10 Adding Business Users

11 Adding Business Users To add other business users and assign entitlements, the Business Administrator/s select the Profile icon. To add other business users and assign entitlements, the Business Administrator/s select the Profile icon.

12 Adding Business Users By selecting the Users tab, the Business Administrator (Admin) can view and edit existing users. The Business User selects the Users tab and clicks on the “Add User” button to add a user to the business profile.

13 Add User: Secondary User Form
Top of Form Business Admin creates an ID and temporary password for the Business User and completes the required user fields.

Once user information is completed, the Business Admin clicks the “Save” button.

15 User Confirmation Business Admin receives confirmation of user addition. Business Admin clicks on key icon to add entitlements, as well as edits existing entitlements.

16 Entitlements Business Users have access to accounts and functionalities, as designated by the Business Admin/s. Business Admin/s entitle each Business User to permissions for Stop Payments, ACH, Bill Pay, Transfers and Wires modules based on duties he/she will need to perform on behalf of the business. Checkboxes for modules display at the top of the User Entitlements screen, whereas business accounts and associated permissions appear at the bottom. Business Users will have access to accounts and functionalities, as designated by the Business Admin/s. Business Admin/s will entitle each Business User to permissions for Stop Payments, ACH, Bill Pay, Transfers and Wires modules based on duties he/she will need to perform on behalf of the business. Checkboxes for modules display at the top of the User Entitlements screen, whereas checkboxes for business accounts appear at the bottom. User Entitlements screen will dynamically change and expand as Entitlement module boxes are checked, so that the appropriate permissions can be applied.

17 Entitlements The dynamic Help option provides assistance as needed. If one of the Help links is selected the system highlights the boxes related to the inquiry. 18 Entitlements – Assign View Accounts
To entitle the Business User to view accounts, the Business Admin clicks on the checkbox to the right of “>>”. Checkboxes are then available in the Accounts section under the View column to allow the Business Administrator to assign view permissions for each business account, as needed. 19 Entitlements – Stop Payment
To entitle a Business User for Stop Payments, the Business Administrator selects the Stop Payment checkbox. The system then makes checkboxes available for accounts. The Business Admin selects the appropriate accounts for which the Business User can submit stop payments and view stop payment history. To entitle a Business User for Stop Payments, the Business Administrator selects the Stop Payment checkbox. The system then makes checkboxes available for accounts. The Business Admin selects the appropriate accounts to entitle the Business User to submit stop payments and view stop payment history for the selected accounts. For this example, once in the Business User Interface the Business User will only be able to view and request stop payments for the 3 selected accounts (x6903, x6911 and x6937) using the dropdown for Stop Payments.

20 Entitlements – ACH To set ACH Entitlements for a Business User, the Business Admin will select the ACH checkbox. This opens entitlement options such as: transaction limits, batch limits, SEC codes, authorization to ACH companies, as well as workflow permissions to manage batches/participants and approve/ reject batches. The Financial Institution sets limits for the Business, while the Business Admin has the option to designate the limits for each Business User to amounts within the Business limits. The Business Administrator also selects the accounts to which the Business User has access for ACH tasks. To set ACH Entitlements for a Business User, the Business Admin will select the ACH checkbox. This opens entitlement options such as: transaction limits, batch limits, SEC codes, authorization to ACH companies, as well as workflow permissions to manage batches and participants, approve and reject batches. The Financial Institution sets limits for the Business but the Business Admin has the option to designate the limits for each Business User to amounts within the Business limits. The Business Admin also selects the accounts to which the Business User has access for ACH tasks. In this example, the Business User can Initiate and Manage Batches and participants for two accounts, x6903 and x The User is entitled for handling tasks for PPD credits and debits, but not CCD, RCK debits and Web debits. Limits for this User were set at amounts less than the business limits.

21 Entitlements – Bill Pay
By selecting the Bill Pay option, the Business Admin entitles the Business User access to Bill Pay for accounts available to the Business for Bill Pay. 22 Entitlements – User Administration
User Administration entitlement allows the Business Admin to assign and edit entitlements for other Business Users. This entitlement is not designated on an account by account basis. If a Business User is given this entitlement, he/she will appear as a Business User (Administrator)in the his/her profile under User Services in the FI’s Architect Administration Tool. 24 Entitlements - Saving Business Admin User clicks on “Save” after desired entitlements are selected. “Cancel” takes Business Admin User back to previous page; no addition or update to entitlements is completed. 27 ACH Module: Access To manage ACH processes, the Business User clicks on the icon to access the ACH Module. The Activity tab will allow an authorized Business User to view pending batch activity, as well as history.

And the batch approval responsibilities may be assigned to another person or persons with an approval entitlement.

Participant information can be edited. Participants can also be deleted from this screen as needed. A Business User with Manage Batch and Participant entitlement can also edit participant information or delete a participant.

32 ACH Participants: Add New Participant
To add a new participant, a Business User selects the “Add Participant” button. To add a participant, the Business User must have Manage Batch and Participant entitlement. The button will not be available if the Business User does not have this entitlement. A Business User with Manage Batch and Participant entitlement adds a new participant by selecting the “Add Participant” button.

33 ACH Participants – Add New Participant
To add a Participant, Business User completes participant information. Unique Identifier is determined by Business (e.g. employee ID #, vendor #, policy #, etc.) Data fields with asterisks are required. To add a Participant, Business User completes participant information. While keying in the participant FI information, the system auto-completes the FI name and routing number based on the first few characters typed. The user can then select an FI from the pre-populated list to avoid the typing error. The participants can be grouped together based on type such as hourly employee, salaried employee, vendor, government etc.

38 ACH Batch: View Batch Business User can edit and delete an existing batch. These icons appear to Business Users who have Manage Batch and Participant entitlement. From this screen the Business User can also add a batch. There are 4 main steps to adding a batch. Business User can edit and delete an existing batch using the icons to the right. These icons appear to those Business Users who have Manage Batch and Participant entitlement. Those who do not can still view the batches and contents but cannot make edits to either participants or batch. From this screen the Business User can also add a batch. If the Business User is not entitled to Manage Batch and Participants, the “Add Batch” button will not be available to the User. Likewise, if the Business User is not entitled to Initiate batches, the “Initiate” button will not be available to the User. In this example, the User has been assigned the Manage Batch and Participants entitlement, as well as entitlement to Initiate batches since both buttons display to the User.

43 ACH Batch: Batch Confirmation
Business User receives a confirmation when batch is added. If the User exceeds transaction and/or daily limits, a message will populate in the yellow bar. User can also choose to delete a batch entry or edit a participant’s details. (Participant detail screen will display for edits to be made.)

44 ACH Batch: Add Prenote To add a prenote, the Business User selects that box. A pop-up will appear indicating that the prenoted item would not be included in the batch. To include the transaction in a prenote batch, the User clicks the “Initiate PreNotes” button.

51 ACH Batch: Approve Authorized Business User will select the batch or batches to be approved. A Business User cannot approve batches he/she initiated unless the Bypass Approval entitlement has been assigned to the User. The User can also reject a batch if needed.

58 Types of Wire Transfers
Wires Stored for Future Access – Preset payees selected Single – Wire initiated to single payee at a time. Multiple – Wires initiated to multiple payees at once. Free-Form (One-Time) – Executed on one-time basis; not stored in system Executed on a one-time basis and are not stored in the system. Single: Wire initiated to a single payee. User selects the payee from list and is taken to another screen to select funding account, wire date (the date when the wire transfer is sent) and memo. When the user initiates payment to the same payee next time around, the system remembers the funding account and the memo. Multiple: Wire initiated to multiple payees at once. User selects funding account, wire date and memo. One-time (Free-Form) One-time, free-form wire transfer initiated. Users may enter the amount, effective date, beneficiary, and beneficiary institution information. Free-form wire transfers are executed on a one-time basis and are not stored in the system. Domestic and International wires can be set up by Business Users who have respective entitlements.

59 Wires: How to Access An authorized Business User can access the Wires module by selecting the icon. The User will be taken to the Activity screen upon entry. Pending Wires will display at the top to entitled Business Users. Buttons will be available to perform tasks for which the User is entitled. History appears at the bottom. The User can apply filters by status, account, date range and tracking number to view a specific dataset at the bottom of the page. The wire transfer history can be pulled from the Wires Activity screen in the history grid. Users can by default view all the activities for last 30 days. User can also search or filter the wires history based on several filters such as Payee Name, Funding Account, Wire Date and Reference #.

If a saved payee template needs to be edited, clicking the edit button in the payee list brings up the payee details page. The last 4 digits of the account number display for security purposes. To change the account number, the Business User selects the checkbox preceding “In need to change the account number”. A box will display to add the new account number. 65 Wire Transfer Workflow: Single or Multiple
Add Payee Template Create Wire Transfer Approve Wire Let’s take a look at the work flow for a single or multiple wire transfer which starts with a payee template.

66 Wires: Single Business User selects the payee and funding accounts from drop-downs. User enters the amount. Limits are set through entitlements. User enters or selects the date the wire transfer should be sent. The wire date range available for a particular batch is determined by the a Wires configuration setting determined by the Financial Institution. Business User with Initiate entitlement can initiate a wire. The User selects the payee, funding account, wire date (the date when the wire transfer is sent) and memo and clicks the Submit button. When the user initiates payment to the same payee next time around, the system remembers the funding account and the memo. The system also displays the wire amount sent to this payee last time and the wire amount scheduled for this payee which is not yet processed by FI. The wire date range from minimum to maximum that the user can select for a particular batch are determined by the Wires configuration setting Wire Minimum Days in Future and Maximum Days in Future respectively.

67 Wires: Multiple Multiple wire transfers can be created by first selecting the “Multiple” tab . Business User selects the wire dates and accounts. The User then enters the amount and a memo, if desired.

68 Wires: One-Time Business User can initiate a one-time, free-form wire transfer. Business users may enter the amount, effective date, beneficiary, and beneficiary institution information. Free-form wire transfers are executed on a one-time basis and are not stored in the system. Receiving and/or Intermediary Financial Institution information is optional. Authorized business users can initiate one time free-form wire transfers. Business users may enter the amount, effective date, beneficiary, and beneficiary institution information. Free-form wire transfers are executed on a one-time basis and are not stored in the system. So payee information is not selected from stored information and is entered during the process of completing the form to initiate the wire.

69 Wire Transfer Confirmation
Once a wire transfer has been successfully initiated a transfer confirmation notification appears in a yellow bar within the Activity screen. The notification contains a reference #. The wire transfer also appears as a record within the History section. 70 Wire Transfer Details Wire transfer details including wire type funding account, amount, wire date, etc. can be viewed. For a one-time wire transfer, the Payee Nickname field will be populated as “One-Time Wire”. Details will also include who initiated the wire and when, as well as information about updates which may have been made. Detailed payee information is also viewable on this screen.

For fraud prevention, the security dual control can be put in place for a business or a business user initiating wires. If the security control is set so that the approval is required for the business or some of its users, when such users initiate a wire transfer, another business user has to approve such transfers before they can be processed by the FI.

72 Approving Wire Transfer
The authorized user, who has the Approve and Reject entitlement within Wires, when login to the system and navigate to the Wires Activity screen, will see the list of wire transfers in the Pending grid waiting approval. Such users can select the wires and either approve or reject. They can enter comments while approving/rejecting wires. User first checks the box preceding the wire listing and then selects the appropriate button to proceed. A Business User cannot approve a wire that he/she initiated. If the “Bypass Approval” entitlement is in effect the wire does not require approval. Business User designated with the appropriate entitlement can approve or reject a wire transfer. 73 Wire Transfer History - Making Updates
Depending on status, a wire transfer can be edited and canceled by an authorized Business User. User selects the edit or delete icon as needed. 74 Wire Transfer Exporting
Wire transfer history can be exported by clicking the “Export” button. Fields include wire transfer reference #, payee, funding account, transfer amount, status and wire date. Depending on status, a wire transfer can be edited and canceled by an authorized Business User. User selected the edit or delete icon as needed. If a wire transfer with an “Approved” status is edited, the system will send the transfer back to be approved again, unless the bypass approval option is in effect.
