NCAtrak Reports - Custom Tab Training New Vocabulary
A New Word in the NCAtrak Vocabulary – Query (Queries) Query is another way of saying, “ask a question of the database.” For example, you might want to know “how many times did we conduct forensic interviews this month and who did them?” Or you might ask, “Can you show me a list of all our cases including specific information about each case in the list?” The reports that are currently in NCAtrak use many queries that are run behind the scenes – unseen by you the user. In the Custom Tab, you will; Make queries Run them separately And/or combine them into reports. A. How many forensic interviews were completed? B. Who had a forensic interview? C. Reports - Custom Tab Introduction What is the Reports - Custom Tab?
A Database Query Tool The Custom Tab functions give designated users the ability to ‘query’ their center’s database in NCAtrak. From the Custom Tab you can specify all the details of your question (query) and then tell the database to get the answer (run the query). A way to Join Multiple Questions or Queries into Reports Many times NCAtrak users say, “I just want to push a button and get the information I need.” With a little bit of set-up work you can edit or create each query that you need, and then add them together into one report. Once the report is made, you can just click and see your data Of course, you can make as many reports are you want. A way to Access Greater Detail than currently available in NCAtrak Management Reports While it is likely you will continue to use the Schedule Reports Tab and the NCA Statistics Report Tab, you will probably find the queries and reports in the Custom Tab more useful than the current management reports. There are nearly 400 different data fields available for use when making the reports There are innumerable ways to combine and display the data A way to Compile Raw Data into a Format that can be Copied into Other Documents Custom Tab displays all data found in ‘HTML’ format so you can: Print it as is Copy it and paste it directly into your report document (like your Center Annual Report) Copy and paste it into Microsoft Word or Power Point and edit it or add to it anyway you want. Custom Tab Introduction What are the Reports and Queries Tables?
Two tables in one Reports Table Reports – For My CAC - When you first arrive at the tab it is set to show you Reports – For My CAC. Reports – NCAtrak Templates - When you click the “Show me NCAtrak Report Templates” the title changes to Reports – NCAtrak Templates and the link at the end of the table changes to “show CAC Reports.” Click ‘show CAC reports to return the table back to the Reports – For My CAC mode. Queries Table Queries – For My CAC - When you first arrive at the tab it is set to show you Queries – For My CAC. Custom Tab Introduction What are NCAtrak Report and Query Templates?
Please Note: The Report and Query Templates shown in these screen shots represent only a portion of what is available. See the Custom Tab on-line in NCAtrak for a complete list. NCAtrak templates are pre-formatted queries and reports NCAtrak Report and Query Templates are the simplest way to get data from the Custom Tab – just click ‘Run’ to display the results. The simplest way to create your own custom query or report You can run the query or report, view the details and find the ones that are similar to what you want. Then click ‘Copy’ by the ones you want on the one that is similar to what you need. The screen will change to allow you to edit it. Custom Tab Introduction What are List Queries?
List Queries display results in a format that looks like a spreadsheet. You select the data fields you want to see in the list, and the order you want them to display. The data in the first column of the spreadsheet will order in alphabetical, numeric, or chronological order depending on the type of data. Each of the next 5 columns will attempt to order in the same way to the degree possible without undoing the order of the previous columns in the table. Notice in the sample list query below, the first column is in alphabetical order. The Presenting - Reason for Referral Column appears to be in alphabetical order until you look at the bottom where it looks out of order. This is because Stephen Jay Silverclound was referred for Other Direct Services and his name is alphabetically before Bonita Valezquez in the first column. Dave Fine and Alison Carol Ling both show up two times. This could be because they are listed as the alleged victim/client on two cases in the database, or it could be because they were referred one time with multiple alleged maltreatments. Changing the query can help you find the answer to why they are listed twice…. Custom Tab Introduction What are List Queries?
You can modify a list query to get more details. By adding the case number to the query we can see David was referred twice, for a different reason each time because he is the alleged victim on two cases while Alison was referred one time for both physical and sexual abuse. Listing queries are great for seeing details, however, using a listing query to get a count can sometimes present difficulties like the ones we have experienced here - so we also have summary queries… 11/8/2018 NCAtrak Custom Reports Training

Summary Queries can display a simple count of something Using these two simple summary queries we can see that there are 17 cases and 16 Alleged Victims/Clients. Summary queries can allow you to group a count of something by other data in the database For example we can see the count of alleged victims/clients grouped together to show how the count breaks out by the reason for referral and the alleged maltreatments. Custom Tab Introduction Why are Results Displayed in HTML Format?
HTML Format gives you the ability to see results quickly The computer can produce them faster than in another format It is more user friendly than the crystal reports version of other NCAtrak reports displayed in word or excel The system is used by many different centers with innumerable reporting needs. The least expensive way to provide flexibility for all users is to give you results in this format and allow you to use your own computer’s software to format the data the way you want it. HTML Format is compatible with other document types like Microsoft Word, Excel, and Power Point This means all you have to do is copy the data and paste it into whatever document you want Paste it directly into Excel and sort the data differently, add column totals as appropriate to your needs, do more advanced calculations, create graphs or charts, etc. Copy and paste the data directly into a Power Point slide like is shown throughout this training material. Copy the data and paste it into you Annual Report as a table. Change the Font, delete rows, columns, etc. 1. Start with html format results 3. Continue to work with the data to calculate desired details. In the example below we edited the table headers, changed the font, deleted the N/A or TBD column, added a total column, and a % Disclosures column 2. Here is an example of how you can work with the data in a Word Document… This is an example of a standard monthly report for a CAC. The document sections are the same each month, but the data can be copied from NCAtrak and pasted into the document. How to Run NCAtrak Templates Use the same procedure for queries and reports Click the desired template link to view either the report templates or the query templates. The NCAtrak template titles will display in the table. Click ‘Run” by the query or report you want to use. View results in pop-up window. There is an option that templates frequently use to allow you to set the date range you want when you run it. You will be prompted to enter a data range if necessary, then, click ‘Run’ again. 11/8/2018 NCAtrak Custom Reports Training

How to Copy and Edit NCAtrak Query Templates
Click ‘Show NCAtrak Query Templates’ The link will change to ‘show CAC Queries’. The NCAtrak query template titles are now displayed in the Query table. Click ‘View’ to see the Query Details Click ‘Run’ to see what results the query will return.. Click ‘Copy’ in the row with the desired query The Query Details screen will display containing a copy of the query (note the title says ‘Copy’), and the ‘Owner’ has changed from ‘NCAtrak Template’ to your name. Edit Options - To change the title, type in the title field Optional - Enter a description to help you remember why want this query, or details about special features you created in this query. (This description will not show when you run the query.) Change the query type, (listing or summary) Select ‘Shared’ to allow other people at your center to use the query Modify the selections in the query tables to make the query more specific to your needs, (see “Make Listing or Summary Queries from Scratch” in this training material and refer to the on-line help for more details). How to Copy and Edit NCAtrak Report Templates
Locate the Report you want to Copy in the NCAtrak Report Templates list Click ‘View’ to see which queries are used in the report Click ‘Run’ to see what results the report provide. Click ‘Copy’ in the row with the report you want When you copy a report template, a copy of the report will be added to your Reports table and a copy of each of the queries that make up the report will be added to your Queries table. Each one will have the word, “copy” at the end of the title so you can identify which ones have been copied from NCAtrak Templates. The screen will display the Edit Report page (still on the Custom Tab) In the “Queries for this Report” Table, add additional queries by clicking on the pick list (it contains all the queries in your CAC Query list), then click ‘Add’. Delete a query by clicking ‘Delete’ in the row of the query you want to remove. You can also change the title of the report, and/or indicate if you want to share the report. To edit the query titles, go to the query (it will be in you Queries Table) and edit the title). Remember to click ‘Save’ when finished. How to Make a Listing Query from Scratch
For this example we will use the following question… “Can I get a list of all medical evaluations that we complete each month that tells me the name of the person evaluated, their case number, the date of the exam, who did it, if it was an initial or follow-up evaluation, and what the findings were?” Enter the title that you want to give the query in the ‘Add’ row in the query table. Click ‘Add’ The Query Details page will display Description This is an optional field for notes about what this query is for or why you made it. This will not display when you run the query. Select ‘Listing’ as the type of query. Your name will display as the owner. Select ‘Shared’ if you want to allow other people to use this query. 11/8/2018 NCAtrak Custom Reports Training

Our question… “Can I get a list of all medical evaluations that we complete each month that tells me the name of the person evaluated, their case number, the date of the exam, who did it, if it was an initial or follow-up evaluation, and if there were findings?” Select the data fields you want in the list from the Output Fields table Select the Data Field Category first. We will need the Alleged Victim/Client Information category. Then check the Alleged Victim/Client Name. Click Save. A WORD ABOUT DATA FIELD CATEGORIES With nearly 400 data fields to choose from we had to group them into categories. The data field category list is very similar to the case tabs but some data fields have been grouped together into special categories since they will be used frequently like the Alleged Victim/Client Information category. There is a chart in the on-line help for you to use as a reference to locate data fields in each data field category. Continue selecting data fields you want in the list from the Output Fields table We need the case number. That may not be obvious from the Data Categories since it is displayed above every tab in the case record. We put it in the General Tab category. 11/8/2018 NCAtrak Custom Reports Training

Our question… “Can I get a list of all medical evaluations that we complete each month that tells me the name of the person evaluated, their case number, the date of the exam, who did it, if it was an initial or follow-up evaluation, and if there were findings?” Continue selecting data fields you want in the list from the Output Fields table Now we need the medical evaluation data fields. Look at the list of categories and ask yourself where in the case record would you find this data – The Medical Tab Visit Log. Select the Med – Visit Log category, and click in the box beside each data field that you need for this query. Click Save. Your list should look like the one below. Use the Sort Order buttons to put the data fields into the order you want them to display when you run the query. 11/8/2018 NCAtrak Custom Reports Training

Our question… “Can I get a list of all medical evaluations that we complete each month that tells me the name of the person evaluated, their case number, the date of the exam, who did it, if it was an initial or follow-up evaluation, and if there were findings?” Use the Filter By table to tell the database more specifically what you want. We know we need to count only visit that have been attended. We don’t want to include scheduled visits. Select Med Visit Log, and Med Visit Status. The Filter Table has a column that the other tables don’t have called ‘Criteria’. You will have two choices for most filters: Ask When Run –allows you to enter a specific criteria right before you run the query, then change it and run it again. Use Values Provided Below – allows you to set what you need so the query will always run the same way each time. We will select ‘Use Values Provided Below’ so we can make this query always give us a count for just attended visits. The criteria that display are all the choices for status that display in the status pick list on the Medial Visit Log in the case record, plus ‘not specified’ in the event you need that option for your query. Our question… “Can I get a list of all medical evaluations that we complete each month that tells me the name of the person evaluated, their case number, the date of the exam, who did it, if it was an initial or follow-up evaluation, and if there were findings?” Click ‘Run’ at the top of the page to see what you have created so far… If you don’t like the order of the information, you can go back and use the sort order buttons to change it. Just keep running it until it is like you want it. Now let’s make this query let us select a date range when we run it So far the query is returning every med visit where the status is attended but we need this to be a list for one month at a time. We can do that by adding a filters for the start and end dates. In the Filter By table, select Med Visit Log, and Med Visit Date. Two additional options display whenever you need to filter by a date. You need both of them so select one and save it, then enter the same data category and data field and select the other. Our question… “Can I get a list of all medical evaluations that we complete each month that tells me the name of the person evaluated, their case number, the date of the exam, who did it, if it was an initial or follow-up evaluation, and if there were findings?” Run the query again now to see how the addition of the data filters impacted your query. You are now presented with the chance to enter the start date and end date for the month you need. Once you enter the dates, click ‘Run’. Your results are now specific to one month. Of course you could enter any date range you want and use the query for the quarter or for the year, whatever you need. There are lots of different types of list queries you can make. Please Note: Summary Queries use many of the same steps as Listing Queries. First review ‘How to Make Listing Queries from Scratch’ and then you will be ready for summary queries. For this example we will use the following question… “How many times have we conducted med evals, and how many were initial evals and how many were follow-ups?” Also, this is a question you need to ask every month for your center’s reporting requirements. Enter the title that you want to give the query in the ‘Add’ row in the query table. Our Question… “How many times have we conducted med evals, and how many were initial evals and how many were follow-ups?” Also, this is a question you need to ask every month for your center’s reporting requirements. Select the Summary Field you need. In this example we want to know the number of medical evaluations – called medical visits in the case record. Select Count of Medical Visits from the Data Field Pick List. Click ‘Save’ in that table row. Select the data fields you want in the list from the Group By table This is the same table as the Output Table – just has a different name to help you think about what you need when making a summary query. We will need the Med Visit Log Category. For this type of query you have to think about what you are trying to count. While it might seem nice to add several fields to the query, you may end up getting different results than you desire. Start with just the fields you must have and then add to it if you want to see how a new data field will impact the results. Here we just need Med Visit – Type (Initial or Follow-up). Our Question… “How many times have we conducted med evals, and how many were initial evals and how many were follow-ups?” Also, this is a question you need to ask every month for your center’s reporting requirements. Use the Filter By table to tell the database more specifically what you want. We know we need to count only visit that have been attended. We don’t want to include scheduled visits. Select Med Visit Log, and Med Visit Status. Select ‘Use Values Provided Below’ and ‘Attended’. Save your selection. Click the ‘Run’ button at the top of the page to see what you have created so far… Ok, we can see that we have 1 follow up and 5 initial for a total of 6 evaluations. The question also says we need to know the totals for just one month at a time. To set-up the query to ask you for a date range before you run the query, follow the steps provided in the listing query section of this training. Selecting a Column Header – In order to demonstrate how to use this setting in your query we will add one more specification to the previous question Which providers did the sessions? Go back to your summary query details screen. Add the Med Visit Provider to your Group By Table. Click the column heading checkbox for the type of visit. Click ‘Run’. Enter the date range and click ‘Run’ again. Using First and/or Last Dates in Summary Queries – To demonstrate this feature we need a new question. How many Mental Health Sessions have we conducted, and for those who are receiving services, when was their first session and their most recent session, or the last one they attended? Using First and/or Last Dates in Summary Queries – To demonstrate this feature we need a new question. How many Mental Health Sessions have we conducted, and for those who are receiving services, when was their first session and their most recent session, or the last one they attended? Add the Group By Fields that you would like to see. For this example I would like to see the names of the people getting MH services, who their therapist is, when they were referred for services, and which county they live in since the county where they live may be paying for this service. Add the Filter By Fields By now you can probably guess you need to filter by the attended MH sessions. Make your query look like this one and then run it to see the results. The Good News – The summary part of this query is working well – you did great! The Bad News – Something is Wrong! There is a problem with the Alleged Victim/Client Names column and the County Column. Some alleged victim/client names are there twice with different counties. We think it is making the count of sessions inaccurate. Go to the next page to see how troubleshoot it. 11/8/2018 NCAtrak Custom Reports Training

Troubleshooting Queries
We can keep the question from the last query until we get it fixed How many Mental Health Sessions have we conducted, and for those who are receiving services, when was their first session and their most recent session, or the last one they attended? Check to see if you saved everything in your query Our query did run so that is not likely to be the trouble here but that may be the problem when you build queries. Too much information in your query may mean you need to filter the data better Look over your Group By fields. Which fields are problematic in your results? Is it clear what you needed or is there a way to filter better? Add the case number to the Group by fields to see if we get a better understanding of what is happening. In our situation, when we add the case number we can see that each time a person is named twice, they are only on 1 case, and it looks like there are two different counties listed for their address. Look at one of the case records to see if you can figure out what is happening The “Address - County” is on the People Tab (we chose the people tab category) The easiest way to see everything on the people tab is to run the case report for this case and select all the details for all the people on the case. In our example, the alleged offender on the case we looked up lives in a separate county from the alleged victim and that is the other county showing up in our query results! 11/8/2018 NCAtrak Custom Reports Training

Modify the query to see if you can get better results The query is asking for the address – county on the people tab but it does not say that we only want the county for the alleged victim/client. You can fix that by adding a filter to the people tab data in the Filter table (see below) Then run the query again to see if you have fixed the problem… Much Better! Troubleshooting is not too hard if you double check your query, check your case records, and try changing the query until the data makes sense to you. Please Note: Reports are a grouping of queries. You will need to make the queries from the query table and then add them into the report. When making a report you need to think about which questions you want to answered at the same time For our example, we will say we want to know how many medical evals we completed and some details those visits. We have created two different queries in this training about medical visit. Let’s put them both into the same report. Enter the title that you want to give the report in the ‘Add’ row in the report table. Click ‘Add’ The Edit Report page will display Enter the title that you want to give the report in the ‘Add’ row in the report table. Click ‘Add’ The Report Details page will display Your name will display as the owner. Select ‘Shared’ if you want to allow other people to use this query. When making a report you need to think about which questions you want to answered at the same time For our example, we will say we want to know how many medical evals we completed and some details those visits. We have created two different queries in this training about medical visit. Let’s put them both into the same report. Run the Report. If any query has a filter that requires data at run time, or that you use a start and/or end date parameter the page will change to allow you to enter that information and then click ‘Run’ again. How to Copy and Paste Results Data into Other Documents
Once you run the query or report you can copy the data and paste where you want it. See below for an idea of how to do it. Select ‘Edit’ from the pop-up window tool bar where your query or report results are displayed. Click ‘Select All’ Everything in your results table(s) will be highlighted, including the title(s). Select “Edit’ again from the tool bar, and then select ‘Copy’ Or you can hold down Ctrl and “C” at the same time on your keyboard to copy everything. Open the document that you want to paste into Place your cursor where you want the data to paste On your keyboard, hold down Ctrl and the ‘V” key at the same time and your data will be pasted into the document. 11/8/2018 NCAtrak Custom Reports Training

Suggestions for Using the Custom Tab at Your Center
You should have a good start at using the Custom Tab pre-formatted templates and making your own queries and reports. It can be lots of fun to play with the Custom Tab It can sometimes be frustrating if you are trying to figure out why a query has a problem. Be patient with yourself and with the system. Use the On-line Help and call if you need assistance. Tips for Getting Started: Run the NCAtrak Template Reports to see if you find reports and queries that will work for your center. Copy the ones you want (remember if you copy a report the queries are copied into your list of queries too). Review the settings of the queries you have copied and make modifications if you want to. If you can’t find what you need, make a query from scratch Be sure to change the privileges in the Roles that you are using for personnel who need access to the custom tab. The same access to specific case and people data privileges that are used in other parts of NCAtrak also apply to the results available in custom reports.
