4-H Awards Night 2018: Thursday, August 2nd
Arts In will have performance for friends and family at 6 PM Awards Ceremony starts at 6:30PM, Awards to volunteers and youth are handed out Root Beer Floats and Cupcakes after!

Fair Set Up Day In 2018: July 25th
Please bring the amount of people assigned to your club. It is a big job, and both the Fair Board members and 4-H Staff appreciate any and all help we can get!

Static Entry Day Static Projects will be judged from 1PM- 7PM
Judges work with the youth Adult Clerks and Youth JR Superintendents assist the judges and help put projects away Staff direct the process and answer questions

Static Entry Day Cont. It’s my first year – what is the judging process? When you arrive at the 4-H building, please check in at the 4-H Office

2018: breeding Swine show Breeding Swine trailers will be allowed to enter the Fairgrounds at Noon on Monday Breeding swine only, ABSOLUTELY NO ANIMALS WILL STAY OVERNIGHT AT THE FAIRGROUNDS ON MONDAY NIGHT All Breeding Swine must be in pens and ready for ID’s to be checked by 5PM 5-6PM – ID’s will be checked 6:30PM – Show will start

After the show All animals must leave Arena must be cleaned and picked up All pens must be cleaned out If we have an “all hands on deck” mentality this will not take very long to accomplish!

Livestock Entry Day All trailers enter through the North Gate and exit through the East Gate North Entrance 4-H Building East

Livestock Entry Cont. When unloading: All stalling will be marked
Unload everything and get the trailer parked off of the grounds Set up stalls after trailer has been moved This will speed up the whole process for everyone All stalling will be marked PLEASE: do not move stalling cards!!

Staff will be located in the Livestock Arena Pick up from 4-H staff: Stall cards Backtags Please provide your own safety pins or harnesses You receive 1 backtag per exhibitor, please use it for all species you are showing! If your tag gets ruined (ex: your cow eats it) please contact staff immediately for a new one Packet of additional information as needed

All livestock participants:
Poultry must be in place by 4pm The show starts at 5pm All livestock must be in place by 5pm All participants should conduct a livestock interview: All livestock except poultry: Tuesday, 2pm-finish Poultry: Wednesday at 2pm

Cloverbud rules The University of Minnesota mandates the following:
A parent or responsible person will be in control of the animal at all times. This means the adult will handle and lead the animal at all times during the fair! Cloverbuds should not operate power driven equipment such as clippers, power drills etc. Please see Pages 8 and 9 of the premium book for full cloverbud rules

Cloverbud rules cont. 4-H Staff and Volunteers reserve the right to halt a show if Cloverbud animals are not being controlled by an adult Refusal to follow Cloverbud safety rules is grounds for excusal from the show ring

Market animals Will need to be weighed and checked in:
9am-12pm, 3pm-5pm: All goats and sheep 8:30am-1pm, 3pm-5pm: All market swine 2pm-5pm: All beef

4-H Livestock Auction Please see page 35 of the premium book for eligibility and full rules The deadline to register for the auction is 7PM on Thursday of the fair. Staff will strictly enforce this deadline Only exception: Meat goats and rabbits have until 30 minutes after their shows end to get to the office and sign up

Consignment to Central Livestock Association:
Anyone wishing to dispose of their extra market animals will have the opportunity to do so. A notice will be posted regarding consignment on the Show Arena bulletin board. Consignment forms will be available Saturday morning at the Livestock Auction; animals will not be loaded until Sunday.

Consignment cont. If an animal is taken to consignment at Central Livestock, it must be weighed in on the first day of the fair. Central Livestock will appraise the animals. 4-H members are responsible for feeding, watering and caring for their livestock until 11:00 a.m. Sunday or until the truck hauls out the animals.

State Fair Youth who have completed 6th grade and older may accept state fair trips Please accept/decline your trip ASAP after earning it You will be given a packet of paperwork at time of acceptance All registration paperwork and payment is due to 4-H staff by 7:30PM Friday

State fair cont. Saturday at 4:30PM: Livestock State Fair Meeting
Required for all youth and chaperones for Livestock Because paperwork will be done ahead of time: this meeting should not take as long as previous years! Expectations and rules will be addressed Meal tickets and gate passes will be passed out at this meeting

State fair cont. Saturday at 5:15PM: Static State Fair Meeting
Required for all youth and chaperones for General Encampment Because paperwork will be done ahead of time: this meeting should not take as long as previous years! Expectations and rules will be addressed Meal tickets and gate passes will be passed out at this meeting

State fair chaperones If you are considering being a chaperone:
Please make sure you have been screened and accepted as a volunteer BEFORE the fair We simply do not have enough time to screen people between our fair and state fair Aly will hold a chaperone meeting in the 4-H building on Sunday at 9AM – required Coffee and donuts will be provided Will do a short training Go over rules, expectations and answer questions

County Fair Herdsmanship
Beginning Wednesday AM, continues through Saturday PM May happen at any time during the day Judged by volunteers Results will be displayed on a large board by the main 4-H office during the fair so you can see how you are doing

Livestock load out Central Livestock Market Load Out:
Will begin at 8AM Please be there at 8, you might wait a few minutes, but if the trailer isn’t waiting for you, then it all gets done faster Will end at 10AM If you show up later than 10, you will be in charge of getting your animal over to Central by yourself This is a non negotiable deadline!!

Trailers will be lined up at Central Livestock You will be allowed onto the fairgrounds through the North Gate; as space permits, by gate staff DO NOT CUT THE LINE: You will be turned away by gate staff if you have not lined up at Central

When you enter the fairgrounds Follow the instructions of Fair Board members and 4-H Staff Load as quickly as possible Exit via the East Gate North Entrance 4-H Building East

Sunday from 10AM-1PM Enter building through North Door Find project and proceed to East Door Sign out the projects Must give name and phone number for each project

If project will be going to State Fair: If staff will be transporting: Bring project to 4-H Office and give to staff Please write “Staff” on the line at sign-out If you will be transporting to state fair yourself: Bring project to 4-H Office and specify with staff that you will be responsible for transporting the project

Important deadlines Livestock Auction Deadline: 7PM Thursday or 30 min after goat or rabbit show State Fair Deadline: 7:30PM Friday All paperwork needs to be given to a STAFF member – Aly, Robin, Erica or Brynn (summer intern) Paperwork will be checked for completion - SF payment is due at time of paperwork

Emergency procedures In the event of severe weather:
The fair board makes the decision to evacuate in conjunction with the Goodhue County Sheriffs Department 4-H Members will be bused to Christ Lutheran Church, 223 E 5th St, Zumbrota Do not pick up your child at the fairgrounds! They will be at the evacuation site! 4-H Staff will load buses Each youth transported will be listed, and who picks them up will be listed as well. In the event a youth is injured: a screened 4-H Volunteer or Staff Member will accompany the youth to the hospital, utilize the health forms, and make contact with parents and emergency contacts.

Other things to keep in mind
If you don’t like something, or want changes: Join the PDC Attend a 4-H Council Meeting Attend a Fair Board Meeting Make a courteous suggestion to staff after the fair Please do not tell staff about it at the fair – we can’t make the change then anyways, and we will likely forget by the end of the fair in all the hubbub and lack of sleep
