the only way that your instructors will be able to enter grades in the system. In terms of the Institution, student registration is directly tied to government reporting and BIU income. And these data are used extensively for academic and budget strategic planning. Student registration and enrolment histories are also two key performance indicators used in quality assessment reviews. So it’s really important for you to make sure that your courses are set up correctly, your instructor information is in ROSI and is accurate, and that student enrolments are recorded correctly in your graduate unit.

30 Checking Records - Tools
Registration lists (downloads – ROSI & ROSI Express) Individual student look-ups (e.g. outstanding conditions – 4AEC) SGS diagnostics (e.g. Duals) ROSI diagnostics Reg’d students without courses (4BBA) Invited students with courses (4BBE) Anomalous records (4BBG) Outstanding conditions (4FJG) There are several tools available to you for checking on the accuracy of your enrolment and registration information in ROSI. Any of these tools may be of assistance throughout the year. But they are especially helpful before, during and immediately after Registration. ROSI and ROSI Express downloads will give you an up to date picture of each student’s current registration status and contact information so you can follow up with them. Sofia and I would be happy to help you out if you’re not familiar with using ROSI downloads. Various ROSI screens will provide stats or lists of students requiring attention. For instance, you can check whether students in your graduate unit have outstanding conditions (4FJG) or check whether any students in your programs have course enrolment requests that haven’t been APProved yet – where the status is still REQ or INT (4ABA). SGS produces a number of lists throughout the registration period for checking, such as the Duals list. Finally, pre count diagnostics are vital for checking records between registration and the November 1 count. They can also be useful in the lead-up to the course enrolment and registration deadlines. 4BBA – Registered students without courses – can help you check for students who have paid fees (or who we think have paid) but who haven’t taken care of their enrolments. 4BBE – Invited students with courses – can help you find students who haven’t yet paid or deferred their fees (Note, only works for students who have at least one APP course). And I’ve listed a couple of others here as well that many people find useful.

31 Blackboard and Instructor Info
Instructor information in ROSI: 1 B A B A Accuracy and timing are important!  CTSI provides Blackboard training and support: Tuesday, June 24, pm to 3pm In past years there have been problems with instructors not being able to quickly access their courses in Blackboard. To help this go more smoothly, make sure that you’ve added course instructor and coordinator information accurately and well in advance. Instructors can only see their courses if you’ve added their information in ROSI. Course information is added to Blackboard from ROSI four months ahead of the course start date; so instructors should be able to see their fall courses now as long as they’ve been added to the course in ROSI. And – again – this is going to become even more important once we begin using eMarks. Students need to be approved in the course – have an (APP) status in ROSI – in order to access their courses in Blackboard – among other things. The Centre for Teaching Support and Innovation provides Blackboard training and support. They have a session coming up called “Getting Started: Building Your Portal Course” This is a two-hour, hands-on session for instructors, teaching assistants and course administrators who are new to Blackboard. Participants will learn how to set up and run a course in Blackboard. You can register on the CTSI website or by ing

32 Reinstatements Graduate students who fail to register may reinstate if they are still within the maximum allowable time for the degree program (program length plus maximum extension years). Reinstatement forms are approved and processed by SGS. Graduate students who fail to register (formerly known as “lapsing”) may reinstate if they are still within the maximum allowable time for the degree program (program length plus maximum extension years).

33 Program Extension Rules
Phd, flexible-time option PhD professional doctoral students: 4 one year program extensions after time limit Master’s students: three one-year program extensions after time limit First two approved by graduate unit, further extensions approved by SGS

34 Program Extension Fees
All FT graduate students on new program extension pay 50% of the relevant domestic fee plus sessional incidental & ancillary fees (domestic fee also applies to international students) Part-time students on extension will continue to be charged part-time fees

35 Pro-rated Final Year Fees
Only doctoral students (PhD, Flexible-time Option PhD, professional doctorates) are eligible for pro-rated final year fees. Doctoral students whose final year is not an extension year will be assessed pro-rated fees based upon 100% of program fee. Doctoral students whose final year is an extension year will be assessed pro-rated fees based upon 50% of program fee.
