1 Research Master ID (RMID)
Sarah Brewer, MA, CCRA Leila Forney, DNP, CCRP

2 The Basics What is a RMID? Why?
A unique numeric identifier that links a research study across multiple electronic research systems Why? Accurately identify research studies Improve metrics tracking and reporting Increase data accuracy across systems Initiative from the Office of the Vice President for Research 05/30/2017

3 The Basics A RMID will be required when submitting new studies in:
eIRB electronic proposal datasheet (ePDS) SPARCRequest© Additional systems to be added “New Study” Any research study that has not been entered into one of the current linked systems 05/30/2017

4 The Basics Name of the principal investigator of the research study Principal Investigator (PI): PI’s primary funding department Department: The full title of the research study found on the protocol document. Long Title: The short title is the shortened version of the full research study title. Short Title: The funding source identifies how the study is or will be funded. External funding – funding is received from a source outside of MUSC Internal funding – funding may be coming from department or a pilot project Funding Source: PI: If the PI is not known, this may be the name of the proposed principal investigator. Short Title: It may be an acronym of the long title or other variation by which it is easy for the entire study team to identify the study. 05/30/2017

6 Search for the RMID Use NetID and password to log in
2. Search the system to determine if the study has a RMID# 05/30/2017

7 Search for the RMID Search by PI Name
Type the name of the investigator in the “Search by PI Name” field Choose the correct name from the drop down list Select search. Searching by PI name will return all studies associated with the designated PI. 05/30/2017

8 Search for the RMID Short Title Long Title
Enter only a portion of the title or a keyword Search will return all studies that include that keyword anywhere within their short title Long Title Search will return all studies that include that keyword anywhere within their long title 05/30/2017

9 Search for the RMID Search other fields Search by Department
If you have been unable to locate the study after searching those fields, , consider searching by other available fields by checking the “Show More” box. Dept. - It is recommended that the search begin with the department of the potential PI or the department through which the study is funded. RMID – If you have a RMID, it can be entered in the RMID field. Search by Department Searching this field will return all studies that have been associated with the selected department.   Search by Funding Source This search field will return either all internally funded studies or all externally funded studies. Search by RMID This will return the existing RMID and associated study information. 05/30/2017

10 Search for the RMID Search by Funding Source Search by RMID
This search field will return either all internally funded studies or all externally funded studies. Search by RMID This will return the existing RMID and associated study information. Search by Department Searching this field will return all studies that have been associated with the selected department.   If you have been unable to locate the study after searching those fields, , consider searching by other available fields by checking the “Show More” box. Dept. - It is recommended that the search begin with the department of the potential PI or the department through which the study is funded. RMID – If you have a RMID, it can be entered in the RMID field. 05/30/2017

11 Create New RMID Enter the 5 required data elements
Principal Investigator (PI) name Department of PI Long Title Short Title Funding Source 05/30/2017

12 Create New RMID Instant confirmation
Automatic s to the PI and creator Recommendation: Forward to rest of the study team 05/30/2017

13 RMID Record Features Before IRB Submission 05/30/2017

14 RMID Record Features After IRB Submission 05/30/2017

15 RMID Record Features Click on the RMID Record to see what records are associated to the RMID What is contained in a RMID record 05/30/2017

16 SPARCRequest© RMID is required in SPARCRequest©
Short & Long Titles will pull from RMID to SPARCRequest© What information is pulled into SPARC from RMID 05/30/2017

17 SPARCRequest© Error Messages 1. 2. 05/30/2017 Validations
Is this a real RMID? Has this RMID already been used in SPARC? 05/30/2017

18 **RETURN to the eIRB site to enter the RMID**
RMID is a required field Enter in new study applications prior to submission Screenshots of where the RMID can be entered in eIRB by research team members with study edit rights for studies created on or after 1/28/17: The initial study application page (last page of the application) for all study types Available as long as the study is editable before IRB approval **RETURN to the eIRB site to enter the RMID** 05/30/2017

19 eIRB Edit RMID using “My Activity” 05/30/2017
Screenshots of where the RMID can be entered in eIRB by research team members with study edit rights for studies created on or after 1/28/17: The Edit RMID activity is available after the study is approved.  This is the mechanism for edits at this time, as the page is not available on amended applications at this time. 05/30/2017

20 eIRB – Future Directions
Error message Validation – Has RMID been submitted on another protocol?  Which protocol is the RMID associated with? Check your RMID Contact OCR if your RMID is correct but another study is using it. 05/30/2017

21 ePDS RMID is not a required field YET
But it is VERY important Study teams will need to enter the RMID to link the COEUS record to the study’s other records (eIRB, SPARC, Epic, etc.) 05/30/2017

24 Future Directions of RMID
New RMID field Please select one: Basic science research – (e.g. animal, bench) Clinical research study, Clinical Trial and/or Translational Research  Please select one: This study may (or will) have MUSC health services (hospital, outpatient, laboratory or professional billing) regardless of whether it is invoiced to the study or to the patient’s insurance or to the patient. This study WILL NOT have MUSC Health services (hospital, outpatient, laboratory or professional billing; e.g., not human subjects research, retrospective chart review, survey or observational only study. 05/30/2017

25 Future Directions of RMID
Integrating Epic data Research Dashboards available to departments and study teams Non-human research? eProtocol Cores Pushing RMID fields into other systems Populating systems with information from sources of truth (eIRB, COEUS) 05/30/2017

26 Frequently Asked Questions
Do I need a RMID? I can’t find my name (PI’s name) in the drop down list… I’ve entered all of the fields, but I can’t hit submit… I can’t find the Create New RMID button… 05/30/2017
