In November we held Learner Forums in our centres to hear about your experience of studying with Manchester Adult Education so far. Over 100 learners attended the forums, providing feedback and ideas for improvements from themselves and their classmates. Thank you for your time! Enrolment You said We did (or will do) Move on
Improve the speed of enrolment by doing more online. We are investigating the use of some online enrolment for September 2018. Increase staffing available for enrolment to make enrolment faster. We are already using all the staff we possibly can but we will recruit and train volunteers to support enrolment in September 18, including previous learners and volunteer interpreters. Have better information available pre enrolment, for example, what ID to bring. We will produce posters and improve both published and online information about the enrolment process; we are investigating the use of text reminders. Offer individual appointment times to cut waiting times during enrolment. This is difficult to do in practice but we will consider in our planning for September 2018 where it is possible. Move on

Provide a leaflet with induction information for learners to take away. To avoid using more paper, we will add more induction information to the Learning Journey folder and make sure the information is easily accessible on MAES Online (including a downloadable PDF leaflet). Provide a list of the holidays for the course at the start. This will be added to the induction information that is given at the start of courses. Give up to date information on all the courses in each centre online. We are developing MAES Online to give this information. Produce induction and progression slideshows with audio voiceovers and make these accessible online. This is a great idea and we will do this in the future. Move on

Give more information about the new GCSE grading system. We will produce a poster to go up in centres to give this information. Increase information about employability courses and activities available to learners looking for work. All staff will promote additional support and opportunities for learners looking for work. Employability staff will also visit classes and run some drop in events in centres. Move on

A reminder about staying safe

Safeguarding Manchester Adult Education is committed to ensure that learners and staff have a safe and healthy place of work and learning environment. Our policy includes safeguarding against abuse. You are also responsible for your own safety and for preventing injury to others. Please talk to a member of staff about any safety concerns you have – we can help or point you in the right direction to get help. Ask learners what they would do if they had any concerns about safety – they should report any concerns to any member of staff. Move on

Prevent ‘Prevent’ is part of the government’s counter- terrorism strategy. It aims to prevent people being radicalised. The Prevent Duty is about keeping us all safe and within the law. MAES respects the views of individuals and the right to express them in non- extremist ways. If you have any cause for concern, for yourself or a family member, please talk to a member of staff. Tell the learners that we have a duty as a public organisation around Prevent. There will be new posters arriving in centres soon to explain more to learners. Move on

Looking for Work We have Work Clubs and ESOL Work Clubs in many of our centres which you might want to join. These are drop-in workshops where staff and volunteers will help you to use a computer to job- search, fill in applications, register with employment agencies and update your CV. We also have some short courses to help you get work. Please make sure learners are aware of employability support they can access- from Work Clubs to Jobs, Volunteering and training noticeboards Look at your centre timetable or ask at reception to find out what is available at your centre When and where is the nearest Work Club? Your Course Your tutor will give you information about your course:
Timetable (rooms, tutors, tutorials) What you’ll be learning on the course Exams, exam fees and course work What you could do after this course Have you got all the information you need about your course? Move on Please give as much information about the course as your learners will need as this point and invite any questions.

Attendance You must arrive on time and attend all your classes.
Please let your tutor know if you are going to be late or can’t attend a class by calling the centre. Ideally your attendance will be 100% but if your attendance falls below 90% you may lose your place. Do you know how many of your course sessions is equal to 90%? Do you know the number to ring if you can’t come to class? Move on Get learners to work out what their attendance needs to be to be above 90%. Emphasise that they need to attend regularly to make progress (and that they should be aiming at 100%) and also that we have waiting lists for many courses. Give them the number for your centre to ring if they are off sick.

Flexible Learning & Holidays
If you have to miss a class for a good reason, e.g. shift work, caring responsibilities or ill health, we can give you work to do at home so that you don’t fall behind. Many courses will continue during school holidays – if you cannot come due to childcare, you can complete work at home, or be helped to pay for childcare for school-age children. Some courses have study weeks - these are part of your course and it is important that you do the work set for you. Are you clear about flexible learning and holidays? Move on You can tell your learners if your course has any study weeks or will be meeting during school half term weeks

Problems If you have a problem or cannot continue with your course for any reason, please talk to your tutor or a Learner Services advisor. For example, if you want to make a complaint or you want to appeal an exam result, we have policies explaining the steps to take. Do you know who to ask if you have a problem? Move on If a learner asks you for a copy of a policy, show them where to find it on MAES Online and/or print off a copy for them from MAES Online. Tell them they can get a copy of our policies on MAES Online or ask the office. If you can’t find a specific policy ask your line manager for a copy. Explain that if they need to leave their course for any reason it’s best to tell you or another member of staff as we might be able to find a solution such as moving them to a different classtime

Your Centre Your tutor will now give you information about your centre: Where toilets and other facilities are Who’s who and who to talk to Parking, bike parking and public transport routes Where the drink machines and special areas for eating and drinking are Have you got all the information you need about your centre? Move on Tell the learners about the centre – you can even do a guided tour! Explain where the facilities are. Check whether the learners know who to talk to about a complaint or an issue to do with one of their exams / certificates or an issue to do with the centre facilities. Information about each centre is available in a separate document which will be ed out to all teaching staff. You cannot eat or drink in classrooms for health and safety and hygiene reasons. Please hand in any lost property you find and tell us where and when you found it. If you have lost something, please ask at the centre office.

Fire Procedures Your tutor will now tell you about the centre’s safety procedures and fire exits. Your centre will hold regular fire drills for your safety. Please make sure you know the procedure to follow. Do you know what to do if there’s a fire in your centre? Move on Information about each centre’s fire procedures is available in a separate document which will be ed out to all teaching staff. All learners who would find it difficult to leave quickly in an emergency without assistance (and you can’t use lifts if there’s a fire) need to have a PEEP written, which you need to keep in your class file. The PEEP form is available on MAES Online or from your line manager. If you have mobility problems and may have difficulty leaving the building quickly in an emergency your tutor will write a Personal Emergency Evacuation Plan with you.

Accidents & First Aid Please tell the centre office if you have an accident. They will note it in the Accident Book. This information helps us prevent further accidents. Anyone who has an accident should go to the centre office. We must fill in the Accident Book whether there is an apparent injury or not. We will arrange to take you to hospital if needed and try to contact your next of kin. Move on

Learner Agreement You have already signed the Learner Agreement on the back of the enrolment form. Please have a look at what it says and keep it safe. Do you know what it says in the learner agreement? Move on Have a copy of the enrolment form handy so you can show this to learners.

Smoking You cannot smoke in any of our centres or entrance areas.
This includes electronic cigarettes. Move on

Mobile Phones Please switch off your mobile phone in class or put it on silent mode. Your tutor may allow you to leave your phone on if you have a special reason. You must check with your tutor first. Move on

Help with Costs Our Learner Support Fund may help you with travel costs, childcare costs or course fees. Please ask at the centre office for more information and make an appointment to see a member of our Learner Services team. Move on

Additional Learning Support
If you have a learning difficulty and/or a disability, you can get additional learning support. This includes: transport helpers signers note-takers dyslexia and language support additional help with English and Maths Talk to your tutor if you feel you would benefit from extra support. If any of your learners need additional learning support, you will need to complete a referral form with them Move on

Computer & Internet Use
We provide access to computers for you to use as part of your course. Some centres offer Digital Drop-In workshops. Some centres have PCs you can use outside class times. You can also use PCs in libraries to support your learning. You must follow our policies when using our computers, about using the internet and . The centres with Digital Drop-Ins are Greenheys, Forum, Withington, The Avenue, Newton House, Abraham Moss; Longsight; also available in the following libraries –Abraham Moss Library, Central Library, Gorton Library and Ida Kinsey House and The Works. Digital Drop Ins are for adults to learn how to use a range of digital devices. Suitable for beginners or those who want some help improving their skills. You will learn how to use computers and digital devices in your everyday life. You can get help and advice with the IT skills you might need for your course as well as learn how to get on-line, send s, shop, pay bills, book tickets, use Facebook and Twitter, store your photos and stay safe online. Computers and other devices will be available but we also encourage you to bring your own devices to learn on. Do you have any tips for using computers safely? Move on
