1 TDW10: 25-29 April 2016, Noumea, New Caledonia
Data & Scanning Best practises for transmission of data TDW10: April 2016, Noumea, New Caledonia

2 Scanners New scanner model FUJITSU FI-7160 FUJITSU FI-5530C2
60 ppm / 80p ADF Up to 600dpi A4 only 30x17x kg 38W 50 ppm / 100p ADF Up to 600dpi A4/A3 40x23x20 – 8.5kg 57W Talk about : how many are available – who are they for – their cost – the provider in AU

3 - + Scanning Software SLOPS characteristics
Adapted to each data source Compression File naming Folders hierarchy File type : TIF only Note that some countries are not using SLOPS to send data and the files sent are neither compressed, nor properly organised in folders, trips, nor having the right file naming. Makes it harder upon reception to register data, and takes considerable amount of time to re-organise. Note improvements planned, linked to drawbacks on the right. We can distribute the installation file (and might make it available through the country web site) Compression: Scans are compressed in an optimal way, depending on their quality. Importance of selecting the right document quality in the interface File Naming: the SLOPS Software automatically gives a proper name to the scan, according to chosen parameters in the interface (ex: will include the gear type in filename, if specified) File organisation: The scans are automatically stored into a hierarchical folder structure, Logsheet/Observer/Length Frequency/…, then by Flag of vessel, then gear type.

4 Scanning Software SLOPS screenshots - Overview
Need to choose the right scanner driver upon first install of SLOPS Need to choose the folder where the scans will be saved – by default c:\scans

5 Scanning Software SLOPS screenshots - Overview
Good (Easy to read): means that the scan is visually easy to read. Therefore the scanning software won’t need to use the best definition possible, and will therefore create a smaller file Poor (light pencil, dirty, waterproof paper): these sheets usually need to be scanned at a better resolution to get a readable scan. This option need to be kept only for those cases as it will produce a heavier file

6 Scanning Software SLOPS screenshots - Overview
file name visible at the bottom of the SCAN VIEWER Many functions available in the scan viewer (delete page, insert, rescan,…)

7 File Formats Format conversion tools TIF vs JPEG vs PDF
File conversion & aggregation IRFANVIEW : Batch converts picts into smaller picture files, or into PDF files Aggregates/concatenates pictures and/or pdfs into one single PDF file Download and install freeware and plugins Batch picture files conversion PDF creation (aggregation)

8 https://dropbox.hightail.com/ofpdatareception
Data Transmission 1 – OFP Dropbox Scans, Backups, heavy files No saturation Same address each time Reaches several persons Keeping track of data Dropbox: possibility to include several attachments in the same message to the dropbox – best to avoid sending 1000s of messages to OFP

9 Data Transmission 2 – Portable Hard Disks Countries with big volumes
Hand carrying (meeting, attachment) Big volumes: Too big to send through the dropbox OR internet too slow, would take too long for such volume Hand Carrying: usually 2 HD in the loop for the country to always have one in hand, then we rotate HD

10 Data Transmission 3 – TUFMAN2
Available for any TUFMAN2 data source (logsheet, port, unloads, artisanal) Scan associated to trip No need to send the scan to SPC TUFMAN2: essential to have one whole trip per file, and not one page. If needed, IRFANVIEW can be used to concatenate pages (JPEG, TIF, PDF) together in a unique trip file (PDF).
