1. 9th Grade Entry Date Field
RDS has established the 9th grade entry date field in order to generate a report showing 5th year seniors for the purpose of athletic eligibility. This date references the date they started their freshman year, regardless of what school they attended. When enrolling a student, this date must be entered before the system will let you go to the next screen. Please note the following:
Beginning with this year’s rollover (from 01/02 to 02/03), this date will automatically be input for all freshman students involved in the rollover process.
Entering a new student after rollover: You will need to put their 9th grade entry date into their miscellaneous screen during the enrollment data entry process. If they are coming from another school district, you will use their freshman enrollment date from that corporation.
All current high school students (01/02 school year) will need this date input into the system as follows.
* Establishing a date for current 01/02 students: In database management, a date of 08/15/YY (YY = 9th grade entry year) can be entered for each grade level (sample follows). For the most part this will be true data. Those students that have repeated a grade in their high school career would need that date adjusted to reflected the date they actually started. EX: John Smith is a current sophomore, a 9th grade entry date of 08/15/00 was entered. John actually is repeating his sophomore year so his date would need to be changed to 08/15/99.

2. Using the Database Management to Input 9th Entry Dates for Current Students F8-17, field # 61
Enter Field #61
Enter one grade level at a time
‘N’ for Include withdrawn students
Hit the enter key
Fill in the first screen of dates. EX: current 9th grade entry date would be 08/15/01. Anytime you are unsure of an exact date 08/15/YY can be used. (YY must be a specific year)
Before hitting the enter key, place your mouse on the ‘0’ of the ‘08’ on the first date line
Left click and hold the mouse and drag it down and over so that it forms a box around the dates as shown
Click the Edit drop down menu and click Copy
Your cursor will be blinking on the first date line, click the Edit drop down menu and click Paste
Hit your enter key and continue through the grade. Repeat steps for next grade level
