ELIGIBILITY MSU Student Degree Seeking Enrolled Part Time
Current aid year’s FAFSA must be on file with MSU Student must have financial need Pell grant is a good indicator Verify before hiring MSU Student Degree Seeking Enrolled Part Time Academic Year = 6 credit hours Summer = 3 credit hours Can also be found online Exception form for those in their last semester Maintain a 2.0 GPA Appeals form for GPA’s falling below 2.0 *International students are not eligible for work study

2018-2019 Funding Funds cannot be transferred from student to student
MSU Need compared to Funding Increased funding 33% (~8,500) qualify; 6% (~475) awarded Academic Year (Fall18-Spring19) Award Amount: $2,500 See calculator example on our website to plan schedules accordingly Summer Award Amount: $1,000 Must have had work study during academic year to receive summer Funding cannot be transferred from student to student. They get the award amount and no adjustments can be made Funds cannot be transferred from student to student

HIRING PROCESS Work Study Contract Applicant Tracking System
To post a position, you must complete training. Register through MyLearningConnection Complete New Hire Paperwork – Packet and “rules” found on website Remember – A student cannot start working until they’ve received the clearing them to work Clearance Form Please allow up to 3 business days for these to be processed before the student can work Work Study Contract Must be submitted for each position type within your department Go into and show how to print/save the contract Cheryl holds trainings monthly; register – anyone who’s attended and listed as a department user can review applicants Call me On website – has do’s and don’ts – please review to prevent a delay in processing; W-4’s can have NO errors/crossouts Make sure the student is meeting the eligibility requirements, or we have to pend them- which delays the process again Verify student has work study award – Contact us with the student’s M# before extending a work study employment offer (unless you’ll hire them as budget if they are ineligible to receive work study)

PAYROLL REPORTS Departments are responsible for monitoring student hours and work study funds Reports are sent out bi-monthly Run two weeks behind in accordance with payroll Funding below 25% - student and department are notified Submit a budget clearance form to switch over when funds are exhausted $ saved for academic year – remind them that students who are terminated will show on the report all year Goal – develop a report through MyMissouriState; similar to 1,000 hrs that department and student has access to Reports include all work study student employees for the academic year Can be used to: See how much departmental budget is being saved Gauge hours on an individual basis

TIME APPROVALS Show students: How to log their time
Round at .25 hourly increments Pay Calendar Pay Stub Overtime Monday – Sunday 1,000 hour report entails all jobs (including Chartwells and GA’s) FLSA Cannot volunteer time When you receive notifications of <25% of work study award remaining, please do not approve hours over their allocated amount Overdraft will be charged to budget

TERMINATIONS Voluntary separation Submit a termination form
Allows us to monitor work study funding better Automatic termination Do not need to submit a termination form After spring commencement and end of summer semester Based on eligibility Cannot fall below the requirements to be a student employee Exception/Appeal forms At the end of each academic year and summer semester (if applicable) work study students are automatically terminated. Which is why you have to resubmit clearance forms at the start of each.

WAITLIST Online MyMissouriState Student Tab Financial Aid Work Study Waitlist Opens July 1st, 2018 at 7 a.m. Awarding will begin 1-2 weeks subsequent First to college can start working August 4th We don’t need to add to the student’s stress by having them worry about it the first day of classes to come into our office to sign up Gets students working sooner which helps with retention, making connections, and earning money First to college- can work 8/4, if they’re local, or transfer, or just already have some kind of housing arrangement No graduate or international students will have the link
