1 Software Asset Management
Microsoft Licensing: The Best Option for You

2 Which one is best for your organization?
There are several licensing options available from Microsoft.

3 Ways to buy a license Full Packaged Product (FPP) OEM Online Services
Purchased from retailers Typically 1 box = 1 license OEM Preinstalled on a new computer Software “lives and dies” on that machine Online Services Technology that is “hosted” rather than “on-premises” Volume Licensing Agreements Purchased from resellers Variety of different agreements to suit all kinds of organizations

4 Why a Volume Licensing Agreement?
Pricing Advantages Predictable cost options based on customer’s buying what they need, with volume discounts A range of offerings A choice of programs based on considerations such as size and types of business, payment structure, ownership of software, or standardizations preferences Additional use rights Greater deployment options including reimaging rights, virtual and roaming use rights, cross-language use rights and additional productivity use rights Software Assurance A host of benefits including rights to new product versions, support, training, tools and planning services to support Microsoft software and cloud services Simply stated, volume licensing of software makes it easier and more affordable to run software on multiple computers within an organization. By acquiring software licenses through Microsoft Volume Licensing programs, you only pay for the software license. Boxed software, on the other hand, includes media (the CD-ROM or DVD), a user's guide and other packaging items. Eliminating these physical costs and purchasing in volume often reduces cost and provides more customized purchasing options and improved software management. In the case of some Volume Licensing programs, you may also purchase Software Assurance. This comprehensive maintenance offering can help you get the most out of your software investment. It combines the latest software with phone support, partner services, training, and IT tools. You can choose Software Assurance at the time of purchase and begin using your benefits immediately for the term of your license agreement.

5 Benefitting from Standardization
Standardize IT and help reduce management and support costs, while providing additional pricing advantages beyond your typical volume pricing levels with: Company-wide program options -- savings for organizations that deploy standard sets of software and services across their organizations. Enrollments -- license solution-focused technology suites of Microsoft application, system and infrastructure products. Available Product Platforms and Client Access Suites (CALs) -- groups of licenses to accommodate common IT infrastructures, with added pricing advantages.

6 Volume Licensing Programs
Fewer than 250 Devices More than 250 Devices or Users Open License SA optional Select Plus SA optional Open Value Perpetual SA included Enterprise Agreement SA included Open Value Company Wide SA included In general, Microsoft Volume Licensing commercial programs align to two main categories: programs for companies with fewer than 250 desktop PCs and programs for companies with more than 250 desktop PCs. For organizations with up to 250 desktop PCs, the Microsoft Open Programs: Open Value, Open Value Subscription, and Open License, have flexible, low-entry requirements. For organizations with 250 or more PCs, Microsoft offers the Microsoft Open Value, Open Value Subscription, Microsoft Enterprise Agreement, Enterprise Subscription Agreement. Listed below are a few key organizational characteristics to help you understand Microsoft Volume Licensing policies and programs and to choose the best option for your organization:  The size and type of your organization  The products you want to license  The way in which you want to use those products Programs for Your Organization Type and Size At the most elementary level, Microsoft Volume Licensing program models address organizations in two main categories: organizations with more than 5 but fewer than 250 computers and organizations with more than 250 computers. For organizations with fewer than 250 computers, the Microsoft Open Programs provide volume discounts for a minimal up-front cost and are widely available through the worldwide partner channel. Open Programs provide the following three purchasing license options for commercial businesses:  Open Value is for organizations with as few as five desktop PCs and offers the advantages of Software Assurance, simplified license management, and an annual payment structure. The Open Value program offers three options: Company-wide, Non–Company-wide, and Open Value Subscription.  Open Value Subscription is for customers who want to subscribe to, rather than acquire, Microsoft product licenses. Available in select regions, Microsoft Open Value Subscription provides the lowest up-front costs of the Open Programs with the flexibility to reduce your total licensing costs in years when your desktop PC count declines.  Open License is for customers who want a minimum initial purchase of only five software licenses. This program is ideal if you prefer to pay-as-you-go and change your licensing program as your business grows. You can qualify for volume purchasing under the volume feature of Open License. Open volume purchasing is for customers who can meet minimum purchase levels using a system of product pools and points. With an entry minimum of 500 points from a single product pool, this program offers deeper discounts for a greater savings. For organizations with 250 or more desktop PCs, Microsoft offers the following options:  Select Plus is for midsize and large organizations with 250 or more desktop PCs with multiple affiliates that want to license software and services at any business unit level while still getting the price saving advantages of being a single organization. Enterprise Agreement (EA) is for larger organizations that want to standardize their desktop IT across the enterprise, but retain the flexibility to purchase Microsoft software licenses and cloud services for different types of users. Based on a three-year enrollment term, it provides the deepest pricing discounts and the advantages of Software Assurance.  Enterprise Subscription Agreement (EAS) is a Volume Licensing program for large organizations that want to subscribe to—rather than purchase—Microsoft software licenses. This program provides similar advantages as the Enterprise Agreement with a lower initial cost based on a three-year subscription, and the ability to increase or decrease subscription counts on an annual basis. However, unlike the Enterprise Agreement where you retain perpetual use rights for the licenses you purchase, with this subscription agreement you gain access to Microsoft software for only as long as you maintain your subscription. In addition to size, you need to consider your organization’s primary function. For example, additional discounts are given to some public sector organizations such as schools and universities. 8 Software Assurance and Volume Licensing
Software Assurance helps customers with their changing IT, deployment, and support needs with 24x7 support, deployment planning services, end-user and technical training, and the latest Microsoft software releases, along with unique technologies and extended use rights to enable more flexible deployment, device and user options. Software Assurance has been available for over a decade. Though it was once viewed as simply an “insurance policy” that offered free software upgrades, since 2001 Software Assurance expanded greatly and is now recognized by leading organizations (and analysts) as essential for getting the most out of their Microsoft volume licensing purchases. Microsoft Software Assurance for Volume Licensing offers customers 24×7 support, deployment planning services, end user and technical training, and the latest software releases and unique technologies, all through one program. Customers can improve user productivity with online training and home use licenses to help enhance skills and accelerate familiarity with Microsoft software. To help IT staff efficiently implement and manage their Microsoft products, Software Assurance provides access to new software releases as they become available, unique technologies, including the Windows Enterprise Edition operating system and the Microsoft Desktop Optimization Pack (MDOP). SA also offers extended use rights to deploy certain products using a private or public cloud infrastructure, and to accommodate a greater variety of devices and worker preferences.

9 Software Assurance Benefits Overview

However, there are challenges associated with deploying software across the enterprise, such as: - getting everybody on the same software version - supporting people and getting them trained - getting people properly licensed for their software use This graphic highlights how your organization might use SA to plan, deploy and use Microsoft software, in a ways that are less time consuming and costly. For instance, as you deploy new software you will want to take advantage of Deployment Planning Services in addition to Training for your IT staff and software users, E-Learning, Home Use Program, and support benefits such as 24x7 Problem Resolution Support. All of these benefits can help you get through the deployment process quickly and smoothly, as well as support the use and management of software after deployment.

10 Perpetual vs. Non-Perpetual Licenses
Simply means that once you have purchased and paid for the license, you have the rights to use the software for as long as you wish. Non-perpetual licenses More commonly associated with subscription programs; grants you the rights to use the software for as long as you maintain your subscription(s).

11 Open License For organizations that want to pay-as-they-go. Customers pay for licenses as they need them, and get maximum flexibility to grow with their organization’s increasing and changing business needs. Any 5 licenses to begin agreement Software Assurance optional 2 year agreement Open License Open License is a two-year term commitment that is ideal for organizations that want a minimum initial purchase of five software licenses. This program is also great for a growing organization’s changing business needs because it has a pay-as-you-go model. Open License Volume Purchase Option: If you are purchasing larger volumes of Microsoft software licenses but still prefer to pay as you go, the volume option is a two-year term commitment with product pools and points. It provides deeper per-unit discounts, resulting in significant savings if the volume of software licenses is high enough. To participate in the Open License Volume Purchase option, you must meet a minimum purchase level of 500 points. Points are determined by the software product mix and license quantity you plan to purchase. Because the volume option uses product pools and points to calculate the 500-point minimum purchase, it is important to understand the product pools and points formula. Product pools group similar Microsoft software products to achieve deeper volume pricing discounts. Some examples are:  The applications pool includes products such as the Microsoft Office 2010 suites, Microsoft® Project 2010, Microsoft Visio® 2010 drawing and diagramming software, and the Microsoft Visual Studio® development system.  The systems pool includes the Windows operating system upgrades such as Windows 7 Professional.  The server pool includes products like Windows SQL Server® Standard Edition database software and Microsoft Exchange Server. Point values are assigned to each licensed product. For example:  Microsoft Office Professional Edition is worth four points.  Windows Server 2008 is worth 20 points. By adding the number of points earned, you can determine whether you meet the minimum purchase requirement. For a full list of point values, visit Upfront payment

12 Open Value Optimal for organizations that want to standardize their IT infrastructure, customize their platform, and utilize Software Assurance benefits. Customers can upgrade at any time—no need to track versions or open new agreements. 5 Licenses to qualify Perpetual licenses Software Assurance included The Open Value Organization-wide option includes discounts on organization-wide deployment of Microsoft Enterprise Products – namely: Microsoft Office 2010 suites: Microsoft Office Professional Plus 2010 Operating System: Windows 7 Professional Plus upgrade Client Access License (CAL): Microsoft Core CAL Suite or Microsoft Enterprise CAL Suite 3 Year Agreement Upfront or spread annual payments Company-wide option (5 desktops to qualify)

13 Open Value Subscription
Optimal for organizations that want to standardize their IT infrastructure, customize their platform, and utilize Software Assurance. Customers can upgrade at any time—no need to track versions or open new agreements. Non-perpetual licenses allow use of software as long as subscription is maintained. 5 Desktops to qualify Non-perpetual licenses Software Assurance included Flexibility to adjust volume Spread annual payments Organization-wide standardization

14 Select Plus Offers automatic price savings based on purchase volume across the organization, flexibility to acquire licenses as needed by department with a non-expiring agreement, and centralized license management. Single, organization-wide agreement offers the same pricing level for all departments and affiliates. 250+ desktops Perpetual licenses Aggregates orders for automatic Volume Pricing The Microsoft Select Plus license program is ideal for midsize and large organizations with 250 or more desktop PCs that also have mixed software requirements, and for customers that want transactional license purchasing. It increases purchasing flexibility with automatic price savings based on purchase volume across the entire organization, improves asset management, and gives you the ability to license and manage your software assets and services at the organization, affiliate, or department level. Select Plus offers many benefits, including the ability to do the following:  Manage assets more easily with visibility across the entire organization and centralized reporting because all affiliate purchases are tied to their own unique customer IDs.  Get more value out of licensing with automatic price savings for purchases across the entire organization and the full value of Microsoft Software Assurance coverage, no matter when you purchase it.  Streamline the contract process with a single organization-wide agreement that never expires (no need to renegotiate and renew agreements every three years), Software Assurance alignment, and licensing consolidation. Software Assurance is an option Non-Expiring Terms

15 Enterprise Agreement The most cost effective, flexible and manageable volume licensing program. Choose among on-premises software and cloud services to best suit users’ needs and help optimize technology spend for changing business priorities. Includes comprehensive Software Assurance benefits to boost productivity and spread payments for predictable budgeting. Best overall pricing based on organization size Software Assurance is included Flexibility to transition to cloud services at your own pace The Enterprise Agreement is appropriate for your organization if you have more than 250 PCs, devices and/or users and want to license software and cloud services for your organization for a minimum, three-year period. With the Enterprise Agreement you can decide whether you want to take advantage of various enrollments, the most well-known perhaps is the Enterprise Enrollment. With the Enterprise Enrollment, you can choose to run PC and device software and cloud services across your organization. Such organization-wide implementations help you reduce device and user management and support costs, and also provide additional pricing advantages above the standard volume pricing levels. You can also take advantage of other Enrollments that help you license, for example, application or infrastructure solutions. Enrollment options deliver solution-focused technology suites at attractive prices Perpetual Licenses ; Non-Perpetual Subscription program options available 3 year agreement with Annual Payments and Reconciliation (True-up) Process

16 Integrating cloud services within the EA
EA: Licensing flexibility for the cloud Transition to cloud services at your own pace Move users back and forth between on-premises & cloud services Match and adjust cloud service plans to meet user needs Easily add and adjust new cloud users above your EA commitment Move application server workloads to and from the cloud EA Fundamentals: No changes for on-premises The EA continues to be the best licensing program for large customers with over 250 desktops or users with a 3 year agreement, the predictability of Software Assurance and the best possible pricing for on-premises purchases.  To keep pace with the expanding array of Microsoft cloud services, the EA now gives you the flexibility to choose among on-premises software and cloud services to best suit your user needs and help you optimize your technology spend. And when it suits your business to transition some or all of your computing capacities to the cloud, your Enterprise Agreement gives you a single agreement which will provide: A convenient way to transition to cloud services when it makes sense for your business The flexibility to move your users between on-premises and cloud services as business requirements and expectations change. The ability to match workloads of different types of users and fully use the capabilities of the Microsoft cloud services. The opportunity to adjust volume and mix of cloud services to meet fluctuations in workforce, including a way to scale up or down the number of licenses for temporary workers. A no-cost grace period when you are moving your users onto cloud services.* These are all great enhancements to the EA that will allow you to rapidly move from on-premises to cloud services, and all in a single agreement. *When a customer moves an employee to the cloud during the year, they do not have to pay for the additional cost of the cloud service(s) until the next anniversary of their EA, and even then will only pay going forward, there is no retroactive payment. Net new users and additional products such as the K Plans will incur a fee that will be prorated. Integrating Cloud Services

18 What are Enrollments? Enrollments help organizations license solution-focused technology suites of Microsoft’s most popular application and infrastructure products. They can be a very cost-effective way to purchase software and solutions to address key organizational objectives, like building a secure and well managed data center or helping your IT staff build, manage and maintain line-of-business applications. Enrollments for the Enterprise Agreement are designed to support software innovation and reflect customer purchasing preferences and to help organizations license Microsoft solutions, delivered via on-premises licenses and/or cloud services, to address common Enterprise IT concerns such as standardizing on PC and device technologies or building and maintaining secure datacenters.

19 Enterprise Enrollment

23 Core CAL Suite Core CAL delivers essential capabilities with Lync and Forefront products
, Calendar, Address Book , Calendar, Address Book Manage Software, Updates, Assets Manage Software, Updates, Assets Collaboration, Content Management Collaboration, Content Management Server OS and Infrastructure Server OS, AD, Authentication IM/Presence, PC-to-PC Voice & Video Antivirus And Antimalware Protection Over the last several years, the Core CAL Suite has included access licenses to the four servers you see listed here – specifically Exchange Server, Sharepoint Server, System Center Configuration Manager, and Windows Server. With industry trends and the evolving core technology needs of modern day users…. …As of August 1st of this year, Microsoft has now included access to two additional capabilities in the Core CAL. The first is to Lync Server with Instant Messaging and Presence – as well as pc-to-pc voice and video capability. Second is Forefront Endpoint Protection as an anti-virus and anti-malware protection tool. These access licenses were previously offered individually or as part of the Enterprise CAL Suite offering, which is a super-set of what is included in Core CAL. So, for customers who have already licensed the Enterprise CAL Suite, there is no impact with this change, as these components still remain as part of the overall suite.

24 Core CAL Customer Benefits
11/12/2018 Core CAL Customer Benefits Improved Value for Customers with Software Assurance Essential Capabilities for Users Simplifies Cloud Transition Lync “lights up” Exchange, SharePoint, and the Office client with IM and Presence. Forefront Endpoint Protection (FEP) delivers antivirus protection and device management from a single console. Active Software Assurance automatically provides rights to new capabilities at no extra cost until renewal. Customers with active SA never pay for Lync Std. CAL License. Flexibly combine on-premises CAL Suites with Office 365 and Windows Intune. Let’s now have a look at the benefits to Core CAL customers…. First, Instant messaging and presence are more and more being considered core capabilities that today’s information workers are demanding - and that greatly benefit communications and collaboration within organizations. Lync Server is tightly integrated into both Exchange and Sharepoint, in that it “lights up” those tools with integrated presence and IM capability. So, it makes a lot of sense to bring this into the Core CAL offering. And with Forefront Endpoint Protection, we provide important anti-virus protection as well as device management from a single console within System Center. So again, it makes a lot of sense to bring that into Core CAL as part of an integrated offering. The great news for our existing Core CAL customers with active Software Assurance as of August 1, 2011 is that you now have access to these new capabilities without any incremental cost under your current Agreement. And for those Core CAL customers who wish to transition at some point to Office 365 and/or Windows Intune, these changes make it easier to both make this transition and to also flexibly manage hybrid environments where some users or devices are in the cloud and some remain on-premise.

25 Cloud Services available through Volume Licensing
Cloud services provide new choices to optimize IT for different priorities and situations. For example, many employees benefit from being able to access information, such as , from multiple locations and on multiple devices – such as mobile phones. For IT Infrastructure, cloud services enable applications to be hosted on-premises or off premise in the cloud. As cloud services have matured rapidly, users can expect highly functional and available services – even on a world-wide basis. Microsoft recognizes that one size does not fit all, and that every customer is unique & will evaluate and deploy the right blend and timing for cloud services with their existing IT. Our approach is to offer licensing that embraces the flexibility needed to mix and match cloud with on-premises over time and by workload and user type. Microsoft also delivers a comprehensive set of cloud services and enterprise applications for user productivity, customer management, communication services and custom business applications with the reliability, security, and global reach you should expect for your business. Microsoft Cloud services include Office 365, Windows Intune, Windows Azure, and Dynamics CRM Online.

26 Choosing the Right Licensing Program for Cloud Services The Enterprise Agreement is recommended for organizations with 250 or more devices or users Microsoft Enterprise Agreement (EA) Microsoft Online Subscription Program (MOSP) Best overall pricing & on-premises license discounts Sales and support through Microsoft and partner 1:1 team and systems Single company-wide agreement for cloud services, on-premises, enrollments and additional products Integrated invoicing Requires 250 or more users or devices 3 year agreement Standard, non-negotiable monthly subscription price with monthly payments via credit card or invoice Purchase transaction completed online Phone and online support (varies by selected service plan) Suitable for 5 or more users Subscription term length varies depending upon cloud services chosen Now with the Enterprise Agreement, customers will enjoy greater flexibility for cloud and on-premises licensing procurement under a single agreement. Customers can sign a single company-wide agreement for cloud services, on-premises software, software enrollments and additional products and realize price advantages based on their organization size. Designed for customers with a minimum of 250 qualified users or devices, the EA allows the flexibility to match and adjust workloads to different types of users; utilize a grace period when transitioning to cloud services and enable broader per-user licensing options. For smaller organizations interested in online subscription services, Microsoft provides the Microsoft Online Subscription Program (MOSP). Through this program, organizations are offered standard, non-negotiable pricing and transact their subscription online versus directly through Microsoft Direct Sales Channel or through Partners. The subscription is suitable for companies with 5 or more users and the term length varies depending on service chosen.

27 EA and EA Subscription: Comparing the Two Options The Enterprise Agreement has two options with different benefits Microsoft Enterprise Agreement (EA) Microsoft Enterprise Subscription Agreement (EAS) Licenses are purchased and owned. Increase license quantities for changes in workforce. Reconcile once yearly. Single company-wide commitment determines minimum license requirements and SA payments over life of EA. Lower costs when in renewal situation after 3 or more years, and only paying for SA on existing Licenses. Full benefits of Software Assurance. Licenses are subscription. Increase or decrease subscription quantities for fluctuations in workforce. Reconcile once yearly. Software usage and rights end when subscription ends. Buy-out option to acquire licenses at end of EA term. Lower initial costs over first 3 years compared to a net-new EA. Full benefits of Software Assurance.

28 Keeping Licensing Current
Get the latest software versions by purchasing new licenses when you need them. Buying Ad hoc Get access to new software versions as soon as they are released with no additional licensing cost. Through Software Assurance Get access to the latest software as part of your online services subscription. Via Online Services

The Open License for Academic and Open License for Government programs are similar to the commercial Open License program, but with different pricing and partner channels. In some regions, government organizations can also participate in the Open Value for Government and Open Value Subscription for Government programs. In some regions, charitable organizations can participate in the Open License for Charities program. Check with your Microsoft reseller for availability. Government and education organizations with more than 250 PCs can participate in the Select Plus program. Government organizations can also participate in the Enterprise Agreement program. For education institutions that prefer to license their software on an annual subscription basis, Microsoft offers two unique programs: Microsoft Campus Agreement for higher education and Microsoft School Agreement for primary and secondary education institutions. * Open Charity offered in certain countries only ** Open Value Government not in all countries
