Laptop should be replaced with new or upgraded version when it exceeds 24 months as per the buy back policy(15%) of WDV at that time. Replacement of laptop after completion of three years only. While returning laptop latest OS should be updated. Genuine copies of OS should be provided to the employee. The laptop OS will have the latest updates available at Tata Power. In case of superannuation, the laptop should be given free of cost if it is more than 1 year old. This suggestion is not tenable. Buying of laptops should be discretionary as employee has to buy software licenses which is often more costly than the cost of the hardware. We can explore this option in future. SRIJANed 2016 2

Choice of brand/vendors should be made available to employees so that buy- back policy is more favorable. Laptops would be procured and allotted as per the ICT Policy & Procedures of the company, based on prevailing standard specifications from time to time, from an established pool of laptop manufacturer vendors. The specifications of the laptops available would be published on 'Sangam' from time to time. There should be a facility in the policy for returning back of the Laptop to Company or given to CR Department for future requirement. Employee may donate to CR department on their own. Process to be defined for surrendering old laptop. The process has been elaborated in the revised policy. Laptops to be taken on lease & not bought so that employees are not forced to buy the same. Theme 2 – Laptop Maintenance
SRIJAN Inputs SRIJANed Output Multiple assets are issued in single employee’s name. Not allowed as per Policy. This is an administrative issue and it is a mutual responsibility of the individual and ICT team. Laptop should be up graded with the available latest system (like processor & RAM) Not recommended technically. Additionally it will also lead to increased cost burden. SRIJANed 2016 4

Theme 3 – Laptop Transfer
SRIJAN Inputs SRIJANed Output Transfer of Laptop as asset is not done in case of transfer to or from CGPL,MPL or other Tata Power Group Companies In case of transfers within the Tata Power group companies, the officer can carry the laptop to the new location and the asset transfer on company’s books would be in line with the company accounting standards and ICT Policy & Procedures. The list of companies is mentioned in Clause 2.2. If transferred to Tata Group Company, the cost of the Laptop may be charged to the Group Company or Tata Power may keep the laptop with the concerned division and no additional cost should be charged to the employee This is not feasible as the other Tata group companies will have their own set of rules.
