The goal of the webinar is to provide updates on the Data Pipeline and current and upcoming collections. These webinars also provide a forum for districts, BOCES, and Administrative Units to have questions answered about Data Pipeline. What is PII? Student Personally Identifiable Information (PII) is defined by state and federal laws as information that, alone or in combination, personally identifies an individual This includes direct identifiers (i.e. name, SASID, etc.) Includes information that when combined is identifiable Colorado’s new Student Data Transparency and Security Act introduces a number of new requirements for how Student PII is collected, used and shared CDE has prepared guidance on how to comply with this and other privacy laws which can be found here:

How to Share Data Check local policies for restrictions, requirements, etc. Ensure that you are following local policies when transmitting PII to any third party Use secure methods to transfer any PII to CDE Call CDE ( ) with questions about how to transmit PII securely Use Syncplicity to encrypt s to CDE Avoid sending PII via unencrypted or to unsecured faxes when sharing data between or within districts Do not use PII in trainings, presentations, etc. Do not share PII with unauthorized individuals Do not share passwords

The End of Year Collection is in Soft Open. Districts are able to create snapshots using their Student Interchange Data. The file formats are the same as you used with Student October. Only error free interchange records will be pulled into the snapshot. Please work on interchange errors before creating a snapshot annual report with the following information: • Levels of school readiness demonstrated by students enrolled in kindergarten • Disaggregated results by school district, school, grade level, free or reduced lunch eligibility status, gender, and ethnicity

New changes: The student End of Year page has been updated: The page is now divided into sections for the Regular Process, Cross LEA phase, Post-Cross LEA phase and resources for understanding the rates generated by the collection All of the previous resources are still available and in the process of being updated for the current collection year. An updated error list has also been posted. This week, rules SE124, SE125, SE129, and SE133 were inactivated. McKinney Vento Collection
District Homeless Eduation Liaisons provide school level data on Homeless Education in districts during the McKinney Vento collection. To reduce the collection burden and improve accuracy, CDE has been reconciling these school totals with data provided in the End of Year collection. To ensure that this data is reported accurately, CDE is offering a new report for districts

There is a new Homeless Detail Report available in the Student Profile Cognos reports This report displays all students reported as homeless during a school year as they appear in your most recent Student Interchange files District data representative will want to reconcile this report with their district liaisons prior to EOY submission. Submit Your Annual Four-Day School Week Application by May 12, 2017 School districts operating a four-day school week (less than 160 scheduled days per school year) are required to submit a request for approval. Only for schools that include grades To be considered for the of school year, please complete the application via Data Pipeline by Friday, May 12, Districts requesting approval are not obligated to follow their proposed calendar if their local planning is not finalized. 19

Exempt Status Steps to Report Exempt Status: See slide 54 If you reported Yes (no discipline actions to report) and then reported discipline data be sure to go back and select No on the exempt screen.

Received Services During Expulsions
Central tenet of IDEA: the guarantee of a free and appropriate public education for students with disabilities. Beyond a certain point, long term suspension and expulsion may threaten the student’s right to a free and appropriate public education. In 1988 the Supreme Court set a standard of 10 days as the dividing line between typical short-term discipline and long-term change that triggers the FAPE guarantee for students with disabilities. Beyond 10 days, a disciplinary removal is considered a change of placement triggering the special education protections against arbitrary removal. CDE wants to know if services were received when change in placement meet the criterion of more than 10 consecutive days. We’ll change the exception process to only trigger when services were not received in cases where days removed exceed 10 days. Discipline (students with disabilities) – Kristi Gleason

CRDC OCR is addressing an issue related to errors showing in CRDC AWS that are not really errors. This is keeping LEAs from certifying. OCR’s development team is resolving- deploy fix tonight.
