Monitoring lep students
Effective the school year TEA will require an additional 2 years of monitoring for enrolled, exited LEP students. This will include information in the student performance results data for LEAs and campuses. LEP Indicator Codes “3” & “4” have been added to code table C061 LEP-INDICATOR-CODE
25
Monitoring lep students - WebSmart

Student Language Code requirements
Beginning with the school year, districts shall conduct one home language survey of each student Students new to the district Students previously enrolled but not surveyed Survey must be signed by parent/guardian or student Parent signature required PK - 8th Student signature required 9th – 12th The original copy of the survey shall be kept in the student’s permanent file Survey to be administered in English & Spanish and shall include the following questions: What language is spoken in your home most of the time? Discipline coding Disciplinary Reason 21-Violation of Student Code of Conduct The Behavior Location code must be 00-Not Applicable Behavior Location 01-On Campus is not a valid code for Disciplinary Reason 21 and will cause PEIMS errors if used Disciplinary Actions 01-Expulsion or 05-Out of School Suspension Campus ID of Assignment must be set to “None” Disciplinary Actions that take place on campus, example 06 – In School Suspension Campus ID of Assignment must be set to the campus the student will be completing action Partial Day Disciplinary Actions equal a full day Partial Day Disciplinary Action codes can only be used for a single day If the Disciplinary Action crosses multiple days and starts on a partial day that day should be coded as a full day
36
discipline coding - Websmart
Go to: Students > Students > Student Manager
37
Discipline – compliance report
Go to: Compliance > Reports > PEIMS Discipline Run this report to check discipline incident coding. This report runs to Excel making it easy to sort and filter to check coding discrepancies in fields such as behavior location, length of consequence, action taken, etc..
38
Discipline coding – websmart (con’t)
The Incident Number field should be left blank unless 2 or more students’ Disciplinary Incidents should be linked, i.e. 34-School Related Gang Violence, 41-Fighting/Mutual Combat etc.. Leave the incident field blank for the first student which will allow the system to assign a number Copy number down and enter as the incident number for the other students Remember discipline incidents cannot be linked across campuses
39
Graduation plans & endorsements
All 9th – 12th grade students must have a Graduation Plan. All 9th & 10th grade students that are on the FHSP Graduation Plan must have at least one endorsement selected. Any student that entered 9th grade before the school year has the option of choosing one of the older graduation plans or the new FHSP endorsement plan. The additional plans are: Minimum Recommended Distinguished Since each district is unique the district is required to build graduation plans and determine endorsements offered based on course offerings.
40
Graduation plans & endorsements - websmart
Go to: Students > Scheduling > Graduation Plans Click When naming your plan be sure to choose nomenclature that is self-explanatory, i.e. FHSP + Arts & Humanities- English, FHSP + Bus & Ind-A/V Tech, FHSP + Multidisciplinary, etc. as the name you give will appear on transcripts.
41
Pre-K course Coding All PK courses must have the Course Type Code of “Pre-K Course” entered on the Attributes tab in the Course Catalog. Each Pre-K course section must have an Instruction Type Code indicating what part of the day students are attending class. Students > Scheduling > Course Catalog > Courses Students > Scheduling > Schedule Manager
42
Pre-k coding requirements
Districts are required to code Program & Enrollment Type and Funding Source for each Pre-K student regardless of eligibility. This chart and eligibility qualifiers can be found in the Student Accounting Handbook, Section 7.5
43
Pre-k coding - websmart
Students > Students > Student Manager Be sure to check your coding by running the PK Funding and Eligibility report located in the Student module before you begin processing your Summer submission.
44
Pre-k coding - websmart
Don’t forget to configure the PK tab in Schedule Manager Students > Scheduling > Schedule Manager
45
Kindergarten & ecds In order for ECDS testing to report properly the course that links the teacher responsible for testing must be the homeroom. This Not doing so will pull the course with the lowest PEIMS number for ECDS reporting which will cause significant errors.
46
Cte coding Summer CTE coding is based on completion of course
Run the Career & Technology Contact Hour Detail Report (Students > Reports) to Excel to review coding. 8th grade students cannot earn CTE hours. If they are you must go into the student and delete the hours. Contact hours are entered in the course sections. If a student should not receive Contact Hours Go into the Enrollment tab on student Click on the Course Schedule and choose the course Choose “Ignore Contact Hours” and save Best practice is to make edits after course completion has been done
