1 Citrix MetaFrame XP for Document Management
* 07/16/96 Citrix MetaFrame XP for Document Management Rich Christian GBA 573 Dr. Carl Rebman *

2 Overview for Today What is Citrix? Project Objectives and Scope
* 07/16/96 What is Citrix? Project Objectives and Scope Return on Investment When does it matter? Did we meet our objectives? Lessons Learned :15 seconds for questions Talk about roles in overview 11/9/ :00:32 PM GL000a *

3 What is Citrix? Formally…
* 07/16/96 Formally… ‘Gives workers secure, easy and instant access to enterprise applications, information, processes and people, no matter where they are located, from anywhere, at anytime, using any device, over any connection.’ – Citrix Web Site The simple definition… With Citrix, you no longer need applications on your computer 11/9/ :00:32 PM GL000a *

4 How it Works 11/9/ :00:32 PM GL000a

5 Why upgrade to Citrix MetaFrame XP?
Corporate Reasons Compliance with technology and policy guidelines Realized cost savings on Citrix XP server licenses Reduce server complexity and server support costs Streamlined applications build and install process End-User Reasons Increased performance and stability Enhanced centralized printing server, which will afford greater printing flexibility User friendly access both internal and external via Internet Explorer 11/9/ :00:32 PM GL000a

6 Project Details(1) Objective
Upgrade existing Citrix MetaFrame v1.8 environment to Citrix MetaFrame XP Address Document Management and Publishing applications Constraints Six month project (Jan 04 - Jul 04) Utilize exiting Citrix resources 11/9/ :00:32 PM GL000a

7 Project Details(2) User Impact
10,000 global users, ~1,200 Citrix users Six R&D sites and 150 country offices (Asia, UK, AUS, IRE, GER, ITA etc) Project Risks Will our applications work in Citrix XP? Staff augmentation Budget reductions 11/9/ :00:32 PM GL000a

8 Project Scope Upgrade all servers to Windows 2K SP4 and Citrix MetaFrame XP Retire PC-based Citrix ICA client Deploy Citrix NFuse front-end Re-engineer all logon and application scripts Active Directory = FUN Deploy centralized printing solution Enable ‘follow the sun’ support model across R&D sites 11/9/ :00:32 PM GL000a

9 What would success look like?
New environment deployed and validated by July 2004 FDA regulated environment End user performance increase > 10% Application stability and uptime improved User logon time reduced by 25% Helpdesk printing issues reduced by 50% User ‘experience’ enhanced 11/9/ :00:32 PM GL000a

10 Return on Investment Who cares?… This is a mandatory project
Sometimes ROI is not worth ROI OK, someone cares… License structure savings Standardized infrastructure savings Less support required for Windows NT Desktop engineering savings 11/9/ :00:32 PM GL000a

11 Did we meet our objectives?
Time estimates - YES Timelines should have been more aggressive Majority of time spent on user testing Cost estimates - YES It’s easy when there are none Team Dynamics – NO Conflicts with engineering lead Risk Management - YES 11/9/ :00:32 PM GL000a

12 Lessons Learned Don’t manage a project unless it inspires you or presents a growth opportunity Avoid ‘could you do me a favor’ projects The Project Manager should be ‘co-located’ with engineering team 99% of meetings were online (Netmeeting, MCI Instant Meeting, WebEx etc) A ‘co-located’ project assistant is KEY Question top-down technical strategy The project is ‘YOUR DOMAIN’, own it If the strategy is wrong, you must speak up 11/9/ :00:32 PM GL000a

13 Lessons Learned Address leadership problems head on!!!
Engineering leadership was absent Team conflicts lingered from past projects Issues should have been addressed earlier Ensure that staff changes are clearly communicated and understood by team members Engineering lead changed THREE times in 6 months Business lead changed TWO times in 6 months 11/9/ :00:32 PM GL000a

14 Lessons Learned Milestone Setting
Do NOT give an EXACT production release date at the beginning of the project Identify major milestones, then conduct project reviews to address release dates Be realistic, not ideal…pad everything 20% ‘Pats on the Back’ Written awards (official and ) make a BIG difference in someone’s day Money is important, but not a requirement Understand personalities and needs BEFORE your project starts 11/9/ :00:32 PM GL000a

15 Q & A Thank You 11/9/ :00:32 PM GL000a
