Getting around in REALTYnuance
Client Center is where all your active and inactive clients are stored Property Center is where all your active and inactive listings and sales are stored Member Inbox is your RN mailbox - you can track your Sent Items thru here Showings Log is where you are able to track your showings. Your client can be given access to these showings so they can view feedback whenever they choose Help is our online help site where you can find answers to most of your questions You can us thru Can We Help? or by using the top contact us link

Now we’re going to look at your Client Center – click on Clients, or Client Center
These are all your clients that have been entered via our nightly batch imports of new listings from the Board – to see what Properties are assigned to their profile, you can click View Properties Here you can also add new clients. If your client is in the list, please click on them. If not, please click Add Client.

Enter a client (if your client is not already in the list)
Enter a client (if your client is not already in the list). If your client is in the list, this form will be filled in already You can enter a client with as little as first name and last name. You should however, enter as much information as possible as this will help your conveyancer If you choose to give your client access to view their documents and showings log, you need to enter their address and tick off Tracking Options – upon significant updates If your client was already in the list, this is how you will update their profile to include contact information. Click Save once you have entered all details you have.

Let’s file a document to a Client
There are certain documents you may want to file to a client. Every time that client does a transaction, these documents will follow them, making it unnecessary to refile to a specific property. From the Client Profile, click CLIENT DOCS Once the documents open, click ADD

Filing to a client… con’t
Click on the down arrow to select Document Type Browse your harddrive to find the document Depending on browser, you can drag the file over – just do a split screen and drag to Add Document field – otherwise, just select the doc. Add to DEALkit if you want the doc to go to your office, click SAVE

Now we’re going to add a property to your client, or access a listing that is already in your Property Center To add a property, click Add Listing or Add Purchase depending on which you’re entering. To see what properties are already assigned to this client, click View Properties. Click on the property address to open.

Entering a Listing or a Purchase using an MLS number
Enter MLS # and click Retrieve from MLS – property details will auto-populate, then click ADD

Now we can add Documents – there’s 2 ways of doing this – we’ll start from your computer
Click DOCUMENTS Client documents display first Click ADD to add documents from your harddrive

Select Category (Purchases will default to Purchase Select Document Type Click Browse to access your harddrive Optional – Add a Description Add to DEALkit – if it’s something you are sending to your office, click Yes Click SAVE

Now let’s add all documents for your transaction
Go thru the same process till all documents are added

Let’s try adding Documents thru your RN Inbox
documents to Click on Inbox from Home page to open Inbox Click second icon to import new messages Click subject line to open message

Click to open filing menu Select Property, Client will populate automatically Select Category Select Type Select Yes for DEALkit (if applicable) Click FILE Once all docs are filed, click Docs Link to take you directly to the documents page

Now we’re ready to Add a Dealsheet
When clicking Docs Link from the Inbox, or after filing your documents from your harddrive, this is what you will see Now, select Dealsheets When adding a Purchase via MLS Number, you will see the dealsheet that has been automatically started – click either the Seller’s name, or the Buyers name When adding a dealsheet to your Listing, you would click ADD to start a new dealsheet Purchase Listing

This is a Purchase dealsheet that has been started via Retrieve from MLS
As you can see, the purchase dealsheet includes the Listing Agent info, as well as the Seller info You should be showing as the Selling Agent Your Buyer’s info will flow thru to the dealsheet

This is a new Listing Dealsheet created by clicking on ADD
You should be showing as the Listing Agent Your Seller’s info will flow thru to the dealsheet You will need to enter the Selling Agent and Buyer information

Completing the Dealsheet (let’s start with a Listing Dealsheet)
Contract Date is mandatory – click on the calendar icon to select a date Business Source is mandatory – select from drop down list Click on Search to search the Board for Selling Agent – enter first name / last name and click SEARCH Click on the correct agent in the list to populate the dealsheet You can also start typing the last name of the Selling agent to populate from the RN database

Enter the Buyers name and as much information as you have – remember, this is the information that is sent to your office If you have selected Yes to RankMyAgent, make sure to enter an address to your client Don’t worry about the FINTRAC Identity Check

FINTRAC Business Relationship – Mandatory FINTRAC Suspicious Transaction Report – Mandatory for Buyers Agents only Price – enter purchase price with no commas If it’s GST Applicable, click Yes If GST is included, click Yes – a Commissionable price will display Enter Deposit and Deposit Due Date – you will receive a reminder 2 days before Enter Final Subject removal date – if firm, use contract date Enter Completion, Possession & Adjustment Dates – use Calendar Icon

Select the first subject, then hold down Ctrl and select the balance of subjects (for same date) Enter date in Select Date – then click Add (to the right) Subjects will be displayed below If you need to delete a subject, tick to the right in the box, and click Delete above If you have additional subject(s) with different date, enter separately with the correct date and click Add

Start typing the Firm Name in the blank field to the right of the Law Firm fields Select the lawyer from the drop down menu If the law firm is NOT in the list, try by Lawyers First Name If still not in the list, click Add Lawyer, or Add Notary I’m not going into this as it’s an option that will be unavailable soon

Listing Dealsheet Commission If a Percentage: enter % amounts for Gross Listing Commission and Net Selling Commission Net Listing Commission will calculate automatically If a Flat Fee: Enter Gross Listing Commission in far right field Enter Selling Commission, either as percentage or flat fee Listing Commission will calculate automatically Selling Dealsheet Commission Only add Net Selling Commission – if entered via MLS number, commission percentage should be displayed

You will see your name, with 100% of whichever end you’re working on If there is a referral, start typing last name, or use the Select Agent field Select from Drop down or list Enter amount of referral – if percentage, enter the amount, ensure correct Side is selected Click Add – amount will be calculated automatically

Continuing the Dealsheet… Status and sending DEALkit
Add Comments if needed (perhaps client referrals, etc. Select appropriate Status (Save Draft does NOT flow thru to your office system Click SAVE You should get the following message – Click OK to send DEALkit, Cancel to save your dealsheet and continue on without sending to your office

And finally… we’re going to Send the DEALkit to your Conveyancer
You will see this screen – ensure all docs are in the list Click Next to send to your office Now you will see below dialogue box – click SEND You’re done!

Now we’re going to add extra documents and edit a Dealsheet
So, you’ve removed Subjects – what now? Start at your Property Center Click on the address Add your Subject removal and any other documents you now have to the Documents page Notice how your other docs say Yes under Sent column? That’s because you already sent those documents to Conveyancing – it’s a quick way to double check your work

Click on DEAL SHEETS from the Documents menu Click Seller, Buyer or Completion to open your existing dealsheet I’m assuming you are removing subjects and adding lawyers, so go to that section of the dealsheet Click Edit Lawyer Info to add a lawyer You are now able to type the law firm name to populate the lawyer field Tick Yes beside the subjects to show they are removed

Let’s save our changes – always SAVE your changes!!
Select Status at the bottom and click SAVE Click OK to send to your office

Now it’s time to send the revised Dealsheet to Conveyancing
You get this window again Notice how only the Deposit Cheque and Subject Removal are checked Click NEXT Then click SEND from the dialogue box

And we’re back to Documents
Once you hit SEND, you are taken back to the Documents for that property Note that all documents now show as Sent – that means everything has gone to your Conveyancer

We also have a Showings Log
From the Home Page, click on Showings Log It will display a list of your Active properties Select the property you want to add the showing to

Entering a Showing Click ADD to add a new showing
Enter information and click ADD Showings are displayed in the showings log for that property If you enter the showing prior to the date, and select Send Automatically, 8 hours after their showing, the agent will receive a request for feedback

Working with Showings To enter feedback, copy the feedback from your message (Ctrl C), go to Showings Log – Address – click on the showing you’re entering feedback to, click inside the Feedback box, and click Ctrl V Once you have entered showings, you can all agents easily – just tick everyone you want to , and click

Client Access As mentioned before, you can give your client access.
Ensure you have an address entered, and upon significant updates is checked. If you did this initially, your client will receive a welcome If the client came in thru our nightly batch import, then you will have to edit their profile To access the profile, click Client Center and select the client Add the information, and click SAVE To send their welcome , click RESEND Their login information is the Login ID and Logon Password

Troubleshooting If you get this error from your dealsheet, check your commissions! It usually happens when a flat fee commission is entered to the percentage fields, rather than the far right fields If you get it when using Search, or Select Agent, please me with the agent’s name. Sometimes the system gets confused when an agent is in our database more than once, without Board ID’s
