UNCLASSIFIED Correspondence In this training module, you will be guided through the process of entering a Correspondence in DISA IDEAS for a requirement. Instead of ing questions, concerns, additional information, or documents to DITCO, you will now use the Correspondence feature. This feature will be available once the Requirement is in Assigned/Accepted status. UNCLASSIFIED UNITED IN SERVICE TO OUR NATION

3 Lesson Objectives Objective:
Upon completion of this lesson, the Customer will be able to: Initiate Correspondence with Contracting. Reply to Correspondences from Contracting. Track Correspondences using the Correspondence Dashboard. At the end of this session, you will be able to initiate and respond to Correspondences with the contract specialist assigned to your requirement.

4 Locate Record The Requirement Package can be accessed from the My Requirements section on the Landing Page. To review or initiate a Correspondence, you must first find the requirement. The main access to your requirement is through the main Landing Page. Click on the identifier link for the specific requirement. This will open the Summary Dashboard for that requirement.

5 Click “Initiate Correspondence”.
Related Actions: Correspondence Dashboard From Summary Dashboard, click “Correspondence” to open the Correspondence Dashboard. Click “Initiate Correspondence”. From the Summary Dashboard, click on the “Correspondence” link on the left side of the screen to be presented with the Correspondence Dashboard. Once there, click the "Initiate Correspondence" link at the top right side of the dashboard to initiate correspondence with the assigned Contract Specialist.

6 Correspondence Form Fill out form.
Red asterisk (*) indicates required fields. It is important to fill out all known information. Click “Submit”. Fill out the form with the following information: Subject and Comments. If you have any enclosure documents you want to add, click the “Add” button. To submit the form to the contract specialist, click the “Submit” button; to save the form for submission at a later time, select the “Save” button; or, to cancel the correspondence, select the “Cancel” button.

7 Respond to Correspondence Form
Fill out form. Red asterisk (*) indicates required fields. It is important to fill out all known information. Click “Submit”. Once the contract specialist has responded to the correspondence, you will receive a task to either respond or end the thread. Ending the thread means that you are satisfied with the response and have no need for more discussion. The thread can also be viewed through the Correspondence Dashboard for the life of the requirement. If a response is needed, then add comments and/or documents, and then click the “Submit” button. The “Save” button still allow you to fill out the form and save for a submission at a later time.

8 Click the link under Thread History to display Thread Details data.
Review Correspondence Form From the Correspondence Dashboard, you can review all Correspondences for a requirement. Click the link under Thread History to display Thread Details data. You can initiate a new Correspondence by clicking “Initiate Correspondence” Related Action button. The Correspondence Dashboard shows a history of all the correspondences for this requirement. Selecting the thread will show all the Correspondences for that issue/question in the Thread Details portion of the dashboard.

9 Summary In this lesson, you learned how to:
Initiate Correspondence with Contracting. Reply to Correspondences from Contracting. Track Correspondences using the Correspondence Dashboard. In this lesson you learned to initiate and respond to correspondences with the contract specialist assigned to your requirement. You have now completed this IDEAS requirement training module.
