3 User Roles Go to: Topics Add-on Roles will need to be given to users in order to Create, Edit, or Delete students and registration. Users must be assigned certain roles in PearsonAccessnext to perform actions outlined in this training module. The following user roles will need to be assigned to staff that will be managing student registrations and tests. A base role of State or LEA/District Test Coordinator or School Test Coordinator will allow users to perform most tasks in PearsonAccessnext. The following add-on roles can be assigned to users to allow them to also perform these actions. Delete Student Role: Assigned to users that will be able to delete students from PearsonAccessnext. Sensitive Data Role: Assigned to users that will be able to view and edit Student Sensitive Data. Irregularity Resolution Role: Assigned to users to move a test attempt from one student record to another student record.

4 Create Students Go to: Topics When information about a student is entered into the system, a student record is created. One way to enter student information is to Import and Export Data files, which is commonly done for additions or changes that involve multiple students. This training module gives instructions for the initial creation of a student record and also for viewing and editing existing student records, which is commonly done for additions or changes that involve just one or a small number of students. To create or edit student records, follow these steps: From Setup > Students, open the task list and select Create / Edit Students and Registration and click Start. Select Create Students. Enter the organization where the student will be testing. Enter the students unique State Student Identifier. Enter the students last name. Enter the students first name. Enter the students birthdate. Enter the students sex. Click Create.

5 Edit Students To view or edit student records, follow these steps:
Go to: Topics To view or edit student records, follow these steps: Select a student name from the list at the left to view that student's information.  Enter or change the information displayed on the main page, as desired, and click Save to keep your changes. Click Next Task or click on the tab Register Student to continue with registration.

6 Register Students Go to: Topics Next, you must register a student to indicate that the student is part of the test administration. Select the student(s) to be registered and mark Registered. Enter or update the students required demographic information. The fields that are not required may be entered now or at a later date. If these fields remain blank, some may cause a critical warning. Click Save. Critical warnings can be resolved anytime before the test administration ends. For more information on resolving critical warnings, refer to the Critical Warnings and Alerts training module at modules. Click Next Tasks or click on the tab Manage Student Tests to continue with registration.

7 Manage Student Tests Go to: Topics A student test assignment indicates the specific test session in which the student will participate. Create Student Tests . Select the student from the drop down menu. Select the test you are assigning to the student. Select the organization where the student will be testing. Select the Test Format. Enter in any Personal Needs Profile (PNP) Information. Click Create. The student you have created is now registered for the test administration. Click on the student’s test to confirm that all the test details were captured correctly. If you found an error or need to provide additional details, you may edit the student test details directly on this form and click Save.

8 Manage Classes Go to: Topics Classes allow students to be grouped together for reporting purposes and is used later to identify a group of students to be placed into a test session. LEA/district and school personnel can choose to use a term other than classes to refer to this feature. This label is most helpful for Paper-Based Testing when students are identified in a classroom prior to the SR/PNP assessment import deadline and Student Labels are created and sent with the initial order. Click the Manage Classes tab. Select the students test to be assigned to a Class from the drop-down menu. If a Class does not exist, click New Class to Assign a Class to the Selected Student Tests. Click Save.

9 Manage Enrollments Go to: Topics If a students enrollment needs to be updated, select the Manage Enrollments tab: Click in the Organizations search area to find organizations. Select the organizations you want to show in the list, from which you will add or remove each selected student's enrollment. Use the check boxes to update the organization the student should be enrolled in and uncheck the box next to the school the student is no longer enrolled to. Note: Students may only be enrolled in one organization. Click Save.

10 Students - Move Tests Go to: Topics Students - Move Tests exists for those cases where two student records have inadvertently been created in the system for the same student or when a student has taken a test under another student test record. When this happens, Students - Move Tests allows you to move any test assignments from the student record that you do not want to use to the correct student record for the student. This ensures that test results are reported for the correct student. When moving student tests, we recommend you check with your LEA/district or state policy to find out who is responsible for moving student tests in your organization. To move a test assignment from one student to another student: From Setup > Students, search to find the student(s) you want to edit or click the down arrow next to the Search button to reveal and select the option to show all results.   Mark the boxes to select exactly two students. Open the task list and select Students - Move Tests and click Start. View assigned tests for both students, as indicated by the green checkmarks. To move one or more test assignments from one student to the other, select one or more test assignments and click Move Tests. You can mark as many tests assignments from the list as you like. When you click Move Tests, each selected test assignment will be moved from its current student to the other student. Click Exit Tasks to go back to the Student screen. This is not guidance on what to do when students transfer between organizations. Refer to the Transfer Students Between Organizations training module for that guidance.

11 Delete Students Go to: Topics
When deleting students, we recommend you to check with your LEA/district or state policy to find out who is responsible for deleting students in your organization. Deleting a student is a multi-step process. Before you can delete a student from the system, you must reverse the process that you used to add the student to the system. You must first remove all assignments and registrations the student may currently have before the student record can be deleted. From Setup > Students, search to find the student(s) you want to remove or click the down arrow next to the Search button to reveal and select the option to show all results. Select the student(s) you want to remove. Open the task list and select Register Students and Manage Student Tests and click Start. Go to the Manage Student Tests tab and find the test you wish to unassign under Student Tests. Uncheck Assigned. This removes their Test Assignment. Click Save. Click the Register Students tab. Select the student from the Students list at the left of the page. For each student, uncheck Registered and click Save. Click Exit Tasks. Once the preparation tasks are complete, then you will be able to delete the student record: Your student should be selected from the previous activities we performed, but if they are not you will need to click on the Ignore PARCC Registrations option above the Search field. Click the down arrow next to the Search button and select show all results. Select the student you wish to delete.  Open the task list and select Delete Students. Click Start. Confirm that the student record(s) you want to delete is marked with a check, then click Delete. Note: Once you delete a record, it cannot be restored.

12 Generate Sample Students
Go to: Topics The training center allows users to create sample students so that real student data does not have to be entered. Login to the training center at If you do not have a login to the training center, please contact your District Testing Coordinator. Once logged in verify the organization that you will be creating students for. From Setup select Students, select Generate Sample Students from the Tasks drop-down menu. Click Start. Select the Organization, Existing Class Name (or Create New Class), Grade Level When Assessed, Test, and Test Format. Enter in the number of sample students you would like to generate, up to 99 students. Click Generate.
